Onboarding and offboarding
- Getting started
-
Onboarding with ShareDo begins with a discovery phase to understand the organisation's structure, existing processes, matter types and unique requirements. The Apprilis/ShareDo team works with stakeholders across practice groups to define workflows, document templates, roles and permissions. The platform is configured using its low-code workflow automation tools and template generation capabilities. Document storage, matter data, communications, tasks and financials are migrated or connected where appropriate. Users and teams receive training on the system, processes and best-practice use of workflows, templates and matter handling. Pilot deployment allows testing of workflows on a subset of matters to validate configuration, document generation, communication flows, and reporting. Once validated, rollout proceeds firm-wide with support from ShareDo during initial cases. Ongoing support includes access to system updates, configuration assistance, and guidance on process optimisation as the organisation's use of the platform evolves.
Resource support is available 24/7 through our online knowledge base, quick start guides and training videos. - Service documentation

- End-of-contract data extraction
- At contract termination, ShareDo supports export of matter and case data, documents, communications, history, task and workflow logs, billing and financial records, and configuration metadata. Data can be provided in standard formats compatible with common document and data management tools to support migration or archiving. Once export is complete and validated by the client, ShareDo will remove associated data from its production systems in line with its data retention and disposal policies. Documentation around schema, configuration, and data structure is provided to aid import into alternate systems. This approach ensures clients retain full ownership and control of their matter history and records beyond the contract period, allowing future flexibility and compliance with audit or regulatory requirements.
- End-of-contract process
- At the end of a ShareDo contract, organisations follow a structured process designed to ensure data security, compliance, and continuity. Contracts are typically annual or multi-year subscriptions, requiring formal notice for renewal or termination, with early termination potentially incurring fees. Customers retain ownership of their data, and ShareDo provides tools to export all matter, workflow, and document information in standard formats, either via the platform or API, ensuring continuity for migration or integration with other systems. Following the export period, access may enter a read-only or grace phase, allowing final data extraction before permanent deletion. ShareDo then securely removes all customer data from its systems, adhering to enterprise-grade security standards such as ISO/IEC 27001, ensuring it cannot be recovered. All platform access—including workflows, dashboards, automations, and integrations—ceases at the end of the contract or grace period. Customers are responsible for migrating dependencies, completing compliance obligations, and retaining audit evidence where required. Certificates of deletion or confirmation of termination may be provided to demonstrate compliance. Proactive planning for data export, workflow continuity, and integration management is critical to minimise operational disruption and ensure a smooth transition at contract expiry.

Availability and resilience
- Guaranteed availability
-
We guarantee a high level of service availability through our inherently scalable architecture. This design allows us to maintain system performance regardless of the number of additional users accessing the platform.
Our infrastructure is built to accommodate varying levels of demand without compromising the user experience, ensuring that each user can operate efficiently without experiencing slowdowns or interruptions.
For more detailed information about our service availability and performance capabilities, you can refer to our documentation at https://https://help.sharedo.co.uk/ - Approach to resilience
-
Our service is designed to be resilient through several key features and architectural choices:
1. Fault-Tolerant Event Engine
The Event Engine is a central service that operates on a distributed, fault-tolerant model. It consists of multiple nodes, each running roles that can handle events. This design ensures that if one node fails, others can continue processing events, maintaining overall system functionality.
2. Self-Healing Processes
Roles within the Event Engine are designed to be resilient and self-healing. If a role encounters an error, it is programmed to fail fast and restart automatically. This minimises downtime and ensures that the service can recover from errors without manual intervention.
3. Automated Maintenance Tasks
We implement automated maintenance tasks that regularly check the health of linked services and refresh tokens for integrations. If a token renewal fails, the service is automatically unlinked, and users are notified to re-link it, ensuring continuous operation.
4. Regular Updates and Patches
We continuously improve our service through regular updates and patches. For example, our recent patch release focused on enhancing the stability of the event engine, addressing rare edge cases that could lead to service unavailability. - Outage reporting
-
Our service utilises a notification system to inform users about important events, including outages. When an outage occurs, notifications can be sent to subscribed users through various channels, such as in-app messages, emails, or SMS messages.
Notification Types
In-App Notifications: Users receive immediate alerts within the ShareDo application.
Email Notifications: Users can be notified via email about the outage and any relevant updates.
SMS Notifications: For urgent alerts, SMS notifications can be sent to ensure users are informed promptly.
Notification Diagnostics
When a notification is raised, an entry is recorded in the Notifications Diagnostics screen. This screen provides details such as:
Notification Type
User receiving the notification
Title and message of the notification
A link to the relevant work item
Overview of the channels through which the notification was sent

- Information security policies and processes
-
We follow several information security policies and processes to ensure the protection of data and compliance with relevant regulations:
1. Encryption
We support the encryption of sensitive data at rest, such as credentials for accessing external resources. Data in transit is encrypted using HTTPS. In our SaaS environment, virtual machines in Azure are deployed with disk encryption, and all backups are also encrypted. We support Bring Your Own Key (BYOK) if required.
2. Auditing
ShareDo maintains two audit streams: a forensic audit that records every touchpoint (data changes, task updates, etc.) with details such as date, time, user, and changes made. The second stream visually represents key case steps, helping users understand case-related events.
3. Personal Identifiable Information (PII) Management
Access to PII is strictly controlled based on application permissions.
4. Data Retention and Anonymisation
We provide features to permanently delete or anonymise data as required, such as during configuration changes or in response to "Right to be Forgotten" requests. We have tools for both anonymisation and destructive deletion, ensuring compliance with data retention policies.
5. Security Barriers
Security barriers allow us to configure security policies that restrict access to specific matters or roles, reducing the risk of human error. - Software Security Code of Practice
- Yes
Operational security
- Configuration and change management standard
- Supplier-defined controls
- Configuration and change management approach
- We follow structured configuration and change management processes within ShareDo to ensure reliable management of work types and system configurations. Administrators set up work type change rules and validation rules to control changes and prevent errors, including phase and sub-type mapping checks. Users are guided to resolve any validation issues before confirming changes. We create and maintain configuration artefacts with clear naming conventions and coordinate configuration teams across the organisation. All changes are recorded in chronology entries, providing an audit trail. These processes maintain system integrity, clarity, and consistency while enabling systematic, controlled updates.
- Vulnerability management type
- Undisclosed
- Vulnerability management approach
- We maintain a comprehensive vulnerability management process to safeguard system security and integrity. Regular vulnerability assessments identify potential weaknesses across infrastructure and applications. Identified issues undergo risk evaluation to prioritise remediation based on impact. Remediation measures include patching, software updates, and configuration adjustments to address vulnerabilities. Our systems are under continuous monitoring to detect emerging threats and respond proactively. All findings, actions, and remediation efforts are fully documented and reported, ensuring transparency, accountability, and an auditable record of security management.
- Protective monitoring type
- Undisclosed
- Protective monitoring approach
- We maintain robust protective monitoring processes to ensure system security and integrity. Auditing includes forensic audits, capturing all data changes and task updates, and case chronology, providing a visual history of key case steps. PII management enforces strict access controls and monitors user activity via audit logs to prevent unauthorised access. We support subject access requests by providing comprehensive records of participant interactions, accessible manually or via reports. Data retention and anonymisation processes allow secure deletion or anonymisation of information, ensuring compliance with configuration changes or "Right to be Forgotten" requests. These measures safeguard data, enhance transparency, and maintain accountability.
- Incident management type
- Complies with a recognised standard, for example, CSA CCM v4.0 or ISO/IEC 27035:2011 or SSAE-18 / ISAE 3402
- Incident management approach
- ShareDo maintains processes for logging, assessing and responding to incidents affecting availability, performance or data integrity. Incidents are categorised by severity, with escalation paths to ensure timely response. Clients are informed of incidents that may impact their operations. Root cause analysis is conducted for significant events, and corrective actions are implemented to prevent recurrence.
