Onboarding and offboarding
- Getting started
-
WiggleDesk provides a structured onboarding experience designed to ensure rapid adoption and confidence from day one. Implementation follows a phased model covering discovery, configuration, testing and go-live, with each stage supported by measurable outcomes and dedicated delivery resources.
Users benefit from an intuitive, web-based interface requiring minimal formal training. Upon first login, guided walkthroughs and contextual tooltips introduce the main features, including desk and room booking, floorplan navigation and check-in via QR code. Embedded video tutorials and a searchable online knowledge base are available 24/7 to reinforce learning and support self-service.
For administrators, WiggleDesk provides comprehensive virtual training sessions, typically delivered via Microsoft Teams. These sessions focus on system configuration, policy management and reporting. A “train the trainer” model ensures internal champions can cascade knowledge effectively, reducing reliance on external support.
Optional enhanced services include 1:1 onboarding support and photorealistic floorplan creation to aid user familiarisation. Post go-live, adoption is supported through quarterly governance reviews and access to Bellrock’s Community Portal, offering peer forums, live updates and roadmap insights.
This structured, multi-channel approach ensures users can start using WiggleDesk efficiently, with confidence and minimal disruption. - Service documentation

At the conclusion of a WiggleDesk contract, clients can receive a complete export of their data in csvs. Each CSV can include key datasets such as users, bookings, and their associated buildings, and team details.
Clients are given a default 14-working-day period to review and confirm successful receipt before all residual data is securely deleted or anonymised in compliance with UK GDPR and NIST data destruction standards. This ensures full control, data integrity and traceability throughout the offboarding process. - End-of-contract process
- When the contract ends, WiggleDesk ensures an orderly closure process covering data extraction, transfer, verification and confirmation of deletion. Support can be extended post-transition on request at a fixed daily rate.

-
WiggleDesk provides a public REST API and a SCIM 2.0 endpoint for identity provisioning.
What users can do
Set up access for integrations by having an organisation admin enable API access in the WiggleDesk admin portal and then enable API access per user.
Authenticate using a user-specific secret token (sent in the Authorization header).
Read booking/attendance data (for example: a user’s bookings, upcoming bookings, team upcoming bookings, and “users in office today”) to power dashboards, automations, or downstream systems.
Manage user access by creating membership invitations and removing memberships via REST endpoints.
Automate joiner/mover/leaver processes via SCIM (/scim/v2/Users) from an identity provider (e.g., Microsoft Entra ID) to create, update, disable, and delete users.
What users can’t do / limitations
API access cannot be enabled purely via API; it must be switched on by an admin in the UI.
Rate limit: 1,000 requests/day per user token by default (higher limits on request). - API documentation

WiggleDesk is delivered under Bellrock’s ISO/IEC 27001-certified Information Security Management System (ISMS). The ISMS defines and maintains our information security policies and procedures (including risk assessment, access control, acceptable use, asset and data classification, encryption, secure development and change control, vulnerability and patch management, logging/monitoring, incident management, business continuity/DR and supplier security).
Governance and reporting: overall accountability sits with Bellrock’s ISMS owner, with regular management review and reporting to senior leadership. The WiggleDesk product and operations teams operate within this framework, and security incidents/risks are escalated via our incident response policies.
We ensure policies are followed through mandatory staff security training, least-privilege role-based access and periodic access reviews, documented procedures, change approval, regular vulnerability scanning and remediation tracking, backups, testing, and internal audits. Compliance is independently verified through external ISO27001 surveillance and recertification audits, with corrective actions tracked to closure. - Software Security Code of Practice
