Workvivo will assign a designated Implementation Manager who will work closely with the Project Manager in Your Organization. Our very widely proven project methodology is inclusive of an "Organizational Readiness" workstream. Organizational readiness activities are crucial to ensuring awareness and enthusiasm for Workvivo prior to launch. The Workvivo team will work with Your Organization to build a communications plan and launch plans that engages your key stakeholder groups through multiple channels. Workvivo will also work closely with Your Organization to identify and train a network of champions that will generate interest and excitement amongst their peers in the lead up to the launch. Also included in this organizational readiness phase is Admin training, which combines product training with advice around internal communications best practices.

Workvivo is an intuitive and easy-to-use platform so any training required is minimal. The Workvivo Project team will support Your Organization in training the Super Users (Space Owners, Site Level Administrators, and Champions) and also support Your Organization in providing some training materials to employees. Training could include an FAQ document, user guides, how-to videos, or training webinars.

Workvivo conducts training using the Train-the-Trainer approach for Admins, Editors, Space Owners, and Champions.

End-of-contract data extraction
Customer owns their own data. Customers have the ability to extract datain multiple ways:
- Workvivo’s Analytics provides customers with the ability to extract key analytics data out of Workvivo into a CSV files.
- Workvivo’s Customer Success Team support our customers in providing an extract of data where required. This can include content / audit logs / analytics dashboards etc. In terms of process, the request for data is made via the Workvivo Customer Success Manager. The requested content is extracted from the Platform for live data and/or the Audit database for deleted content and provided to the Customer in CSV format.
For a more automated solution, Workvivo’s APIs and Webhooks are available.
- Workvivo’s APIs can be used to pull content from Workvivo as / when needed. This is available across a range of content types including posts, comments, events, articles etc.
- Workvivo Webhooks can be used to receive a copy of Workvivo content when an event is triggered.
End-of-contract process
In terms of purging data, there are a number of options:
- A global Data Retention period can be set, where data is automatically deleted after a specific time period / trigger.
- At a post level, content can be manually deleted or an ""Archive Date"" can be added to specific content types. Archival of the content is then automated at the set date. The content is no longer accessible to users but is not permanently deleted.
- Workvivo has logic in place to support the deletion or anonymisation of content for leavers. Your Organization will have a choice of 2 options (1) removal of content and interactions for deactivated users or (2) retention of content and interactions under an anonymized profile (Alumni capability) for deactivated users. This is where the user is deactivated but all their content remains visible on the platform under an anonymized profile.
- Workvivo also has controls in place to securely destroy all customer data in the event of a contract termination.

Workvivo provides centralized platform administration through its Admin Hub, where administrators can manage feature settings, toggle functionality on or off, and configure user roles and permissions from a single web interface. Administrators have quick access to tools and controls to moderate content and streamline platform management, while detailed governance and permission controls help oversee roles and access. End users access their own settings within the same platform environment, and administrators can apply role‑based permissions to control what features each user can interact with.

At Workvivo, we develop all our web features with Web Content Accessibility Guidelines (WCAG) 2.1 AA guidelines in mind, so that we are using industry standard web accessibility guidelines to make sure everyone can use our platform. We run daily automated test reports on the platform which serves as a final check to make sure no guidelines are broken with the introduction of new updates added to the platform.

For people with motor disabilities who primarily use a keyboard to navigate the web, they can comfortably navigate the platform as we develop our features so that every element can be reached via keyboard, every element has a clear focus state to let the user know they are focused on that element, every element is explicit in what it does if you press on it.

For people with low to no vision who primarily use a screen reader to navigate the web, they can do so as all our elements have explicit indication as to what the element does when pressed, alternative text is available on images to help describe what is within the image, any changes that happen on the UI will get announced to the screen reader user.

What users can and can't do using the API
At Workvivo, we use an API-first approach to software engineering. This means that every API we build for our own user interface and clients can be used by our customers and third parties to extend and interoperate with the platform. Workvivo has corresponding RESTful JSON APIs that can be used to integrate with the platform.

There are two primary types of API within the Workvivo API framework - user-level APIs and application-level APIs. Both of these are RESTful JSON APIs that support OAuth2 and JWT based authentication mechanisms. Our user-level APIs are contextual to an individual user and enable third-party applications to perform actions and retrieve data on behalf of a Workvivo user. The User API includes hundreds of endpoints, and supports every part of the Workvivo platform. It is the same API that we use in our Workvivo Web application and native mobile clients.

The application-level APIs are typically used for server-to-server administration tasks, or to complete actions outside of the context of an individual user (for example to import or export data). We also have specific standardized APIs at this level for things like user provisioning (via SCIM) and for pushing security related events to SIEM platforms.

Workvivo lets organisations customise many parts of the platform to reflect their brand and meet specific needs. Administrators can tailor branding elements such as themes, primary and secondary colours, navigation bar colour, company logo, main feed banners, space icons and banners, profile banners, badge icons, team icons, app and document icons, and useful link icons through the Admin Panel by uploading images and selecting styles to match corporate identity. Custom user profile fields can be added so employees see additional relevant information on their profiles. These fields are defined by the organisation and populated by users or via automated provisioning. Only users with appropriate admin roles or a Workvivo point of contact can perform these customisations, while individual users can edit their personal profile fields within the permitted fields.

Workvivo is a cloud-based SaaS platform, hosted on Amazon Web Services (AWS). Your Organization will have a choice of data residency from our 3 data centres (EU, US or Middle East).

Workvivo has hundreds of global customers on our platform and we run regular performance / latency tests from global locations to ensure we are delivering a consumer grade, responsive platform to all users regardless of their geographic location.

We leverage a number of services within AWS to ensure that the platform is responsive regardless of the location of each user. Workvivo utilizes's AWS CloudFront which is used as a content delivery network used for performance and distribution of static resources.

Weekly meetings held to request changes that need to be performed during maintenance windows. Change requests are presented, validated, and scheduled. Changes are approved by the Change Manager. Implementation in production should not be by the same individual who developed the change. When staffing levels do not permit this separation, management oversight and approval of the change and testing process ensure appropriate processes are followed. Zoom has a formal Vulnerability Management Plan in place. Zoom performs monthly vulnerability and web application scanning using an external party (Qualys). Scan reports are reviewed by our Security and technical teams and discussed with the engineering and development teams. Validated findings are tracked in our JIRA system throughout remediation.

Zoom has a monthly patch cadence. Zoom will patch all applications, workstations, and servers (virtual or physical) with all current operating system, database, and application patches deployed in our computing environment according to a schedule predicated on the criticality of the patch.     • Methods for engaging with different parts of the community (including the education system and charities representing the community) and how communities come together to inform decisions, strategy and projects to leave a positive legacy for future generations
    • Plans for positive actions with community groups.
    • Measures for making facilities used in the delivery of the contract available for community groups, education or training
    • Measures to engage users and communities and build relationships to increase community integration build trust and influence how the contract is delivered
    • Plans to respond flexibly and adapt approaches to community engagement and initiatives
    • Support for community-led initiatives relevant to the contract. Illustrative examples: improving transport links; reducing loneliness; helping with English language proficiency; and facilitating social mixing among people with different backgrounds
    • Collaborating with anchor institutions and community groups to make facilities available for education, training or community events

    • Understanding of opportunities for additional environmental benefits delivery in the performance of the contract, including working towards net zero carbon emissions and use of clean energy and green technologies
    • Understanding of how to influence staff, suppliers, customers, communities and/or any other appropriate stakeholders through the delivery of the contract to support climate and nature protection and improvement
    • Activities to reconnect people with the environment and increase awareness of ways to protect and enhance it
  • Mission: Break down barriers to opportunity: By reforming our childcare and education systems, to make sure there is no class ceiling on the ambitions of young people in Britain

    Policy Outcome 8: Increasing productivity through physical and mental wellbeing: In the supply chain and communities in the relevant area.

    • Understanding of issues relating to health and wellbeing, including physical and mental health, in the contract workforce
