How the quality assurance and performance testing works
Buchanan Computing has a robust and comprehensive data protection and security policy that goes well beyond the requirements of the Data Protection Act 2018 and those of the Information Commissioners Office. The company is registered with the ICO under that Act (registration ref.: ZA040442).

This policy is currently being reviewed for compatibility with the General Data Protection Regulation (GDPR) and the Data Protection Bill currently going through Parliament. No significant policy changes will be needed to achieve full GDPR compliance.

Information stored on the applications and hosted system related to traffic orders, sign design and road markings are assessed as not personal or confidential data. In the unlikely event that this information becomes available to parties other than Buchanan Computing or the contracting authority, this will have no bearing as the information would, in any case, be fully available to any member of the public through the Freedom of Information Act.

A number of Buchanan Computing’s staff have been vetted by two police constabularies and have obtained Level 3 and 2 clearance.

Buchanan Computing offers an enhanced service for clients to encrypt some of the data as an additional information assurance and security level.

How the support service works
Buchanan Computing’s management policies and procedures are driven by a communication channel accessible through the support team as first points of user contact. To support users needs providing help during and after service delivery.
The escalation process is tiered from first line->second line support to the development team as third line of support.

Handling parameters:
• First and second line support-user errors, assistance with following routines to manage or analyse information, report generation errors, data format errors.

• Third line support-issues relating to general software bugs that require developer attention.

• Support manager- service performance levels, system and application configuration, addition of modules and users, complaints about first, second and third line support staff.

• Director-addition of services, general commercial issues, compliance, policies and procedures, client director to director engagement.

Service scope

Service constraints
Buchanan Computing will carry out scheduled maintenance during an agreed maintenance window outside service core hours, unless otherwise agreed. Maintenance during core hours are only carried out as a last resort and this is kept to a minimum. All planned schedule maintenance (i.e. implementation of new enhancement, upgrades, hotfixes, changes etc.) can be carried out for up to 4 days in a year.

Through our integrated working arrangements, the support services teams will co-ordinate with the software application team to ensure all planned set-up and migration processes, account for any service constraints.

Fighting climate change

Buchanan Computing takes responsibility for its actions and endeavours to achieve a positive impact through its activities on the environment, customers, employees, and the public, including future generations. We provide professional services, whose main direct impact on the environment is limited to office work, printing and the cloud services we proved using resources of data centres. Through our environmental policy and purchasing policy, we aim to reduce its impact on the environment, including reduction in our Carbon emissions. Buchanan Computing purpose is to build applications and services that have a positive impact on the natural and social environment, and help local authorities achieve their environmental and social value goals, including: • Directly, by reducing road collisions, providing clear navigation aids and optimal designs for the most efficient safer use of the road space. • Indirectly, by bringing a set of benefits to residents and local businesses, such as reducing congestion, making safer streets, and lowering emissions In addition, we have championed the use of API services, such as those we provide in our products, to be used in order to reduce the need for unnecessary data replication. We estimate that data is commonly replicated over 100 times. If we could remove the power required for holding these replicated versions of the same data, by using APIs and webservices, we could reduce the country’s power requirements by a significant amount.
