Our planning approach is designed for flexibility, bringing our deep experience advising clients on cloud hosting, software, transition and transformation to your specific needs.
Discovery: We rapidly engage with key stakeholders to shape the vision and key objectives to create alignment and shared understanding. We leverage our extensive Business Analysis experience to document the as-is, including business and technology requirements, landscape, and key processes. These will inform the technical architecture and business capability model.
Planning and solution design: The defined target state shapes in-depth planning for vendor selection and implementation. We are vendor agnostic, with deep technical expertise in platforms such as Salesforce, AWS Experience, Azure, and Google Cloud. Following vendor selection we translate business needs into an iterative implementation plan using Agile principles, and engage key parties for migration planning, data cleansing, and readiness. Our plan includes dedicated testing of environments, accurate resource management, and internal capability-building to manage cloud solutions long-term.
Implementation planning: We are user-centric in our approach and understand the importance of landing changes, delivering a change impact assessment ahead of transition and integrating change activities into our program. We plan implementation for minimum disruption, understanding the importance of uninterrupted BAU activities throughout. - Planning service works with specific services

Our offering flexes based on the level of your proficiency in using cloud software and hosting services. We tailor our training to meet your specific goals and audiences. We can start with key concepts like outlining definitions, platforms and applications. We evolve into data modelling, system comparisons and scenarios for automation. We can then move into how to deploy, manage, and apply hosting services effectively. We provide content on key aspects of system management, including security settings, workflow management, reporting setup and user management.
Depending on the audience's training needs we deliver both self-serve and instructor led training. Our self-serve option utilises video tutorials and written guides that explain concepts, best practices, and troubleshooting tips. Participants will be tasked to implement learnings through staged scenarios in sandbox environments. We provide SMEs to be on hand for queries with learning materials, sandbox development, and to appraise participant progress in each scenario.
Our instructor-led courses break down our self-serve materials into interactive ‘classroom’ modules with live demonstrations, Q&A, and peer learning. We guide people through exams with curated sessions to get them certified in notable technologies (e.g. Salesforce, Zuora, Azure) to build self-sufficient internal capability. - Training is tied to specific services

Our cloud setup and migration services for government focuses on regulatory compliance, data security, and legacy systems handling, leveraging industry best practices.
During discovery, we engage with stakeholders from government agencies, IT departments, legal teams, and security experts to align the migration with organisational objectives and establish clear cloud governance frameworks.
During analysis and design, we conduct a comprehensive system and data management review to understand data flows, identify crucial legacy system capabilities to maintain following migration and key integrations. We then design a high-level technical architecture, assess technology options against your needs, and evaluate potential providers for cost, benefits, and long-term suitability, including compliance with public sector regulations such as GDPR and NCSC. We establish clear KPIs for migration success.
We create a detailed migration plan with stakeholders, defining timelines, resources and risk mitigation procedures ensuring minimal downtime and disruption to ongoing operations. We ensure data security and compliance protocols are in place during the migration.
Our go-live plan includes support for post-migration issues, a detailed cutover strategy, and a change management plan for seamless transition. We also prepare a rollback and disaster recovery plan in case migration needs to be reverted. - Setup or migration service is for specific cloud services

Our testing approach places users front of mind through usability testing to evaluate the user interface and overall user experience to ensure ease of use and accessibility.
We support development teams to develop a detailed test plan that outlines the scope, goals, resources, timelines, and methodologies for testing, considering both functional and non-functional testing requirements. We integrate with testing teams to support data auditing, process auditing, and system auditing.
Through stakeholder workshops, we understand the data architecture, supporting processes, and end-users. We define and build functional test scenarios, translating business requirements into testing scenarios and prioritising their delivery. We integrate with testing teams, providing users with comprehensive training to understand new systems, run test scenarios, and provide feedback. We offer extensive support during the testing journey, the results of which inform the system's iterative development, ensuring go-live readiness.
In such a highly regulated sector, we work with our partners to conduct security testing to uncover potential security vulnerabilities and address these prior to go-live. We incorporate performance standards of your organisation in line with your SLAs and conduct system testing to ensure it works as expected whilst upholding data security practices.

Fighting climate change
At Clarasys we are actively fighting climate change, both within our operations and through the delivery of our services. In 2024, Clarasys set a net-zero target with the Science Based Targets initiative (SBTi), committing to reduce scope 1 and 2 GHG emissions 42% by 2030, and reach net-zero across scopes 1, 2, and 3 by 2040 from a 2022 base year.
We are continually tackling our emissions hotspots. For our London office relocation, we optimised lighting control to save energy, reused office furniture to minimise new material use, and incorporated energy, water, and waste data into contracts for better emissions tracking. Under GCloud, we commit to concentrate on transitioning office electricity to renewables and cutting business travel emissions, in particular by substituting air travel with rail where feasible.
As a consulting firm, we understand the delivery of our services is where we can have the greatest impact in fighting climate change. In the last two years, we have delivered over 30 sustainability projects supporting organisations across the private, public and not-for-profit sector to accelerate towards net-zero, embed purpose and impact in their organisations and transition towards more sustainable and circular business practices.
For GCloud, we commit to reducing greenhouse gas emissions in our delivery activities, including prioritising public transport over more carbon intensive travel for necessary trips, procuring any required materials locally or from the UK and promoting digital alternatives like electronic ticketing and documents. At project onset, we will collaborate with you to identify, measure and address any further potential emission sources. We have the capability to deliver a training workshop for staff focused on carbon and / or other environmental topics to encourage sustainable behaviours. Using the National TOMs measure NT90, we can quantify the social value at £101 per hour, per attendee of any training sessions delivered.Covid-19 recovery
Since the outset of the COVID-19 pandemic, Clarasys has been committed to supporting employees and communities to recover. We started a number of hiring initiatives. We have recruited experienced hires and multiple intakes of associate consultants (providing training to recent graduates or those entering digital professions for the first time). Additionally, we have started an apprenticeship program to expand the number of routes to a professional services career that we offer.
Under G-Cloud we will support people and communities through:
Supporting dedicated charities: We will encourage Clarasys consultants to use their consulting skills pro-bono to charities who are feeling the impact of COVID-19.
We will offer workplace conditions that support the COVID-19 recovery effort by:
Continued health support: We will continue to offer its employees access to private health insurance allowing them access to GPs, occupational therapy, physiotherapy, discounted gym memberships and mental health services to aid those impacted mentally or physically by COVID-19.
Continuous review of workplace conditions: Every 6 months we will publish an employee insights survey, which will include staff wellbeing and workplace satisfaction scores.
We will support the mental health of people affected by COVID-19 through:
Flexible working practices: We will continue to provide flexible, remote and hybrid working, helping people to manage their mental health and enabling those who are shielding to continue to work effectively. We continue to allow people to work in a manner that best suits them in the wake of the pandemic, meaning we are adept at working with clients who also work in this way.Tackling economic inequality
Clarasys is an employee-owned small/medium enterprise (SME). We sit at the centre of a partner ecosystem of SMEs, enabling us to collaboratively deliver the best solution for government departments while supporting SME growth. We have used our expertise to support Voluntary, Community, and Social Enterprises (VCSE) working alongside the government (including Switchback, Nehemiah Project and Crimestoppers).
Under GCloud, we will tackle employment barriers through:
- Internal recruitment practices: We will reduce university degree requirements for entry level roles, and open apprenticeship roles to allow access to those from lower socio-economic backgrounds
- External community support: We will commit to support not-for-profits and charities related to contracts procured under this agreement, focussed on building employability skills in those from disadvantaged backgrounds. For example, based on our work in the MoJ, we donated pro bono hours to bounceback (a charity aimed at improving employability of prison leavers) to support prisoners with CV writing.
- External mentoring: We will mentor students who aim to build a career in consulting through an established partnership with 180 degrees consulting (a not for profit organisation aimed at building practical experience and employability for students targeting employment in management consulting).
We will influence staff, suppliers, customers and communities to increase resilience of the supply chain, through the delivery of contracts procured under this agreement:
- Innovative delivery: We will we continually roll out new technologies including process visualisation and generative AI tools which we will use and demonstrate use of throughout engagement with civil service teams
- Ongoing training and upskilling: We will use a rigorous handover approach to train and upskill civil servants, suppliers and communities (where appropriate) on latest approaches and technologies to deliver policy outcomes.Equal opportunity
Clarasys’ purpose is to “make a lasting impact on the way people work, live and grow”. We believe we cannot deliver this purpose if we do not commit to fostering equal opportunity.
Under Gcloud, we commit to reduce inequality in the contract workforce through the following measures:
Reduce bias in employment practices: Reduce university degree requirements for entry level roles, and open apprenticeship roles.
Transparency in our pay process, and proactive management of biases: Our HR will internally publish updated pay gaps across all demographics. They will also monitor pay gaps and promotion rates to assess for bias in decision-making. They will re-review all decisions if discrepancies appear and implement changes to correct them.
We will reduce the disability employment gap through the following measures:
Support varied needs: We will internally publish the inclusive collaboration tools training for all consultants, to ensure they are using inclusive practices in their work. We will maintain flexible working practices and will provide assistive technology requested to support the fulfilment of roles in our supply chain (100% of employees agreed they have the equipment needed to be successful in 2023).
Support varied needs in recruitment: Offer prospective candidates reasonable adjustments to be able to engage fully in our recruitment practices (e.g. allowing additional time in assessment centres and case study interviews for dyslexic candidates).
We will influence your staff, and customers through:
Flexible and hybrid working: All Clarasys consultants in the contract workforce will have access to and apply bespoke inclusive working guidance, providing guidance on online collaboration tools and techniques that adhere to WCAG accessibility requirements. This will ensure that your staff can effectively engage with our work.
Knowledge sharing: For contracts procured under this agreement, we will deliver an inclusive working practices workshop to share our award winning practices and resources.Wellbeing
Core to our culture at Clarasys is our respect and encouragement of feedback and open conversations across grades, experiences, and roles. We believe that our flat hierarchy is fundamental to wellbeing, ensuring people have a say and their opinions and beliefs have impact. As we are employee owned it is crucial that we make key decisions as a collective, and people can come to work excited about the work they do and feeling that their efforts have purpose.
Under G-Cloud, we will commit to support the health and wellbeing of the contract workforce through:
- Wellbeing champions: Each of our client delivery teams has a wellbeing champion who is supported by a wider wellbeing network. This helps to facilitate access to our comprehensive wellbeing offerings, including: a full-time performance psychologist, professional mental health support, wellbeing events, a Wellbeing Hub with resources, emotional intelligence training, financial wellbeing support, office facilities such as quiet spaces, and a robust recognition system.
- Proactive identification of wellbeing issues: We will provide all of our managers with bespoke wellbeing training to identify and navigate wellbeing issues in their teams.
We will influence your staff and suppliers to support the wellbeing of civil servants by providing them with access to our suite of Wellbeing Hub resources, a robust collection of additional tools to help employees manage their wellbeing across a number of topics.
We will demonstrate and influence your staff to integrate with communities through our collaborative delivery approach. Throughout contracts procured under this agreement, we will champion holistic delivery approaches including communities and all impacted stakeholders in the design phases of our work to set them up for success. For example, identifying community members to test concepts with and input into requirements.
