Onboarding and offboarding

Getting started
SureCloud supports enterprise customers in starting quickly and confidently through a structured onboarding and enablement approach designed for complex environments. Each customer is assigned a dedicated implementation specialist who works closely with stakeholders to plan, configure and deploy the service. Implementation timelines are agreed upfront and tailored to scope, data complexity and organisational structure.

Onboarding includes configuration of the core platform, setup of required frameworks, and alignment of workflows to the customer’s governance, risk and compliance operating model. Where required, SureCloud supports the migration of data from spreadsheets or existing systems to minimise disruption and maintain continuity. Design users receive dedicated enablement to allow them to independently configure workflows, forms, dashboards and reports using the platform’s no-code tools.

Training is delivered remotely as standard and is role-based, covering administrators, design users and general users. Sessions are focused on real operational use cases, ensuring teams can apply the platform immediately within their day-to-day activities. Onsite training can be provided by arrangement where required.

SureCloud provides access to online user documentation, a Knowledge Base, in-product guidance and reusable templates to support ongoing learning and adoption. After go-live, customers continue to receive support through regular check-ins and access to the SureCloud support team.

End-of-contract data extraction
At the end of the contract, users can extract their data from SureCloud in multiple ways, depending on their technical capability and requirements. The service is designed to ensure customers retain full ownership and access to their data and can retrieve it in a usable format.

Users can export data directly through the platform user interface. This includes structured records such as risks, controls, assessments, actions, audit working papers and reports. Exports are provided in common, open formats to support reuse and migration to other systems.

For customers requiring more automated or large-scale extraction, data can be retrieved via SureCloud’s APIs. This allows organisations to programmatically extract data, integrate with downstream systems, or support a structured transition to a new platform. API access is governed by standard authentication and access controls.

Where additional assistance is required, customers can request support from SureCloud’s team. This may include coordinated bulk exports, support for complex data structures, or guidance on data interpretation. Any such support is delivered in line with agreed security and access controls.
End-of-contract process
At the end of the contract, SureCloud works with the customer to ensure an orderly and secure service closure. Data is retained and handled in line with the terms of the contract and applicable data protection requirements.

The contract price includes access to the SureCloud platform for the agreed term, hosting, maintenance, updates, standard support, and the ability to export customer data at contract end. This ensures customers can retrieve their information without additional licence fees or penalties.

Once the agreed termination period has elapsed, the system is fully deactivated. Customer data is then securely retained or deleted in accordance with contractual obligations and regulatory requirements.

If customers require additional assistance beyond the standard contract terms, such as bespoke data extraction, large-scale bulk exports, or engineering-led support for complex data structures, this can be provided as a professional service. Any such support is delivered on a time-and-materials basis and may incur additional service days, agreed in advance with the customer.

Description of customisation
Users can customise SureCloud Enterprise through a controlled, no-code configuration model designed for designated design users. The service enables organisations to tailor the platform to match their own governance, risk, compliance and audit operating model, rather than relying on fixed or vendor-defined workflows.

What can be customised includes workflows for risk, compliance, audit, privacy and third-party processes, risk scoring models, impact and likelihood criteria, control frameworks and mappings, questionnaires, dashboards, reports and metrics. Users can also configure approval stages, record statuses, notifications, escalation rules and reporting outputs.

Customisation is carried out directly within the platform using built-in visual configuration tools. Design users can modify forms, workflows and templates without writing code, using out-of-the-box templates and reusable components as a starting point. Changes can be applied incrementally, allowing processes to evolve as regulatory obligations, organisational complexity or risk appetite change. No developer input or vendor intervention is required for standard configuration.

Only authorised design users can customise the service. These users are typically experienced GRC practitioners and receive dedicated training during onboarding. Standard users can operate within configured processes but cannot change system design, ensuring flexibility while maintaining control, consistency and audit integrity.
