The system is optimised for modern browsers and mobile devices but does not support Internet Explorer. M3Vision focuses on asset management and does not include housing management features such as rent or tenancy management, which must be handled via integration. Onboarding and offboarding
- Getting started
- M3 supports users in starting to use M3Vision through a structured onboarding and training approach. This typically includes demonstration sessions to introduce core workflows and functionality. Training is provided remotely as standard and can also be delivered in person where required, covering both end users and system administrators. Users have access to comprehensive documentation, guidance articles, and training materials via M3’s online support and knowledge resources. During implementation, consultancy support is available to assist with data preparation, configuration, governance setup, and aligning the system to organisational processes. Ongoing support is available through the service desk to help users adopt the system effectively following go-live.

- End-of-contract data extraction
- When a contract ends, users retain access to M3Vision until the licence expiry date, allowing them to extract their data and export it. Data can be exported in Excel (XLS) format. Where required, additional data extracts can be provided on request to support transition to another system. Access is removed after the licence period ends, in line with agreed data retention and security policies.
- End-of-contract process
- At the end of the contract, access to M3Vision continues until the agreed licence expiry date. During this period, users can export their data and complete any agreed transition activities. Following contract expiry, system access is removed in line with contractual terms and data retention policies. Customer data can be securely exported, deleted, or retained in accordance with agreed requirements and applicable data protection obligations. The contract price includes access to the hosted M3Vision service, routine maintenance, software updates, and standard remote support during business hours. Additional costs may apply for optional services such as on-site support, bespoke consultancy, data migration assistance, or extended training, where these are requested separately.

- API
- Yes
- What users can and can't do using the API
- Users can carry out most actions available in the front end via the API. Vision has 750-1000 endpoints for all CRUD operations a user may require. These are protected through JSON Web Token Authentication and Role Based Authorisation. e.g. a View Only User can view properties but not generate reports. API integration with 3rd party providers requires liaison with Vision Product Owners and Developers to facilitate and ensure correct API usage.

- Customisation available
- Yes
- Description of customisation
- Users can customise M3Vision extensively through configuration rather than code changes. Authorised customer administrators can configure asset hierarchies, attributes, and data schemas to reflect organisational structures. Survey templates are fully configurable, with no limit on template numbers or attribute types. Schedules of Rates can be tailored to align with internal cost models and standards. Quality standards, including Decent Homes and bespoke standards, can be configured and versioned. Reporting and dashboards can be customised to display forecasts, compliance status, lifecycle planning, and survey coverage metrics. Users can configure planned versus actual lifecycle replacement reporting and identify non-compliant properties. Integrations can be selected and enabled based on requirements, including energy and compliance systems. Survey data, inspection outcomes, photos, and supporting evidence are managed within the platform. Customisation is typically carried out by trained customer administrators, with optional support from M3 consultants where additional configuration or assurance is required.
Scaling
- Independence of resources
- Customer workloads are isolated across multiple Azure virtual machines to prevent resource contention between tenants. Capacity is actively monitored, and memory and compute resources are scaled vertically when required. Azure infrastructure provides guaranteed resource allocation at the VM level, ensuring one customer’s usage cannot degrade another’s performance. In addition, workload distribution and operational monitoring allow proactive intervention before resource saturation occurs.

Availability and resilience
- Guaranteed availability
- M3Vision is provided on a best-endeavours availability basis, supported by resilient, centrally managed cloud infrastructure. Planned maintenance is scheduled in advance and communicated to customers to minimise disruption. While no specific uptime percentage is guaranteed, service availability is actively monitored and managed. Where availability issues occur, they are handled in line with the agreed support arrangements. Any service credits or refunds relating to availability are applied in accordance with the contractual terms agreed with the customer, rather than automatic financial penalties.
- Approach to resilience
- M3Vision is designed to be resilient and is hosted on secure cloud infrastructure provided by an accredited hosting partner using Microsoft Azure. The hosting environment supports high availability, subject to planned maintenance, and includes geo-redundant backups to protect against regional outages. This ensures continuity of service even if a single datacentre or cloud region is unavailable. Resilience is further supported by robust backup and recovery arrangements. Data is protected through regular backups and replication, enabling systems and data to be restored quickly in the event of a failure. Physical and logical security controls are in place to protect infrastructure, including restricted access, monitored environments, and encrypted storage. Business continuity is supported by documented recovery procedures and tested processes. Detailed information on datacentre architecture, backup schedules, and disaster recovery arrangements is available to buyers on request.
- Outage reporting
- M3Vision reports service outages and service-impacting issues through email alerts. Customers are notified when an outage occurs and are kept informed of progress and resolution updates.

- Configuration and change management approach
- M3Vision uses a controlled configuration and change management approach to manage updates throughout the service lifecycle. Core service components, configurations, and releases are version controlled and tracked from development through testing, deployment, and live operation. Configuration changes are managed through defined administrative controls, ensuring changes are logged and traceable. All changes are assessed before release to identify potential impacts on security, performance, and availability. Changes are deployed in a managed manner, with maintenance communicated in advance where relevant, and rollback procedures available if required.
- Vulnerability management type
- Supplier-defined controls
- Vulnerability management approach
- M3Vision operates a structured vulnerability management process. Software defects and potential vulnerabilities are logged in a central tracking system and assessed based on security impact, business risk, and operational reliability. Issues are prioritised accordingly. Critical security patches are deployed as soon as practicable, while non-critical updates are included within scheduled release cycles. Information on potential threats is obtained from security monitoring tools, supplier notifications, and industry security advisory services. Infrastructure updates are applied in line with an established patch management policy.
- Protective monitoring type
- Supplier-defined controls
