All customers receive standard support as part of the Spare Platform subscription. This includes email and online ticketing support, issue tracking with status visibility, severity-based triage, and escalation. Standard support covers normal business hours, with 24/7 support available for critical, service-impacting issues to ensure continuity of operations.

For larger or more complex deployments, Spare also offers enhanced (enterprise) support. This provides increased engagement from Spare’s Partner Success team, proactive operational support during launches or peak periods, and closer coordination with engineering and product teams.

Cost of support levels
Standard support is included in the core platform pricing. Enhanced support is provided through an annual Partner Success Fee, which varies based on service size, complexity, number of vehicles, and operational scope. Pricing is agreed contractually rather than through fixed, named support tiers.

Technical account management and cloud support
Spare provides a Partner Success Manager / Technical Account Manager as the primary point of contact, responsible for support coordination, escalation, and ongoing operational success. Cloud infrastructure, monitoring, security, and incident response are managed by Spare’s internal engineering and cloud operations teams, with no requirement for customers to manage infrastructure or support engineers directly.

Onboarding and offboarding

Getting started
Spare supports users through a structured onboarding and implementation process designed to minimise disruption and accelerate adoption.

Each customer is assigned a dedicated Partner Success Manager who acts as the primary point of contact throughout onboarding. The process begins with service discovery and configuration, where Spare works with the customer to define service types, operating rules, zones, vehicles, eligibility settings (if applicable), and integrations. Spare supports data migration from existing systems, including rider, vehicle, and operational data, using a proven, step-by-step migration approach.

Spare provides role-based training for administrators, dispatchers, booking agents, and drivers, delivered through live training sessions, guided walkthroughs, and supporting documentation. Rider-facing tools are supported with communication materials to help riders transition to mobile apps, web booking, or phone-based booking.

During launch, Spare offers hands-on go-live support, closely monitoring operations, responding to issues, and fine-tuning configuration as needed. After launch, ongoing support is provided through Spare’s support team and Partner Success function, including regular check-ins, performance reviews, and continuous optimisation.

This approach ensures users are confident, well-trained, and supported from initial setup through live operations and beyond.

End-of-contract data extraction
Spare ensures customers can securely and efficiently extract their data at the end of the contract, in line with data ownership and privacy requirements.

All data generated within the Spare Platform remains the property of the customer. Upon contract termination, Spare supports data extraction through standard, non-proprietary formats, enabling customers to retain and reuse their data without vendor lock-in.

Customers can extract data in the following ways:

Data exports from the Spare Platform, including rider profiles, trip history, operational records, vehicle and driver data, configuration data, and reporting outputs

Open API access, allowing customers to programmatically retrieve their data prior to contract end

Data warehouse access, where applicable, enabling bulk export of historical and operational data for analytics or archiving

Spare works collaboratively with customers during offboarding to define the scope, format, and timing of data exports. Exports are typically provided in commonly used formats such as CSV or via secure API endpoints.

Following confirmation of successful data handover and subject to contractual and regulatory requirements (e.g. GDPR), Spare will securely retain or delete remaining data in accordance with its data retention and privacy policies.

This approach ensures transparency, continuity, and compliance throughout the contract close-out process.
End-of-contract process
At the end of the contract, Spare follows a structured and transparent offboarding process to ensure continuity, data protection, and compliance with contractual and regulatory requirements.

Spare works with the customer to confirm whether the service will be renewed, extended, or terminated. If the contract ends, Spare supports the customer in extracting their data, including operational, historical, and reporting data, using agreed formats and secure transfer methods. All data generated within the platform remains the property of the customer.

During the offboarding period, Spare provides reasonable cooperation to support transition planning, including clarifying data structures, export options, and timelines. Access to the platform remains available until the agreed contract end date, allowing customers to complete final exports and operational close-out activities.

Following confirmation that data extraction has been completed, Spare will securely retain or delete customer data in accordance with contractual terms, GDPR obligations, and Spare’s data retention and security policies. Any retained data is limited to what is legally or contractually required.

All hosted infrastructure, software access, and support services are then decommissioned in a controlled manner. This approach ensures a clean, compliant, and low-risk contract close, while protecting customer data and operational integrity.

Spare provides both mobile and desktop services, designed for different user roles. Mobile applications are primarily used by riders and drivers. The Rider app (iOS and Android) enables trip booking, management, real-time updates, and tracking, while the Driver app supports trip execution and navigation during operations. Desktop access is delivered through a web-based platform for administrators, dispatchers, and booking agents, supporting service configuration, scheduling, dispatch, live monitoring, and reporting. A web-based rider portal is also available for users who prefer not to use smartphones. Desktop access requires only a modern web browser.

The rider-facing mobile and web applications can be white-labelled, including agency branding, colours, logos, service names, and rider communications. Optimisation priorities can be tuned to reflect local goals such as on-time performance or productivity.

Most customisation is completed through Spare’s secure, web-based administrative interface, allowing authorised users to update settings without software development. White-label branding is configured during implementation with Spare. Approach to resilience
Spare’s service is designed for resilience at both the application and infrastructure levels to support mission-critical transport operations.

The Spare Platform is delivered as a cloud-based, multi-tenant SaaS solution hosted on Google Cloud Platform (GCP). The service is built using a distributed, stateless architecture, allowing components to scale horizontally and recover automatically from failures without customer impact. Continuous monitoring, automated health checks, and alerting enable rapid detection and response to incidents.

Spare’s optimisation and operational services are designed to tolerate component failure by redistributing workloads across available resources. This ensures that spikes in demand, partial outages, or infrastructure failures do not degrade service performance for individual customers.
