Web chat accessibility testing.
As part of our implementation of a WCAG 2.2 compliant web chat solution ahead of G-Cloud 15 going live, we will carry out structured accessibility testing with users of assistive technologies. Where possible, we will involve users who rely on assistive technologies to complete realistic web chat tasks. Accessibility testing will not be a one-off activity. We will repeat assistive technology testing following significant updates to the web chat interface or underlying platform to ensure continued compliance with WCAG 2.2. This approach ensures our web chat service is usable by people with a wide range of access needs and supports public sector accessibility requirements. - Onsite support

- Support levels
- Zinc has a dedicated customer support team available 9am - 6pm UK time, Mon-Fri, excluding UK public holidays. Webchat response time SLA is 90 seconds. Customer Support is backed up by an AI-powered chat support function that operates outside of traditional UK working hours resolving up to 67% of all inquiries without referring the case to our customer support function. Additionally, customers are assigned account management support from the Zinc team. Level of support is relative to the size of the account with AMs contactable via email and video call. Zinc’s approach is that our users and candidates should have the best possible background checking experience, and that background screening should feel as instant and painless as possible. Our Account Management team can support from day one. AM will lead your onboarding training, alongside monthly reviews for the first quarter, then moving to quarterly reviews thereafter. We offer regular review sessions and direct line support, as well as additional training as your team grows. You will also have a clear escalation process to Zinc's subject matter experts across various teams should the need arise at any point.

Onboarding and offboarding
- Getting started
- Account creation and configuration are self-serve, allowing customers to tailor the platform to their specific requirements. The onboarding process includes a kick-off call led by either a dedicated Account Manager or our shared Account Management team, depending on the selected plan. This session provides a comprehensive platform demonstration, covering end-to-end workflows, the candidate experience, and how to review and manage screening results. Integrating your HR systems is straightforward with our implementation guidance, and background checks can be initiated either directly from your ATS or within the Zinc platform. Customers on the Enterprise plan benefit from a structured implementation plan as well as hypercare within the onboarding period. Ongoing support is provided through service documentation, training videos, access to our Knowledge Base, and live chat support for both customers and candidates.

- End-of-contract data extraction
-
Zinc provides clear and reliable data extraction processes to ensure customers retain full access to their data at the end of the contract. Data extraction is designed to support an orderly transition and avoid supplier lock-in, while maintaining security and data protection obligations.
Customers can export data directly through the Zinc platform using self-service tools. Exports are available in commonly used formats including CSV, Excel and JSON, and can include candidate records, screening results, compliance documentation and audit trails.
For larger datasets, Zinc can provide secure data transfers using encrypted file delivery or secure file transfer protocols (SFTP). Data is typically made available within five business days of an agreed request.
Exported data is provided in standardised formats designed to support onward use or migration to alternative HR, compliance or screening systems. Zinc provides supporting data dictionaries and field mappings where required.
Retention period
Following contract termination, customers have up to 90 days to complete data extraction before secure deletion commences, in line with Zinc’s data retention policy and GDPR requirements.
Zinc provides technical support throughout the data extraction process to support successful migration. All extraction activities are logged and auditable, ensuring compliance with data protection and information security obligations. - End-of-contract process
-
At the end of the contract, whether at expiry or early termination, Zinc supports a structured and orderly exit designed to minimise disruption and avoid supplier lock-in. On receipt of written notice in line with contract terms, Zinc confirms the request and agrees an exit timetable with the customer. Progress is managed through regular check-ins to identify and resolve risks early. Zinc continues to deliver screening services, support and agreed service levels until the contract end date, enabling customers to maintain safe and compliant screening during transition. All screening data remains the customer’s property. Zinc agrees a data download window and provides customer data and reports in commonly used, open formats suitable for onward use or migration. Data is transferred securely and Zinc will cooperate with any successor supplier or in-house team. Once data retrieval is confirmed, Zinc securely deletes customer data in line with data protection and information security obligations, providing confirmation on request.
Pricing and additional costs:
- Standard exit planning, service continuity, data extraction, secure transfer and handover support are included in the contract price.
- Any non-standard or additional support beyond the agreed exit scope would be agreed in advance and charged at contracted rates.

Zinc maintains a public uptime dashboard at https://stats.uptimerobot.com/Nn2WNuZn6P, which provides real-time availability information for both the Zinc application and API. If required, Zinc can also update the public website and display service banners through the live-chat interface, which is accessible to customers and candidates during standard support hours. In line with Zinc’s Business Continuity, Disaster Recovery, and Incident Management policies, any unplanned outage is automatically classified as an incident and escalated immediately to the ISMS Governance Council. Outage-related incidents require prompt internal notification, documented severity assessment, and coordinated communication led by the appropriate members of the Council. Where an outage results in customer impact, Zinc contacts affected customers directly in accordance with its contractual and regulatory obligations. This may include providing email updates or other agreed communication methods to ensure customers receive timely and accurate information on service status and remediation progress.

- Zinc operates a comprehensive Information Security Management System (ISMS) aligned to ISO/IEC 27001:2022, supported by a full suite of formal security policies and operational procedures. These include policies covering access control, incident management, operations security, secure development, business continuity and disaster recovery, cryptography, asset management, vendor management, data protection, and acceptable use. All policies are approved by the ISMS Governance Council and reviewed at least annually to ensure continued suitability and compliance. Zinc’s reporting structure is defined in our Roles, Responsibilities and Authorities Policy, which establishes the ISMS Governance Council- comprising of the Information Security Analyst, Head of Legal, VP of Engineering, CEO, COO, CMO, and engineering representatives. This body oversees major security initiatives, monitors risks, reviews incidents, approves policies, and ensures adequate resources for the ISMS. Policy adherence is maintained through mandatory onboarding and annual security training, quarterly access reviews, regular risk assessments, internal audits, vulnerability scanning, and penetration testing. Management reviews and continuous improvement processes ensure ongoing oversight and that all controls operate effectively.

- Protective monitoring approach
- Zinc operates continuous protective monitoring across its production environment to identify potential security compromises. Production systems generate detailed logs capturing user activity, system events and security-relevant conditions. Logs and alerts are monitored using cloud-native tooling including AWS CloudWatch and GuardDuty. When a potential compromise is identified, events are triaged immediately, severity is assessed, and the appropriate escalation path is triggered. High-severity incidents prompt activation of the Incident Response Team. Critical and high-severity incidents require immediate notification and response, with governance council members convening within hours.
- Incident management type
- Supplier-defined controls
- Incident management approach
- Zinc operates an Incident Management Policy that defines how security events are identified, assessed, and resolved. Zinc maintains pre-defined processes for common incident types, including malware alerts, service outages, and potential data breaches.
