Onboarding and offboarding

Getting started
CDS has been a Relativity partner for over 20 years, developing scalable, flexible, and proven onboarding and training solutions. CDS understands that each client has unique requirements, and as such offers a tailored implementation frameworks, structured around client-specific priorities, capabilities, and workflows.

CDS will develop a training, onboarding, and certification methodology that will be applicable to each client, ensuring seamless deployment, upskilling of key user groups, and long-term ongoing knowledge transfer.

A custom training plan will be developed, outlining groups within the organisation that require training and the level of training required i.e. reviewer, user, administrator. During this process the following will be defined:
• Key stakeholder roles
• Training dates and frequency
• Number and types of training sessions
• Sign-off criteria and adjustments\customisations

CDS will work to configure workflows, templates, profiles, and workspace structures aligned to live use cases. This ensures training is scenario-based and contextually relevant.

Foundational Training
• CDS will conduct foundational training to prepare all core user groups.
• Go-live readiness is determined jointly, with flexibility to accommodate partial rollouts if necessary.

Training can be delivered via a mix of in-person, virtual, and hybrid sessions. Trainers will include Relativity Certified Trainers and Relativity Masters.

End-of-contract data extraction
Data can be extracted removed in multiple ways:

End-of-contract process
At the of the the contract, your project management team will discuss next steps and the options available. These options are as follows:

Case Deletion
If the matter has concluded and the data is no longer required, data will be deleted at an hourly rate and a certificate of destruction will be issued

Case Backup
If the matter has concluded and the data is still required a Relativity ARM backup, native file export or load file export can be provided for preservation. This is charged at an hourly rate, or for repeat users automated via CDS Auto Archive.

Case Migration
If the customer is not happy with the service from CDS either via monthly adhoc pricing, or at the end of subscription. CDS will work with the client to migrate any remaining cases to a new vendor or internal solution. Charges will be at an hourly rate.

The RelativityOne Aero UI, is a lightning fast interface which has been designed for ease of use, to reduce button clicks and streamline usage.

The UI provides the ability for users to search for key functionality, or navigate intuitively around menus or use an AI assistant for support. Within the platform users can review documents from a wide range of file types in a single unified viewer, including chat and mobile data, with keyword highlighting, redactions and integrated AI.

Users can add dashboards and visualisations as well as build custom pages and applications to meet any need.

Users can access the system from a range of browsers. To aid in accessibility, users can use items such as keyboard shortcuts, and zoom functionality. Users can reconfigure the UI to adjust panel sizes and locations to their needs, split the panels across multiple monitors, adjust the font size and other elements to improve readability.

Descriptive browser tabs can also be used by screen readers to allow ease of identification. Users can also use a simplified mobile application for coding documents on a mobile device or tablet.

As part of the development process, Relativity's User Experience Team conducts research that considers accessibility. Availability and resilience

RelativityOne will be available at least ninety-nine point seven-five percent (99.75%) of the total time in each calendar month (“Availability”). Availability is calculated by dividing the measured time RelativityOne is available to be used or accessed by Client and its authorised Users by the total time in the applicable calendar month, and then expressing the result as a percentage.

In the event of a Service Level Default, Client’s exclusive remedy for such failure is to request that CDS issue a service credit (“Credit”) to Client equal to the pound value of the number of minutes of the Service Outage (determined at the per- minute rate CDS charges Client for RelativityOne storage).
Approach to resilience
RelativityOne is hosted on Microsoft Azure using a Platform-as-a-Service (PaaS) architecture designed for high availability, resilience, and scalability. The platform is deployed in a fully redundant N+1 configuration across all core components, including network, storage, compute, database, and application layers, enabling both horizontal and vertical scaling on demand.

RelativityOne incorporates robust business continuity and disaster recovery controls. In the event of a major incident requiring full recovery, the Recovery Time Objective (RTO) is 72 hours; for partial recovery scenarios, the RTO is 24 hours. Recovery Point Objectives (RPOs) are 1 hour for SQL data, 24 hours for file data and analytics indexes, and 4 hours for all other data types. SQL databases are backed up every five minutes, with file backups performed daily.

The service leverages Azure zone-redundant storage (ZRS), ensuring data is synchronously replicated across three physically separate Availability Zones within a region. Backups are encrypted and stored in redundant Azure data centres. Automated monitoring and logging are in place to identify and remediate backup failures.

Disaster recovery and business continuity plans are tested annually through structured exercises, supported by biannual tabletop testing and continuous review following material changes. Information security controls are fully embedded within all continuity procedures.

Access to RelativityOne management interfaces and support channels is tightly controlled through formal access control and privileged access management policies.
