How the planning service works
We assign each of our customers a dedicated Relationship Manager who will be your primary point of contact as well as a dedicated Engagement Delivery Manager who will be responsible for shaping the services, outcome and deliverables as well as for ensuring the quality of service delivery.
Together they will work with the buyers, and where appropriate other suppliers, to undertake an in-depth discovery process to quickly gain a full understanding of their requirements in order to design the best solution for their needs.
With experience gained from a wide range of industries and using diverse delivery methodologies, we approach planning with a pragmatic combination of industry best practice and real world expertise and insight.
This enables us to produce a plan tailored to a buyers specific requirements with a high degree of confidence that outcomes can be achieved within the estimated timescales.
The planning process also allows us the opportunity to start to build collaborative relationships both with both end client and third party supplier teams and start to develop the “one-team” ethos which we hope to build in all our engagements.

As such we try to ensure that knowledge transfer is embedded as a deliverable in each Statement of Work to ensure that it is carried out satisfactorily prior to our services ending.

Our services operate to industry standards and agile frameworks which embed quality assurance into delivery. Our consulting teams regularly review project delivery against GDS standards and relevant quality measures to identify and address quality improvement 'early and often'.
We can also offer Quality Assurance and/or performance testing either as part of a wider delivery or as a discrete service.
Where our clients require specific QA, systems or performance testing for cloud transformations and cloud services, we can develop bespoke QA and performance testing strategies, implement testing frameworks and best practise, conduct user acceptance testing, cloud platform performance, load testing and wider NFR testing.

We provide each of our clients with a dedicated Relationship Manager who will be their main point of contact and will be available to be reached by telephone or email during office hours and answer any support enquiries in an effective and efficient manner.
In addition to a dedicated Relationship Manager, our clients are also assigned a dedicated Engagement Delivery Manager who will undertake regular Service Reviews with the client where performance against agreed service levels and deliverables is measured and any potential issues highlighted early and any remedial action proactively taken.

Both your Relationship Manager and your Engagement Delivery Manager will available via email at anytime during business hours between Monday to Friday and we aim to respond same working day and address by next working day. Fighting climate change

We partner with Greenify, an environmental consultancy who help us offset the carbon emissions created by running our offices. In 2023, our subscription contributed to 1,220 trees planted in 6 countries, the recovery of 3 tonnes of ocean-bound plastic waste and 1800 tonnes of CO2 avoided. We will continue this partnership throughout the life of the framework, and will offset 36 tonnes of carbon emissions annually, a 302% reduction against our 2020 baseline. In addition, we will introduce a 'greenify your hire’ service, allowing us to buy certified carbon credits each time a client engages an associate through Stellarmann, including planting 8 trees per person.

We are in the process of moving any spend on marketing materials to GRS certified products, but with an overall ambition to move to digital content where possible.
We have discontinued company car schemes in favour of promoting the use of public transport among employees and have ensured that all our offices are on active public transport routes.

To ensure our supply chain supports our environmental goals, we aim to conduct environmental audits on high-risk key suppliers.

We commit to using certified green energy providers, and already use 100% renewable sources in our offices. We'll conduct annual energy audits to track progress and identify areas for improvement. Together our actions will help achieve the goals in the government 25-year environment plan and to reduce carbon emissions by 78% by 2035.

In line with the Government's 25-year environment plan, and to support effective stewardship of the environment we are committed to achieving Net Zero emissions by 2050. We have interim targets to reduce emissions by 34% by 2030 and 61% by 2035, using our 2020 baseline, where we had total emissions of 11.91 tons of CO2.

We aim to achieve ISO14001 EMS accreditation within two years.

Covid-19 recovery

In our efforts to support the recovery from the effects of COVID-19, we prioritise recruiting locally for positions that are predominantly office based and all of which represent opportunities in the high growth technology sector.

Via our partnership with Sussex Community Foundation, we have directly contributed over £74,000 to support a variety of grassroot charities and local community groups in the Brighton & Hove area many of whom have been actively working to help the local community recover from the effects of Covid -19.

We are committed to helping sustain our local businesses, so where possible, we always try to support the economy by engaging with local suppliers.

We provide mental wellbeing support to our permanent employees by providing confidential access to a CBT practitioner who specialises in Mental Health, as well as running regular workshops on topics such as mindset & resilience. Additionally, we have a trained Mental Health First Aider within the business.

We recognise that increased flexibility can be of great assistance to employees in both undertaking their role and balancing outside commitments, therefore we have implemented flexible working to enable employees to maintain a better work life balance. This ensures that our employees are better equipped to respond to, and manage, the demands of everyday working life alongside any additional demands they may face due to external factors, such as COVID-19.

During & post Covid, we have maintained increased cleaning of the office and kept the Perspex screens separating face to face desks to maintain social distancing. The company operates a hybrid working model.

Tackling economic inequality

We have a diverse supply chain consisting of several SMEs and new businesses, contributing to their growth and creating employment opportunities.

Via our partnership with Sussex Community Foundation, we also directly support a number of community groups

which focus on employment and skills development for disadvantaged groups within Brighton & Hove which contains some of the most deprived areas in England.

Bramber Bakehouse provide employability skills for female survivors of human trafficking who have suffered sexual exploitation and servitude. In 2022/23, our grant of £9,000 funded a programme for 50 beneficiaries several of whom have since joined a college to study or gained volunteer positions.

Spear supports disadvantaged young people who face serious barriers getting into work, giving them the support, skills and confidence to find employment In 2022 our £4500 grant enabled 89 beneficiaries to attend the programme with 68% finding work or enrolling in an educational programme within one year.

We also partner both Spear and Bramber via our employee volunteering programme to provide CV writing and mock job interview workshops.
We are constantly evaluating new and disruptive technologies and recently introduced automation and AI technologies into our CRM and back-office systems which have significantly increased productivity and helped future proof the business by enabling us to rapidly scale without impacting service delivery.

We actively collaborate with supplier and customer teams by employing a ‘one team’ ethos and defining objectives and scope via interviews/workshops to understand needs, expectations, challenges, and opportunities.

We are signed up to the Prompt Payment Code (PPC) and ensure our suppliers are always paid on time and within agreed terms.

We have an ISO27001 certified Information Security System to mitigate cyber security risks and we ensure thorough data security due diligence is conducted prior to engaging any third-party suppliers.

Equal opportunity

We provide comprehensive equality and diversity training for all employees through Natwest Learn Mentor, which covers unconscious bias, cultural competency, and inclusive leadership. This is mandatory with a 100% uptake and annual certification.

We are Disability Confident Committed Level 1, a voluntary initiative that supports employers to recruit, retain and develop disabled people. We use third party websites (LinkedIn) to publish internal vacancies and have verified that they are accessibility friendly.

We implement reasonable workplace adjustments, such as ergonomic workstations, assistive technologies, and flexible work hours to accommodate employees with disabilities, where required.

We are working towards achieving higher levels of the Disability Confident scheme and aim to be Level 2 certified by 2027.
To help tackle workforce inequality, we have published a Fair and Equal Pay Pledge, with the aim to guarantee we are doing all we can to provide fair and equal pay for all employees by the 31st of December 2024.

To ensure ongoing control over gender equality within pay, we are implementing a series of targeted initiatives, such as gender-neutral job postings and unconscious bias training. Each will be assessed quarterly, measuring effectiveness based on the number of discrepancy incidents.

Adjustments, such as recalibrating pay scales or offering additional training, will be made as needed, and any discrepancies will be rectified with back pay.

Beyond pay, we are committed to creating an environment conducive to the professional growth of women including introducing flexible working arrangements designed to accommodate the unique needs of women in the workforce.

We ensure all our suppliers have a modern slavery policy, and if not that they agree to adhere to ours. All our employees also receive mandatory training on how to identify and deal with potential modern slavery risks in the supply chain.

Wellbeing

To support the wellbeing of our contract workforce, our Engagement Delivery Managers (EDMs) conduct one-to-one reviews with each associate every 4-6 weeks. They strive to create an environment where associates are encouraged to be open about their mental health, building bonds in more relaxed social settings as well as at work. 

Work/life boundaries are reinforced, including setting specific work hours, and taking regular breaks. During the one-to-ones, EDMs check for signs of mental distress including changes to behaviour, communication style or work performance. Support is offered as needed, and we will also work with the end-client to implement strategies to help where someone is struggling.

We conduct 6 monthly surveys with associates to gather feedback on how well supported they feel.

For our internal team, we provide confidential access on a monthly basis to a CBT practitioner specialising in mental health at work. We also have both physical and mental health first aiders. To encourage movement, all employees have standing desks, and our company policy is to use public transport in preference to cars.
