Onboarding and offboarding
- Getting started
-
Lynq Insights is designed to be quick and straightforward to adopt. Buyers are supported through a structured onboarding process to ensure users can begin using the service efficiently and confidently.
Initial setup includes tenant configuration, user account creation, role-based access controls, and connection to supported document repositories or secure upload areas. This is typically completed remotely by the supplier in collaboration with the buyer’s nominated administrators.
We provide online onboarding sessions for administrators and end users, covering core functionality such as document ingestion, search, querying, workflows, and audit features. These sessions can be tailored to specific use cases such as FOI, SAR, procurement, or policy workflows.
Comprehensive user documentation and guidance materials are provided, including quick-start guides, role-based instructions, and FAQs. These are accessible online and updated as the service evolves.
Ongoing support is available through a service desk, with guidance on configuration, usage, and best practices. The service is designed to minimise training requirements, allowing most users to become productive quickly through an intuitive web-based interface. - Service documentation

- End-of-contract data extraction
-
Lynq Insights enables users to extract their data in a structured and usable format at the end of the contract. Data can be exported by authorised users using built-in export functionality or via supported APIs.
Exported data may include original documents provided by the buyer, associated metadata, classifications, extracted fields, audit logs, and configuration data relevant to the buyer’s use of the service. Data is provided in commonly used, open formats such as PDF, CSV, and JSON to support reuse and migration to alternative systems.
The supplier will support buyers during the off-boarding process by providing guidance on available export options and confirming successful data extraction. Following confirmation, buyer data is securely deleted from the service in accordance with agreed data retention and deletion policies.
This approach ensures buyers retain full control over their information and can transition away from the service without vendor lock-in. - End-of-contract process
-
At the end of the contract, Lynq Insights supports an orderly and transparent off-boarding process. Buyers are provided with access to data export functionality to extract their documents, metadata, audit logs, and configuration data in supported formats. Guidance is provided to ensure successful data extraction and verification.
Once data extraction has been confirmed by the buyer, access to the service is disabled and buyer data is securely deleted in accordance with agreed retention and deletion policies. A confirmation of data deletion can be provided on request.
The contract price includes standard off-boarding support, including access to export tools, documentation, and reasonable remote guidance to assist data extraction and service exit.
Additional support beyond standard off-boarding, such as bespoke data transformations, extended access periods, or supplier-led migration to alternative systems, can be provided at additional cost by agreement.
This approach ensures buyers can exit the service without vendor lock-in while maintaining control over their data and transition timelines. - Documentation accessibility standard

Availability and resilience
- Guaranteed availability
-
Lynq Insights is delivered as a cloud-hosted SaaS service with a target availability of 99.9% per calendar month, excluding planned maintenance.
Availability is measured at the service boundary and monitored continuously. Planned maintenance is scheduled outside core business hours where possible, with advance notice provided to users.
If availability falls below the guaranteed level in a given month, service credits are applied in accordance with the contract. Credits are calculated as a percentage of the monthly service charge and applied to the next billing period. Service credits are the buyer’s sole remedy for failure to meet the availability target.
The service is hosted on resilient cloud infrastructure with redundancy across components to support high availability and rapid recovery. Incident response and escalation procedures are in place to restore service promptly in the event of unplanned outages.
Detailed availability reporting can be provided to buyers on request to support operational oversight and service assurance. - Approach to resilience
-
Lynq Insights is designed for resilience using cloud-native architecture and managed services hosted on third-party cloud infrastructure. The service is engineered for high availability, fault tolerance, and rapid recovery through the use of redundant components, automated health monitoring, and managed failover to minimise service disruption. Data is stored on resilient storage services with built-in redundancy and protected by regular encrypted backups.
Typical recovery objectives are a Recovery Time Objective of up to four hours and a Recovery Point Objective of up to twenty-four hours. These objectives align with standard public-sector SaaS expectations and are reviewed periodically as part of service operations.
The underlying datacentre infrastructure is operated by the cloud service provider and incorporates multiple layers of physical and environmental resilience, including redundant power, cooling, and network connectivity across geographically distributed facilities.
The service operates with a target availability service level of 99.9 percent per calendar month, excluding planned maintenance. Availability is monitored continuously, and resilience measures, backup processes, and recovery procedures are tested and reviewed regularly. Further technical details can be provided to buyers on request. - Outage reporting
-
Lynq Insights manages and reports service outages in line with ITIL incident management practices. All incidents are logged, categorised, prioritised, and managed through a defined incident lifecycle, with communication and escalation aligned to agreed service levels.
Incidents are classified as follows. Priority 1 (P1) incidents represent a critical service outage with widespread impact; buyers are notified immediately via email, investigation begins without delay, and updates are provided at regular intervals until resolution. Priority 2 (P2) incidents involve significant service degradation affecting multiple users; notifications are issued promptly, with regular progress updates. Priority 3 (P3) incidents relate to limited/non-critical impact; these are logged, tracked, and resolved within agreed timescales. Priority 4 (P4) incidents are minor issues/service requests and addressed as part of normal service operations.
Service status information, including active incidents, planned maintenance, and historical availability, is made available through a service status dashboard, with API-based-access available where required for integration with customer monitoring tools. Incident response and resolution are aligned with the service’s 99.9% monthly availability SLA, excluding planned maintenance.
For major incidents, a post-incident review is completed, and buyers receive a summary covering impact, root cause, resolution, and preventative actions. Planned maintenance is communicated in advance to minimise disruption.
