End-of-contract data extraction
Our off boarding procedure is thorough. Client data is stored in a database but the client will already have received the output as it's a real time service. When the contract ends we delete any data stored unless the client has specified other requirements (eg keep it for 3 years), a contract based decision. The data is stored during the life of the contract and data points can be retrieved by the client while in licence.
End-of-contract process
The software is licenced on a contract basis typically 2-3 years. Close to the end of contract we will arrange discussion with client as to their ongoing requirements such as renewal. If the contract is not being renewed we follow our off boarding procedure which includes steps such ceasing the network connection and any other information or documentation will be deleted and destroyed (depending on customer's legal requirements which is arranged at contract). The end of contract process is very simple and thorough and is mainly executed from our end, with little input from the client.

Availability and resilience

Guaranteed availability
We have 99% uptime to date and so this is not an issue. The 99% uptime has been measured over a period of 6 years.
Approach to resilience
All data is replicated and backed up within an AWS region. AWS Regions provide multiple physically separated and isolated Availability Zones, which are connected using low-latency, high-throughput, and highly redundant networking. With Availability Zones, we can design and operate applications and databases that automatically fail over between zones without interruption.
Outage reporting
We provide upgrade, maintenance and outage messages via our dedicated service management portal where customers can also raise service requests.

Fighting climate change

Our product has several features that can contribute to fighting climate change:

1. Reducing Paper Usage: By automatically extracting data from unstructured documents like PDFs, Word files, and emails, our AI platform helps reduce the need for printing and storing physical documents. This reduction in paper usage can lead to decreased deforestation and lower carbon emissions associated with paper production and transportation.

2. Energy Efficiency: By improving operational efficiencies through automation and streamlining document processing, our AI platform can help businesses reduce their energy consumption. This could result in lower greenhouse gas emissions associated with energy production and usage.

3. Optimising Resource Allocation: By providing businesses with quick and accurate access to data from unstructured documents,
our platform enables better decision-making. This can help organisations optimise their resource allocation, leading to more efficient use of materials, energy, and other resources, ultimately reducing waste and environmental impact.

4. Enabling Remote Work: With the ability to extract and analyze data from various document formats, your AI platform supports remote work by digitizing processes that traditionally require physical presence. Remote work reduces the need for commuting, resulting in lower carbon emissions from transportation.

5. Promoting Sustainability Reporting: By facilitating the extraction and analysis of data related to sustainability initiatives and performance from documents, our platform can help businesses enhance their sustainability reporting efforts. This transparency and accountability can drive companies to adopt more environmentally friendly practices and reduce their carbon footprint over time.

Overall, our product's capabilities in data extraction, automation, and scalability can contribute to broader sustainability efforts by reducing resource consumption, improving efficiency, and promoting environmentally conscious practices within organisations.
