Onboarding and offboarding

Getting started
We have employed user-centred design principles to ensure that the service is easy to use, intuitive and can be used without any training.

For areas of the application that require technical knowledge or integration, such as the Vacancy Content API or the employer Bulk Upload facility, comprehensive documentation is provided as well as technical support via our helpdesk.

We can provide onsite or online training if required e.g. to onboard service management users to the Support or MI dashboards.

End-of-contract data extraction
An Exit Plan would be agreed in which the Supplier will agree with the Buyer the methodology for transfer of data at the end of the contract term.

This would cover terms for user data to be extracted and supplied in an agreed format upon request. User data may include Employer data, such as company details, job listings and team members, or Jobseeker data.

Jobseekers are also able to access their data via the "Your account" section. From there they can download their CVs and view/print their activity, including job views, searches and applications.

Terms would also be agreed for data sets to be extracted and supplied in bulk for the purpose of migration to a new system, if required.
End-of-contract process
We would agree an Exit Plan with the Buyer, laying out the strategy to be followed at the end of the contract. This would define the processes that will help us migrate the services to the Buyer or to a replacement supplier and ensure continuity of the service during the Transition.

The Exit Plan would cover items such as data transfer, asset transfer, knowledge transfer, decommissioning and purging, timing and milestones and payments.

Differences between the mobile and desktop service
All service features are available on mobile, tablet and desktop. The service incorporates a fully responsive design to accommodate as broad a spectrum of devices as possible. A mobile-first approach has been adopted to ensure a simple, intuitive experience for users of hand-held devices. The interface features large text, high contrast ratios, simple fonts, writing for the web best practice, clear messaging and minimal navigational complexity. The service is compliant with GDS standards and WCAG 2.2 Level AA and undergoes an annual accessibility audit.

User support accessibility
WCAG 2.2 AA
Description of service interface
The interface uses progressive front-end technologies including react.js and redux.js. It offers a fast, simple experience and powerful search, matching jobseekers to available roles quickly and effectively (load time consistently <2 seconds). The site incorporates a fully responsive design to cater for a range of different devices. Users can search and favourite jobs, create accounts, upload CVs and create email alerts. Employers can manually or bulk upload jobs to the service and manage their ads via an employer dashboard. The service-management team can manage users of the service, moderate content and administer anti-fraud tools through the support dashboard.
Accessibility standards
WCAG 2.2 AA
Accessibility testing
The service undergoes an annual Accessibility audit by an independent Accessibility partner. This is focused on achieving Level AA of the Web Content Accessibility Guidelines (WCAG 2.2) and meet recognised GDS Accessibility standards. This ensures the service keeps up with Accessibility best practices, is easy to use, intuitive, accessible to a broad spectrum of users and can be navigated using the most commonly used assistive technologies - including screen magnifiers, screen readers and speech recognition tools.

Testing includes:
- preparation and execution of WCAG-based test scripts to check that the product has been built inline with the recommended standards and guidelines
- assistive technology testing focusing on key user journeys through the product
- execution of user journeys on the targeted assistive tools (Jaws, NVDA, ZoomText, Dragon Naturally Speaking, VoiceOver (Mac OS), VoiceOver (iOS))
- pass/fail results for each test area and test Summary Report
- defect resolution and issue verification
- final Report confirming compliance
API
Yes
What users can and can't do using the API
The service features a APIs for Vacancy Content, Labour Market Data and Management Information.

API registration can be customised to requirements e.g. through online registration or via a request to the service management team.

The Vacancy Content/Labour Market Data API provides highly segmentable job vacancy data, along with labour market statistics and can support hundreds of thousands of parameterised queries per day. This API is used for a variety of purposes, such as:

- querying a subset of vacancy content to display on 3rd party platforms.
- querying data for analytical or research purposes

APIs can be configured so that, for example, they are either fully open or require manual approval. We can also configure individual accounts to be rate-limited or data limited.

The Management Information API provides weekly and total statistical data, segmentable to a granular level. This includes reports for Job seekers, Employers and Companies registered with the service along with data for ad listings, applications, cv uploads and email alerts. Data can pulled via the API returning data in json format, or queried and exported through a bespoke data dashboard.

We can also offer custom APIs for specific solutions on request.

Yes
Description of customisation
Subject to requirements and commercial arrangements, we would be able to incorporate any level of required customisation. For example, this could result in an entirely new job search cloud service hosted on a different domain, with a custom set of job adverts and custom functionality for tracking user behaviour or providing site statistics and business intelligence.

Scaling

Independence of resources
The platform is built on robust, scalable and highly-available cloud-based technologies (AWS), featuring auto-scaling of resources and automatically distributed, multi-threaded workloads to accommodate fluctuating daily and seasonal demand. The AWS Well-Architected framework is regularly referenced to ensure our infrastructure is secure, high-performing, resilient and efficient.

Daily vacancy listing reports can also be generated through the support dashboard and downloaded (csv), segmentable by various criteria. Vacancy data can also be queried from an API (json).

We provide a monthly report detailing jobseeker and employer usage data, including page views, registrations, vacancies posted/bulk uploaded, email alerts created, CVs uploaded, applications.

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
Our system configuration and change management processes are defined in our Secure Development Framework and Change Management Policy. These, along with industry best practice resources from the NCSC, OWASP and CISP, outline the principles which we adhere to when making changes to service components.

Changes are tracked using issue-tracking software (JIRA) and GIT repositories (Bitbucket). This enables scheduling of work as well as a permanent record of system/codebase changes.

Information security risks are raised at monthly SWG meetings and vulnerabilities are detected by annual IT Health Checks, penetration tests and regular vulnerability scans.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
As per our Vulnerability Assessment Policy, information security risks are raised at monthly SWG meetings and vulnerabilities are detected by annual IT Health Checks, Penetration tests and regular internal and external vulnerability scans.

Our approach to security patch management for all systems and application components is defined in our Patch Management Policy and Patch Management Procedure.
Protective monitoring type
Supplier-defined controls
Protective monitoring approach
Our approach to protective monitoring is detailed in our Log Monitoring and Auditing Policy. Potential compromises are identified by monitoring server load through a permanent live dashboard and by analysing web logs through tools such as AWS Cloudtrail, Cloudwatch and Syslog. Our response approach and speed is decided on a case-by-case basis according to the severity of the compromise. An audit log of business audit events and activities of all user categories is retained for a period of 12 months. An audit log of technical events (e.g. syslog events, CloudWatch & CloudTrail) is also retained.
Incident management type
Supplier-defined controls
Incident management approach
Our approach to incidents is defined in our Incident Response Policy and Incident Response Procedure. These set out a framework for detecting, responding to, recovering from and reporting of incidents. They detail how incident response phases are structured, provide guidelines on how to assess the critical and severity level of an incident and set the communication and escalation channels to be used. Incidents are graded by priority level (with specific SLAs set for each) and reports are created for P1 and P2 level incidents detailing summary, impact, root cause analysis, resolution, key timelines and any on-going action items.
