End-of-contract data extraction
Data Extraction Process
Users can export their entire financial history directly from the platform into a structured, machine-readable format:

Transactions: From the Transactions menu, users can click Actions and select Export CSV. This generates a file containing all recorded income, expenses, and tax categories for a selected time range (e.g., a full tax year).

Contacts: A complete list of customers and suppliers can be exported via the Contacts screen by selecting Actions > Export CSV.

Invoices: Individual or batch invoices can be downloaded as PDFs for local archiving.

Portability and Retention
Standard Formats: Data is provided in CSV format, ensuring it can be easily imported into Microsoft Excel, Google Sheets, or alternative accounting software.

Compliance: Users are reminded that HMRC requires digital records to be preserved for up to six years. We recommend regular exports to maintain a local "digital link" backup.

Account Closure: If a user chooses to close their account, they should perform a final export first. Once a deletion request is processed, data is permanently purged from our systems within 35 days.
End-of-contract process
Data Extraction: Users maintain full ownership of their data. Before closing an account, you can export all financial records, transactions, and contacts into machine-readable CSV formats via the "Export" functions in the dashboard.

Account Closure: You can request account deletion at any time through your profile settings. Once a request is made, your data is marked for permanent deletion and purged from our secure systems within 35 days.

Dormancy Policy: To protect your privacy, accounts that remain inactive for 12 consecutive months are flagged. We will notify you via email before permanently deleting the associated data.

HMRC Continuity: Closing your My Tax Digital account does not affect your records held by HMRC. However, you must ensure you have alternative MTD-compatible software in place to meet your ongoing legal filing obligations.

Accessibility testing
Our interface testing ensures full compliance with WCAG 2.2 AA standards through rigorous manual and automated audits. We focus on four key areas:

Screen Reader Compatibility: We test the dashboard and submission flows using NVDA, JAWS, and VoiceOver. This ensures all tax calculations and HMRC status updates are correctly announced using aria-live regions and semantic HTML.

Keyboard-Only Navigation: We verify that every interactive element—including the AIsha assistant and document uploaders—is accessible via Tab and Enter keys, eliminating "keyboard traps" and providing high-visibility focus indicators.

Visual Adaptations: Testing includes audits with screen magnifiers and high-contrast modes. We ensure the interface reflows correctly at 400% zoom without loss of functionality or overlapping text.

Assistive User Feedback: We engage users with diverse needs to test complex journeys, such as bridging spreadsheet data. This helps us simplify the user experience and ensure instructions are clear for those using speech-to-text or alternative input devices.
API
Yes
What users can and can't do using the API
Users can interact with our service via the HMRC MTD API to facilitate secure data exchange.

Capabilities and Setup
Setup: Users connect by authorizing the application within their dashboard. This involves a one-time "OAuth" handshake where you log into your Government Gateway account to grant the service permission to "read/write" tax data.

Management: Through the API, users can fetch "obligations" (upcoming deadlines), view previous liabilities, and submit finalized VAT or Income Tax updates directly from their digital records.

Limitations
No Manual Overrides: To maintain a "digital link," the API does not allow manual data entry or "copy-paste" transfers. Data must flow digitally from your records to the submission endpoint.

HMRC Constraints: The API cannot bypass HMRC’s validation rules. For example, you cannot submit a return before the period has ended or if there is an active "block" on your HMRC account.

Setup Restrictions: You cannot use the API to register for MTD or change your business address; these core administrative changes must be performed directly within the HMRC Government Gateway portal.

Customisation available
Yes
Description of customisation
My Tax Digital allows for essential customisation to ensure the service aligns with your specific business structure and accounting preferences.

What can be customised
Accounting Mode: Users can choose between Bridging Mode (using the app as a link for external spreadsheets) or Accounting Mode (using the app as a full digital record-keeping system).

VAT Schemes: The interface can be configured to support different VAT schemes, including Standard, Cash, Flat Rate, and Margin Schemes.

Income Categories: For Income Tax (ITSA), users can categorise income and expenses based on their specific trade or property types (e.g., SA103S, SA105, or SA106).

E-Invoicing: Users can customise the design and details of their digital invoices to include branding and specific payment terms.

Scaling

Independence of resources
We ensure consistent, high-speed performance for every user through a scalable AWS cloud infrastructure. By using Auto Scaling groups, we dynamically adjust compute resources based on real-time demand; as more users log in, additional instances are automatically provisioned to maintain speed.

Our multi-availability zone (Multi-AZ) setup further guarantees independence by distributing traffic across physically separate data centers in the London region. This architecture prevents a surge in one area from impacting the wider network, ensuring that your experience remains fast and reliable regardless of overall system load.

Other (VPC Isolation & Encryption at Rest): * VPC Security Groups: We use granular Security Groups and Network ACLs to restrict traffic. For example, the PostgreSQL database is located in a private subnet and only accepts incoming traffic from the specific application server IP addresses on port 5432.

Encryption at Rest: All data stored within the PostgreSQL database and any digital evidence in AWS S3 is encrypted using AES-256 (AWS KMS).

Availability and resilience

Guaranteed availability
Our service is hosted on AWS within the London region, leveraging a highly resilient multi-availability zone (Multi-AZ) architecture. This setup ensures that your tax data and submission tools remain accessible even in the event of a localized data center issue.

Availability Levels
Target Availability: We aim for 99.9% uptime, ensuring that the platform is available for digital record-keeping and HMRC submissions whenever you need it.

Infrastructure Resilience: By utilizing AWS Auto Scaling, the system automatically adds capacity during peak periods (such as January tax deadlines) to prevent performance degradation or "timeout" errors.

SLA and Refunds
Service Level Agreements (SLAs): While we strive for maximum uptime, our primary commitment is to maintain compatibility with HMRC’s MTD APIs. If HMRC’s systems are down, certain submission features will be temporarily paused.

Refund Policy: We do not offer monetary refunds or "service credits" for downtime. Our focus is on providing a robust, high-availability platform at no cost to the user.

Maintenance: Any planned maintenance is scheduled for off-peak hours and communicated via the dashboard and AIsha assistant well in advance.
Approach to resilience
The service is hosted in AWS London using a Multi-Availability Zone (Multi-AZ) architecture. Application containers run on Amazon EC2 instances, which automatically redistributes traffic across physically separate datacentres if one fails. Database resilience is managed via Amazon RDS with synchronous replication to a standby instance in a different zone, ensuring automatic failover with zero data loss.
Outage reporting
Monitoring Dashboards: Service health and telemetry are tracked via an internal Grafana dashboard, which provides a real-time view of service delivery, incidents, and performance metrics. Additionally, a Statistics Dashboard provides on-site staff with a "War Room" view of system health and bottleneck identification.

Automated Alerting (API/System): The system utilizes AWS CloudWatch to monitor infrastructure and application performance. When thresholds are exceeded, CloudWatch triggers automated alarms that notify internal systems like Zabbix.

Direct Support: Outages can be reported manually by users through a dedicated support email address or telephone line during standard support hours (09:00–17:00, Monday–Friday).
