SentrySIS provides two levels of support to customers. Standard Support is included within the service subscription and provides access to the online support portal and ticketing system, support during UK business hours Monday to Friday, incident logging, tracking and resolution, issue prioritisation based on severity, and planned maintenance notifications. Support requests are managed through the Zendesk platform by technical support engineers.

Enhanced Support is available as an optional additional service under a separate SLA agreement. This provides extended support hours including evenings and weekends, accelerated response for high and critical incidents, direct escalation to senior technical staff, and proactive incident management where required. Enhanced Support is priced separately, with costs provided on application depending on the coverage hours and service level commitments requested by the customer.

A technical support engineer is available to all customers through the support portal for incident handling and technical assistance. For larger contracts or customers with Enhanced Support, a named service or account manager can be provided to oversee service delivery, conduct service reviews, and manage escalation routes.

Onboarding and offboarding

Getting started
SentrySIS onboarding is supported through structured remote training and self-service resources. Police and partnership users receive initial training sessions delivered via Microsoft Teams, covering system navigation, incident review, case management and telephone statement generation. Users also have access to an online knowledge base containing step-by-step guides, FAQs and short ‘how-to’ video tutorials.

Retail users receive simple onboarding guidance and access to written guides for submitting incident reports and uploading evidence. Additional training sessions can be provided on request.

End-of-contract data extraction
At contract end, authorised customer administrators can request export of their data in commonly used electronic formats, including structured data extracts and associated digital evidence files. Data exports are provided securely via encrypted transfer methods. Where required, SentrySIS will support data handover to successor systems or police platforms in line with agreed data-sharing arrangements. Following confirmation of successful data transfer, customer data is securely deleted from the platform in accordance with agreed retention schedules and contractual requirements.
End-of-contract process
At the end of the contract, customer access to the SentrySIS service is terminated in a controlled manner. Authorised administrators may request export of their data and associated digital evidence in standard electronic formats prior to service closure. Secure data transfer and confirmation of successful handover are included within the contract price. Following confirmation, customer data is securely deleted from the platform in accordance with agreed retention schedules and contractual requirements.

Standard contract pricing includes service access, hosting, maintenance, standard support and data export at contract end. Additional costs may apply for enhanced support, bespoke integrations, extended data retention beyond agreed periods, or specialist assistance with migration to third-party or successor systems. Any additional services are provided on a price-on-application basis.

Differences between the mobile and desktop service
The mobile service is designed primarily for retailers and frontline staff to submit shoplifting and non-emergency crime reports, upload digital evidence and capture information at the point of incident. The desktop web service is used by police and authorised partnership users to review reports, manage cases, access intelligence dashboards and generate CPS-compliant telephone witness and victim statements. Both interfaces access the same secure platform and data, with functionality tailored to user roles and operational needs.

What users can and can't do using the API
The SentrySIS API enables authorised third-party systems to securely send incident and intelligence data into the platform and to receive incident data from the platform. It is primarily used by national retailers and partner organisations to integrate their internal reporting systems with SentrySIS. The API can also transmit incident data into connected police systems where integration agreements are in place.

Users can configure API access through administrative user accounts, including generating API credentials, defining permitted data flows and assigning role-based permissions. Changes to API configurations, access rights and data mappings can be managed through the administration interface.

The API does not allow users to alter core platform configuration, security controls or system logic. Integrations are subject to agreed data-sharing arrangements, authentication requirements and rate-limiting controls. Direct database access is not provided.

Description of customisation
Customisation within SentrySIS is intentionally limited to ensure consistency, security and compliance with policing standards. Authorised police administrators can customise incident triage options for reports received from retailers, including configuring workflow stages, review categories and allocation rules for shoplifting and non-emergency crime reports.

Customisation is performed through the secure administration interface by designated police or partnership system administrators. Retail users and general end users cannot modify system configuration or workflows. Core platform functionality, security controls and data structures are not customisable by customers.

Internal network protection is provided through network segmentation, firewall controls, restricted administrative access and security monitoring. Customer data is stored on isolated machines and application resources are logically segregated.

Availability and resilience

Guaranteed availability
SentrySIS is delivered as a managed SaaS service with a target service availability of 99.5% per calendar month, excluding planned maintenance. Service availability is continuously monitored. Planned maintenance is scheduled outside core working hours with advance notice to customers.

Where availability falls below the agreed target, customers may request service credits in accordance with the service level agreement. Service credits are applied as a proportionate reduction to future subscription charges. Refunds or credits are provided on a price-on-application basis depending on contract terms and customer requirements.

Enhanced availability commitments and bespoke resilience arrangements can be provided under an enhanced SLA at additional cost.
Approach to resilience
SentrySIS is designed for resilience through redundant cloud infrastructure hosted in secure UK data centres. Customer data is stored on isolated machines with replicated storage, and application services are deployed across resilient compute environments. Automated monitoring and alerting detect service issues, with failover and recovery procedures in place to restore service availability.

The underlying data centre environment provides resilient power, cooling, network connectivity and physical security, with continuous monitoring and redundancy controls managed by the hosting provider. Backup and disaster recovery processes are implemented to ensure data protection and service restoration. Detailed infrastructure resilience information can be provided to customers on request under appropriate confidentiality arrangements.
Outage reporting
SentrySIS reports service outages and incidents through direct customer communications and support channels. Customers receive email notifications for planned maintenance and significant unplanned service disruptions. Service status updates and incident progress are available through the support portal and ticketing system.

A public status dashboard and outage API are not currently provided. However, customers can contact the support team at any time to obtain current service status information, and incident updates are issued until service restoration is confirmed.

SentrySIS authenticates management access using strong authentication controls and role-based access management. SentrySIS operates a formal Information Security Management System (ISMS) aligned with ISO/IEC 27001:2022. The Information Security Policy defines how confidentiality, integrity and availability of information assets are protected, including access control, encryption, incident management, vulnerability management, secure development and supplier assurance. Compliance with legal and regulatory requirements, including UK GDPR, Data Protection Act 2018 and policing data-handling standards, is embedded within the ISMS framework.

Information security governance is led by senior management, with defined responsibilities for the Information Security Officer and Data Protection Officer. All staff receive security and data protection awareness training and are required to follow documented procedures. Risks to information assets are assessed and treated through a structured risk management process, supported by a maintained risk register.

Internal compliance is monitored through scheduled internal audits and external ISO assurance activities. Audit findings and corrective actions are reported to senior management for review and continual improvement.

SentrySIS’s ISO/IEC 27001:2022 certification covers the Information Security Management System governing the development, hosting, operation and support of the SentrySIS platform, including information security policies, risk management, access control, incident management, supplier assurance and staff security processes.

The certification does not extend to independent certification of third-party cloud infrastructure or data centre facilities, which are operated by external hosting providers under their own security and resilience certifications.     • Understanding of the issues affecting the representation of disabled people in the workforce in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
    • Collection of the views and expertise of disabled people and their representative organisations on successfully supporting disabled employees or applicants
    • Inclusive and accessible recruitment practices, and retention-focused activities, including those provided in the Guide for line managers on recruiting, managing and developing people with a disability or health condition
    • Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors.     • Other measures to offer development opportunities for the target cohort(s) in the contract workforce
    • Understanding of issues relating to entering the contract workforce
    • Creation of outreach activities to create a pipeline of employees for the future contract delivery

    • Inclusive and accessible recruitment practices, development practices and retention policies that support-focused activities including those provided in the Guide for line managers on recruiting, managing and developing which support people with a disability or health condition
