End-of-contract data extraction
Regarding user data (e.g., personal data): Under the GDPR, people have a right to request information about the data related to them that are collected and stored by Synthesio. People also have the right to be completely removed and deleted from the records. They should request this via email at privacy@synthesio.com. Personal data is not exported by Synthesio unless a direct request is made by client. In this scenario, any exported data is securely destroyed. We abide by EU directive 95/46/EC. For the purposes of connection and organizing access to our product, Synthesio stores users information such as identification data and technical data. Client’s users data is kept for the duration of the contract and deletion occurs 6 month after the end of the contract. The data retention period can be customised per client request. Synthesio also stores contact users information. This data is kept for the purpose of sales processes, contracts management and customer relationship. It is kept for the duration of the contract and can be deleted on client request 6 month after the end of the contract. Regarding social data, users can export or request exports as long as their license is active as agreed by contract.
End-of-contract process
At the end of contract the subscription will either renew based on mutually agreed terms or the subscription shall be cancelled following notice given by relevant end user contract manager. As a fully in-browser tool, Synthesio supports screen readers and magnifiers and offers people with low vision full-page zoom, high-contrast colour and extensions, accessible font styles, sizing, and spacing. Avoiding cognitive friction (over-stimulus) is included in our approach to design, UI and development. As Synthesio is compatible with multiple browsers (Firefox, Safari, Google Chrome etc.) Synthesio should fulfil any accessibility standards and guidelines fulfilled by such browsers. In addition to this, Synthesio data visualisation relies on Highcharts which fulfils accessibility standards. Based on their privileges, users' customisation options include: 1. Data collection and segmentation Settings are customisable, including but not limited to boolean queries, Time Period, Countries, sources, sentiment, visual content, etc... 2. All data is stored and processed in a secure way according to its privacy and criticality. Our data is isolated on a level 2 network, preventing the hosting provider from accessing it. Our hosting provider is certified PCI-DSS, SOC1 & SOC2 part 2, ISO 27001 All our database has encryption at rest activated and each database has a different username and password, known only from the users who need it. We have implemented TDE encryption on our database servers. We use RSA 2048bits algorithm to ensure protection on data at rest. Encryption keys are stored in our Vault.

Approach to resilience
Synthesio employs a mirrored recovery site strategy, this strategy entails the maintenance of spare/backup servers which will enable manual switching between the live site and the backup site for all services, and automatic for those that are load balanced. Synthesio’s data is stored in geographically diverse, high-security datacenters. Our network and server security systems are designed to be fully redundant with security loops in place to eliminate downtime, to expedite load times, and to minimise latency. Our change management employs version control and a stringent process: Requests are standardized, reviewed, prioritized, authorized and their impact assessed. Only authorized personnel execute validated changes with rollback plans. Documentation includes functional descriptions, deployment procedures, dates, and authorizations. Vulnerability scans are run monthly. Security audits are conducted annually, inclusive of intrusion detection, audit of internal processes and data security audits. A black box audit is conducted at least annually. Our hosting provider is ISO 27001, PCI-DSS plus SOC certified. A 24/7 automatic system monitoring and reporting with automated alerts and regular human verification is used to detect server failure. Automated tests run continuously. Our infrastructure observability system with logs and metrics from all our platform ensures security team receives alerts in case of incorrect usage of our app, particularly the login system.
