- Differences between the mobile and desktop service
-
DutyBooker's native iOS and Android apps provide full functionality optimised for mobile use. Volunteers can view rotas, accept duties, log hours, submit expenses, and receive push notifications on the move.
The mobile interface prioritises quick actions, duty acceptance, availability updates, and expense submissions, with simplified navigation suited to smaller screens. Offline capability allows hour logging without connectivity, syncing automatically when reconnected.
Administrative functions including terminology customisation, workflow configuration, bulk imports, and detailed reporting remain desktop-only to ensure proper oversight and reduce configuration errors. Both interfaces share real-time data synchronisation. - Service interface

- Description of service interface
-
DutyBooker provides an intuitive web-based interface accessible via any modern browser. The responsive dashboard displays duty schedules, volunteer availability, and key statistics at a glance. Administrators access configuration panels for terminology customisation, workflow management, and reporting tools. Volunteers use a simplified view to manage availability, view assigned duties, and submit expense claims.
Native mobile applications for iOS and Android provide full functionality including duty acceptance, hour logging, and push notifications. The interface supports role-based views ensuring users only see relevant features and data. All interfaces follow WCAG 2.1 AA accessibility standards and support multiple languages. - Accessibility standards

- Accessibility testing
-
DutyBooker has been tested with users of screen readers including JAWS, NVDA, and VoiceOver to ensure full compatibility with keyboard navigation and proper ARIA labelling throughout the interface. Testing confirmed all interactive elements are accessible without a mouse, form fields include descriptive labels, and error messages are announced clearly.
We have validated colour contrast ratios meet WCAG 2.1 AA standards and tested with users who rely on screen magnification software. The interface supports browser-based text resizing without loss of functionality. Mobile applications have been tested with iOS VoiceOver and Android TalkBack.
User feedback from accessibility testing has directly informed interface improvements, including simplified navigation structures, consistent focus indicators, and alternative text for all visual elements. We maintain an ongoing commitment to accessibility through regular audits and user testing with each major release. - API
- Yes
- What users can and can't do using the API
-
DutyBooker provides a comprehensive RESTful API enabling bidirectional integration with existing HR, resourcing, and finance systems. Users authenticate using JWT tokens for secure data exchange.
HR system integration:
The API synchronises volunteer records bidirectionally with HR platforms. Import employee data, roles, and departmental structures from HR systems. Export volunteer hours, training, and engagement metrics back to HR for consolidated workforce reporting.
Resourcing system integration:
Push and pull availability data between DutyBooker and workforce planning tools. External systems can query volunteer capacity, create duty bookings by duty type, or event type, and receive real-time updates on staffing levels. Webhooks notify resourcing platforms of shift confirmations, cancellations, and coverage gaps enabling dynamic resource allocation.
Finance system integration:
Export approved expense claims directly to accounts payable systems for payment processing. Synchronise cost centre codes and budget allocations from finance platforms. Retrieve detailed expenditure reports by project, duty type, event type, or individual for financial reconciliation.
Bulk operations:
Import and export endpoints support CSV and JSON formats for scheduled automated synchronisation.
Limitations:
Tenant-level configuration, terminology customisation, billing management, and SSO setup require web interface access for security purposes. API rate limits apply (1000 requests per hour). Bulk operations limited to 500 records per request. - API documentation

- Description of customisation
-
What can be customised:
DutyBooker offers extensive customisation to match organisational terminology and workflows. Organisations can rename all system labels "Officer" becomes "Volunteer," "Collar Number" becomes "Member ID." Duty types, event types, and project categories are fully configurable. Custom fields can be added to volunteer profiles, duty records, and expense claims. Approval workflows support multiple levels with configurable thresholds. Report templates, dashboard widgets, and notification preferences can be tailored to organisational requirements. Branding options include logos, colour schemes, and custom email templates.
How users can customise:
All customisation is performed through the web-based administration panel, no technical expertise required. A guided setup wizard assists with initial configuration. Changes take effect immediately across web and mobile interfaces. Organisations can duplicate existing configurations as templates and modify as needed. Bulk import tools allow rapid setup of duty types, locations, and organisational structures via CSV upload.
Who can customise:
Role-based permissions control customisation access. Super Administrators can modify all tenant settings including terminology, branding, and integrations. Administrators can configure duty types, approval workflows, and reporting parameters. Team Managers can customise settings within their assigned departments. Standard users cannot access configuration settings, ensuring system integrity and governance compliance.
Scaling
- Independence of resources
-
Multi-tenant architecture:
DutyBooker uses a multi-tenant architecture with separate databases per organisation. Each tenant's data is completely isolated, ensuring no organisation can access another's information.
Resource management:
Our infrastructure scales automatically based on demand. Load balancing distributes traffic across multiple servers, preventing any single organisation's usage from impacting others.
Rate limiting:
API rate limits are applied per organisation to prevent any single tenant from consuming excessive resources, ensuring fair access for all.
Performance monitoring:
We monitor system performance and resource utilisation. Automatic scaling provisions additional capacity during peak demand. Performance thresholds trigger alerts, enabling proactive intervention before users experience degradation.

Availability and resilience
- Guaranteed availability
-
Availability guarantee:
DutyBooker guarantees 99.9% service availability, measured monthly excluding scheduled maintenance windows. Scheduled maintenance is performed during low-usage periods with a minimum of 48 hours advance notification to customers.
Service level agreement:
Our SLA defines availability as the ability for authenticated users to access core platform functionality including the mobile app and web dashboard. Availability is monitored continuously and measured as a percentage of total minutes in each calendar month.
Service credits:
If availability falls below guaranteed levels, customers are entitled to service credits applied to future invoices. For availability between 99.0% and 99.9%, a credit of 10% of the monthly fee applies. For availability between 95.0% and 99.0%, a credit of 25% applies. For availability below 95.0%, a credit of 50% applies.
Claiming credits:
Customers must submit credit requests within 30 days of the affected month. Credits are capped at 50% of the monthly subscription fee and do not apply where unavailability results from factors outside our control, scheduled maintenance, or customer-side connectivity issues. - Approach to resilience
-
Infrastructure resilience:
DutyBooker is hosted on AWS infrastructure, leveraging multiple availability zones within a UK region. This ensures continued service operation if an individual datacentre experiences failure. Data is automatically replicated across availability zones, providing redundancy and rapid failover capability.
Database resilience:
Each tenant's separate database is configured with automated backups and point-in-time recovery. Backups are stored in geographically separate locations from primary data. Database replication ensures data durability and enables quick restoration in the event of failure.
Application resilience:
The application layer uses load balancing to distribute traffic across multiple servers. Auto-scaling provisions additional capacity during demand spikes. Health monitoring automatically removes unhealthy instances and replaces them without manual intervention.
Disaster recovery:
A documented disaster recovery plan is maintained and tested regularly. Recovery time objective (RTO) and recovery point objective (RPO) targets are defined and achievable within the architecture design. Full details of our disaster recovery approach are available on request.
