Onboarding and offboarding

Getting started
Users have access to a range of resources to help them become competent in using the SharpCloud foundation of the ADVAL service. The in-product Help story includes detailed information and downloadable guides covering all SharpCloud’s capabilities and links to a range of videos hosted on SharpCloudTV YouTube channel.

The ADVAL software is down loaded and training can be delivered through onsite or online depending on the requirement. Training for a single instance of the software would normally be performed as part of the implementation of the service and can be continued online if required. Multiple instances as part of a strategic roll out would normally require on site training.

End-of-contract data extraction
At the end of a contract, all data within the system can be copied to an excel file, or downloaded as a storyzip file. Data in storyzip files can be extracted into resource files and JSON objects.
Any additional data sets, proprietary to the customer will be downloaded to a customer in a secure manner using trusted peripherals or through an encrypted key.
End-of-contract process
At the end of contract the users and content can be removed from the system.

Should you require your data to be extracted at the point of exit a discontinuation fee will be applied, this is subject to the amount of data and security level of data held on the system.

All MI elements of the ADVAL solution have been developed to work on mobile devices. Screen appearance and functionality may be slightly different, however operation remains the same.

It is to be noted that the management and visualisation of large amounts of data is best suited to the larger screen size of a monitor.

Example use for a mobile device is for senior management to access reports and visualisations.

ADVAL can be configured and customised to help accelerate adoption and exploitation via:
Configuration of attributes, tags and relationships (by the user)

Scaling

Independence of resources
The Public Cloud instance is a shared service. The API is throttled in order to limit the load that can be applied by anyone customer. Private Cloud deployments are also available on request to separate data and load for an additional fee.

In addition, the availability is driven by the numbers of users in the contract. If for any reason the customer is not satisfied with the service performance, Belay will work with the customer and the SharpCloud service provider to understand the reason for degradation and produce a plan to increase the performance.

Information security policies and processes
The Belay ADVAL Information Security Policy and Data Protection Policy are available on the internal Belay SharePoint/Team site. Updates are communicated via email to all staff. They are both owned by the Chief Technology Officer.
All new staff receive induction that includes the Information Security Policy
The policies have been written based on ISO 27001 and ISO9001 standards.
There are no exceptions to the current security policies and procedures. Should an exception be raised it will be assessed and either accepted or rejected by the senior management team and the Policy updated accordingly.
Belay maintains written roles and responsibilities for all IT personnel. These roles and responsibilities outline security access, reporting lines etc. for each role as documented in the Security Policy.

The service is constantly being updated with new features and improvements which are released weekly. If a security issue is exposed, it would be patched within that timeframe. We conduct application penetration test at least annually.

The underlying SharpCloud service has built in protection for DOS attacks etc. We recommend that you implement SSO via AAD which gives you further protection for authentication (e.g. enforce multi-factor auth, password policies, prevent login from multiple locations etc). In addition, each story has an audit displaying who has accessed, and when, allowing full audibility to identify any suspicious activity.
The service is actively monitored by SharpCloud support staff for application level issues and Microsoft for underlying hosting (Network, storage and compute) issue.

Fighting climate change

Combating climate change is one of the biggest challenges we face today, and the fight against it is a priority for Belay. We recognise that to succeed, all the elements of our employees, supply chain, partners, and customers must contribute.
The main objectives of all Belay climate change support activities are:
• To improve awareness and understanding of climate change amongst our extended team.
• To demonstrate that daily activities can collectively make a big difference and that everyone has a role to play in the fight.
• To motivate employees, supply chain, partners, and customers to undertake these small, significant changes to their daily routine.
Belay will communicate and enact its climate change support and direction in the following ways:
• Building a culture of awareness. Making sustainability part of our culture, both in and out of the office.
• Rethinking our waste. We are consistently thinking about ways we can cut down waste
• Reducing our travel. Use video conferencing technology to conduct our business virtually wherever possible. Working flexibly, with minimal travel (including to client locations).
• Working with environmentally conscious vendors. We continuously consider our supply chain and providers, ensuring that our values align. We use local vendors and suppliers where possible, supporting the local economy and reducing our carbon footprint.
• Saving energy. We are reducing the number of active service elements and encouraging our customers to do likewise.
• Using the cloud. Cloud computing is the ADVAL approach of choice, maximising energy, and resource efficiency, reducing footprint and providing flexibility. It also cuts back on hardware and manufacturing, plus the emissions associated with both.
• Getting involved. The Belay ethos is especially team orientated. Combating climate change is a team sport, and all the elements of the Belay ecosystem are playing to win.

Covid-19 recovery

Like many organisations, the unprecedented health crisis caused by Covid 19 and the resulting impact to the global economy have fully tested Belay’s organisational agility and resilience. Part of the response is the Belay Covid 19 Recovery plan, which forms part of the wider Business Recovery plan. The was developed in response to the initial emergence of the global pandemic. The document and all subsequent updates are owned by the Executive Management team and is regularly updated to reflect the changing situation.

The exact Belay response to Covid 19 will be tailored to the nature, scale and location of the threat in the UK, as our understanding of this develops and in line with official guidance.

Thanks to a significant investment in our technology and security foundations, we were able to respond with agility and speed. This enabled us to maintain a flexible operating model and agile ways of working. We also ensured that every one of our employees were able to work safely in a remote environment.

The plan ensures that Belay is able to continue to deliver services and support to our customers, by effectively managing the risk of infection associated with Covid 19, by implementing appropriate contingency arrangements should further outbreaks occur. The objective is to minimise impact to our services and ensure that we can maintain sufficient staffing levels to operate services safely.

The key objectives of the plan are to:
• Provide basic information about our arrangements, including staff and suppliers
• Provide an overview of communications protocols and escalation mechanisms
• Provide a framework for responding to any incident in respect of Covid 19
• Identify key actions employees must take in respect of Covid 19
• Outline our contingency arrangements to provide emergency staffing, should the need present

Tackling economic inequality

Economic Inequality is complex, destructive, and deeply rooted in social, economic, political, and environmental systems. Having a good understanding of inequality’s causes and consequences is key to reducing it. Eradicating extreme poverty and hunger is the first step, however, it is imperative we invest more in health, education, social protection, and good jobs, especially for the homeless, young people, migrants, and others trapped in poverty with little chance to climb up the social ladder.
