End-of-contract data extraction
At the end of a contract, users retain full access to their data and can extract it through several secure methods, ensuring business continuity and complete data sovereignty. Data can be downloaded directly in standard GIS formats such as GeoJSON, CSV, Shapefiles, and GeoTIFF, or retrieved programmatically via the RESTful API to support bulk extraction and automated workflows. Platform tools also enable users to export whole projects or large datasets in a single operation. All outputs use open, industry-standard formats and preserve full attribute information and metadata. City Science supports the transition by providing early notice of contract completion, clear extraction guidance, technical assistance during the handover period, and confirmation that all required data has been successfully extracted, ensuring no vendor lock-in. Following contract termination, data is retained for 30 days before being securely deleted in line with NIST 800-88 standards. If preferred, data can be returned on secure physical media, with all destruction processes fully documented and certified.
End-of-contract process
A standard contract includes a 30-day data extraction period following contract end, during which users retain full access to all export functions and the API. City Science supplies comprehensive technical documentation describing extraction procedures, supports exports in standard formats such as GeoJSON, CSV and Shapefiles, and verifies that all data has been successfully retrieved. After this period, data is securely deleted in line with NIST 800-88, with full exit documentation and an auditable trail provided. Three months before contract completion, City Science begins formal exit planning, reviewing the data inventory, defining appropriate extraction methods and setting a transition timeline. Users receive technical guidance throughout and maintain full access to the platform until the contract ends. Once terminated, data remains available for 30 days before secure deletion from AWS infrastructure, with hardware disposal compliant with ISO 27001/27018, WEEE and IEEE 2883; destruction certificates are available on request. Additional paid services include extended data retention, onsite support, migration assistance, custom transformations, accelerated extraction and data delivery on physical media. These provisions ensure users maintain complete ownership and experience no vendor lock-in.

Through the API, users can upload and ingest spatial datasets in formats such as GeoJSON, Shapefiles, and coordinate-based CSVs, retrieve project data and map layers, export information for analysis, access dataset metadata, and run geographic or attribute-based queries. They can also create and configure projects, manage map layers and basemaps, retrieve published views, and connect Cadence to enterprise systems to enable automated updates, real-time synchronisation, and live data feeds. However, users cannot manage accounts, roles, SSO, or system-wide settings, nor can they create Stories, run advanced spatial analyses, modify templates, configure custom visualisations, or access private projects without permission. Users can personalise the service in several ways to suit their organisation. Map styling and visualisation can be adapted with custom colour schemes, symbology, and layer designs that reflect organisational branding. Dashboards and reports may be configured with bespoke layouts, widgets, and visualisations to track key metrics. Users can also create templates for maps, reports, and data layers to support consistent workflows. Data layers can be customised by defining attribute fields, metadata schemas, and classification systems, while published outputs such as web maps, Stories, and dashboards can be branded with logos and colour palettes. Customisation also covers user roles and permissions, allowing organisations to define access levels and data visibility. We use both horizontal and vertical autoscaling to manage storage and compute. For example, AWS S3 and RDS storage is automatically increased to accommodate changing data volumes, and we use an AWS Application Load Balancer in combination with ECS to route traffic to multiple targets (containers) to manage demand and increase resilience. We use monitoring technologies including AWS CloudWatch agents, metrics and alarms, in combination with an uptime monitoring service to ensure our support and operations team are aware of any incidents that arise.

Role-based access control is used, in combination with IAM permission sets and S3 bucket policies. We make use of TLS termination, however, all our backend services sit within private subnets, for example the RDS has no public accessibility. This is enforced through AWS software defined networking, such as extensive use of security groups with ingress and egress rules. Furthermore, our backups are encrypted using keys managed with AWS KMS.

Availability and resilience

Cadence guarantees 99.8% availability, calculated monthly across 24/7 operations, which corresponds to a maximum downtime of approximately one hour and 26 minutes per month. This availability excludes outages caused by the customer, scheduled maintenance (with at least one week’s notice), and force majeure events. Uptime is continuously monitored via automated health checks every 60 seconds across multiple endpoints, and monthly availability reports are provided within five working days of month-end, documenting all incidents, maintenance windows, and actual availability achieved. Should availability fall below the guaranteed level, service credits are applied automatically to subsequent invoices as a percentage of the monthly subscription fee: 10% for 99.0–99.8%, 25% for 95.0–99.0%, and 50% for below 95.0%. Claims must be submitted within 30 days of month-end with supporting documentation. High availability is supported through multi-availability zone deployment within AWS, automated failover mechanisms, load balancing across redundant infrastructure, and real-time replication of critical data. Historical performance has exceeded 99.9% availability, reflecting Cadence’s commitment to reliable service delivery, and emergency response protocols include a 30-minute response time for Priority 1 incidents with C-level escalation.
Approach to resilience
Infrastructure Resilience: Cadence operates on AWS cloud infrastructure across multiple UK/EU availability zones, providing geographic redundancy and automatic failover capabilities. The containerised microservices architecture deployed on Kubernetes enables rapid scaling and self-healing, automatically replacing failed components without service interruption. Data Resilience: All data is replicated across multiple availability zones with continuous synchronisation. Daily automated backups with retention policies ensure point-in-time recovery capabilities. Database architecture includes read replicas for load distribution and failover. Recovery Point Objective is 3 hours; Recovery Time Objective is 4 hours for complete recovery, with partial recovery within 2 hours. Network Resilience: Multi-path network routing prevents single points of failure. AWS Shield Standard provides DDoS protection with automatic threat detection and mitigation. Load balancing distributes traffic across healthy endpoints, removing failed nodes automatically. Operational Resilience: 24/7 automated monitoring detects anomalies and triggers alerts. Outage reporting
Cadence provides multiple channels for reporting outages and communicating service status. Our customer support team offer indicators of service health across all platform components, including the web application, API services, data processing pipelines, and authentication systems, with historical uptime data and incident reports available on request. Users may subscribe to automated notifications via email or SMS, receiving immediate alerts for service degradation or outages (Priority 1 and 2 incidents), scheduled maintenance notifications with at least one week’s notice, incident resolution confirmations, and post-incident summaries. In addition, a RESTful API endpoint provides programmatic access to service status, enabling customers to integrate monitoring into their own systems and dashboards, with JSON-formatted health data available at component level. During incidents, updates are issued hourly for Priority 1 incidents and every two hours for Priority 2 incidents, with a final root-cause analysis provided within 24 hours of resolution for all incidents.
