Santegic provides support for Certify Health through email during standard business hours, Monday to Friday, excluding public holidays. Support covers service operation, configuration queries, incident management and escalation to the underlying platform provider where required.

Support is included within the service price unless otherwise agreed at call-off. Where additional support activities are required, these are discussed and agreed contractually based on customer needs. A named technical contact may be provided to support onboarding, integrations and ongoing service coordination where appropriate.

Onboarding and offboarding

Getting started
Santegic supports customers through a structured onboarding process to help users start using Certify Health. This includes initial service setup, configuration and access provisioning, delivered remotely.

Users are introduced to the service through online onboarding sessions, walkthroughs of the user interface and guidance on using key features and workflows. User guidance and reference materials are provided to support day-to-day use.

Additional onboarding or training activities can be provided by agreement, depending on customer requirements.

End-of-contract data extraction
At the end of the contract, customers can request extraction of their data from Certify Health. Patient data, submitted information and related configuration data can be provided in commonly used, open formats, either through API-based export or secure file transfer, depending on customer requirements.

Data extraction is supported by Santegic as part of the offboarding process, subject to agreed timelines and access controls. Once extraction has been completed and confirmed, customer data is securely deleted in line with contractual terms and data protection requirements.
End-of-contract process
At the end of the contract, Santegic supports an orderly offboarding process for Certify Health. This includes confirming contract end dates, disabling user access, and supporting customer requests to extract their data in agreed formats.

The contract price includes standard offboarding activities, such as coordination of contract closure, access termination and data extraction support. Additional activities beyond standard offboarding, including bespoke data transformations, extended access periods or enhanced transition support, may be provided at additional cost by agreement.

Following confirmation that data extraction has been completed, customer data is securely deleted in accordance with contractual terms and data protection requirements.

What users can and can't do using the API
Certify Health provides APIs to support integration with external clinical and administrative systems. Authorised systems can use the API to submit, retrieve and update patient information, form data and status information as part of configured workflows.

Initial service setup, configuration of workflows, access controls and validation rules are carried out as part of onboarding and service configuration, rather than being fully self-provisioned through the API. API credentials are issued to authorised clients following setup.

Changes to data and workflow status can be made through the API where permitted, subject to authentication, authorisation and configured business rules. Administrative configuration, governance settings and service-level changes are managed through controlled processes and are not generally exposed via the API.

The API is intended to support secure data exchange and integration, rather than unrestricted service administration. All API usage is subject to access controls, logging and agreed service constraints.

Certify Health can be customised through supported configuration options rather than bespoke development. Customisation includes configuration of digital forms, workflows, validation rules, user roles, access permissions, notifications and integration endpoints.

Customisation is carried out through the service’s administrative interface and during onboarding with support from Santegic. Authorised customer administrators can manage day-to-day configuration within agreed parameters.

Changes to core platform functionality or security settings are controlled and managed by Santegic and the underlying platform provider through agreed change management processes.

Availability and resilience

Certify Health is provided with a defined availability commitment set out in the service level agreement (SLA). Availability is measured over an agreed reporting period and excludes scheduled maintenance and circumstances outside the supplier’s reasonable control.

Where availability falls below the agreed service level, customers may be entitled to service credits or other remedies as described in the SLA. Any service credits are applied in accordance with the terms of the SLA and do not include financial penalties beyond those agreed contractually. Approach to resilience
Certify Health is delivered using a cloud-based architecture designed for resilience and high availability. The service is hosted on third-party cloud infrastructure that provides resilient datacentre facilities, including physical security controls, power and network redundancy, and environmental protections.

The application is designed to tolerate component failure and to scale in response to demand. Service health is monitored and incidents are managed through defined operational processes. Additional details of the resilience design and datacentre controls can be made available to customers on request.
Outage reporting
Certify Health reports service outages through direct communication with customers. Where an outage occurs, affected customers are notified via email or through the agreed support channel. Updates are provided as appropriate until service is restored.

The service does not provide a public status dashboard or API for outage reporting. Outage information and post-incident summaries can be provided to customers on request.
