- End-of-contract data extraction
- It's easy to export all the data you want or need from your site at the end of your contract. You can do this at any time, not just at closedown, but you may have more in aggregate that you wish to export if your site is being shut down. This can be done using the exporting functions available in the site (.xlsx exports of users, management info, response data and so on), or you may wish to use our data API to transfer data to other systems if this is more appropriate for you.
- End-of-contract process
-
As important data is involved, there are some key steps which both parties have to go through to ensure you have everything needed before your site is closed. Your data is always yours and always accessible to you directly at any time, with no exit fees.
There is more detail in our exit process guidance which can be supplied, but the process is simple, following these steps:
1. We agree a close down date with you: generally the Wednesday following the end of your subscription
2. You export all the data you want from your site.
3. (optional) redirect of your URL. If you are using your own sub-domain then you may wish to point this at a different site or a holding page before the site is closed down
4. Decommissioning your instance: on the agreed closedown date the instance will be shut down and your virtual machine deleted.
5. Secure and permanent deletion -a backup will be retained for 7 calendar days after the close down date. All data is permanently deleted from Delib backup systems within 8-14 days after the closedown date. Once backups have been deleted, the data cannot be recovered. - Documentation accessibility standard

What: URL, branding, content listing, content design, page design, filtering by activity type, sophisticated form builder lets you build rich and unique activities, user access and user grouping, security configurations, terminology and navigation. The platform supports customised activity templates, workflows, and custom dashboards to meet project and organisational needs. Via the secure data API you can have custom integrations to your known and trusted other work systems such as Microsoft Power Apps, data management systems, analysis tools and more.
How: Most configuration options can be done by customer users themselves via the detailed and fully supported web-based admin system. Delib's team will run through some sitewide configuration options at set up and in reviews, for example security configurations, to ensure these are right and meet your needs from the outset. Other configurations can be made on request such as tailored pages, workflows and configurations where our customer success managers, technical team, or content designers will work in collaboration with you.
Who: Configuration options are segmented by user roles. Some configuration elements are customisable only by site admin users. Some configuration points are customisable only by Delib on buyer's instruction.

Availability and resilience
- Guaranteed availability
- The SLA is site availability 24 hours a day, seven days per week. The target availability is 99.95% (maximum 21.5 minutes of Downtime per month). The measurement period for availability is in calendar months. If Downtime exceeds the target limit of 21.5 minutes in a calendar month, Delib will provide the Client with a service credit equal to one day’s Fees on a pro rata basis (exclusive of VAT, and exclusive of any excess bandwidth or storage charges that have been negotiated) for each full completed hour of downtime. The maximum service credit available in respect of any one month shall not exceed one month’s Fees.
- Approach to resilience
- Detailed information is available on request. However, Delib is ISO 27001:2022 certified, Cyber Essentials certified, has an annual penetration test run by CHECK-registered third-party security vendor with report available on request. Complies with UK NCSC guidance for cloud security. Data is encrypted in transit and at rest. Hosting is fully managed, with data for UK customers stored in secure, UK datacentres. 99.95% uptime guarantee; 24/7/365 monitoring. All backups and maintenance managed - Backups contain all user data and system configuration needed to restore a system in the event of a critical failure. The backup system and restore procedure are tested at least monthly. Backups are stored in the same geographic territory as the site and replicated across multiple data centres for resilience.
- Outage reporting
- Outages are reported to our on-call team via our automated monitoring. We will immediately investigate and will notify the affected customer via email to the emergency contacts they have provided to us. Delib operates an ISO 27001:2022 certified information security management system (ISMS) for setting policy and auditing for compliance.
All staff have a duty to respect the confidentiality and integrity of any data they access, in line with our infosec policy.
New starters are screened to meet the standards of UK Government Baseline Personnel Security Standard (BPSS), and to an equivalent standard for other territories. Access control lists limit the access of new employees until the screening is successful.
Compliance with Delib’s infosec policy and processes is a condition of employment for employees and contractors. Employment contracts specify the infosec requirements and the disciplinary process for incidents of non-compliance. All employees and contractors sign a non-disclosure agreement at commencement.
Delib educates new starters about information security and their specific responsibilities as well as overall company responsibilities. Delib provides annual training to all staff to refresh their Information Security knowledge. The programme is reviewed and updated regularly, in line with policies, procedures and learnings from any incidents.
All security incidents are identified and reviewed by the ISMS team. Severe incidents are reviewed as a group to enhance awareness and improve on actions when possible. - Software Security Code of Practice

Operational security
- Configuration and change management standard
- Supplier-defined controls
- Configuration and change management approach
- Delib uses a structured and controlled approach to configuration and change management. All changes are submitted through a secure version control system and attributed to named individuals. During development, potentially unstable changes are isolated, and a formal QA process—comprising automated and manual testing for security, performance, and compliance—is applied. Configuration is centrally managed using configuration management tools for routine maintenance. Security-sensitive changes undergo additional review, and where appropriate, a privacy impact assessment is conducted to assess potential risks before development begins.
- Vulnerability management type
- Supplier-defined controls
- Vulnerability management approach

Delib gathers and assesses threat intelligence to stay informed and respond effectively. Intelligence sources include internal monitoring tools (e.g., AV, MDM, SIEM), industry news and threat reports.
All patches are assessed daily and managed via our internal change control and risk assessment processes. Depending on urgency, they are either rolled out as an emergency release or prepared for the next scheduled release.
All emergency changes are logged via our internal change control system to ensure traceability. Any release required to address a critical issue will follow the prioritisation and response times defined in our Service Level Agreement (SLA). - Protective monitoring type
- Supplier-defined controls
- Protective monitoring approach
- Delib uses automated monitoring and alerting systems to detect availability incidents and potential compromises. These systems notify support staff immediately, enabling a rapid response. Incidents are treated as critical errors and investigated without delay—Delib’s SLA commits to initiating diagnostics within a maximum of 2 hours. If a potential compromise is identified, Delib conducts immediate investigation and, if necessary, disables customer services as a protective measure. Customers are notified within 2 hours (typically under 30 minutes), and regulatory authorities are informed where required. Incident reports are shared within one working day, with a review within three days.
- Incident management type
- Supplier-defined controls
- Incident management approach
- Delib has a pre-defined incident management process with clearly structured stages. Common events are monitored by automated systems that alert on-call support staff. Users can report incidents via email or phone, as detailed in Delib’s SLA. All reported or detected incidents trigger an immediate response, with critical errors receiving fault diagnostics within a maximum of 2 hours. Incident reports—including root cause, resolution steps, and mitigation measures—are documented and provided to customers within one working day of resolution. A full review and retrospective follow within three working days to prevent recurrence.
