Onboarding and offboarding

Getting started
SureCloud supports users in starting quickly and confidently through a structured onboarding and enablement approach. Each customer is assigned an implementation specialist who guides them through initial setup, configuration and adoption. Typical implementations are completed within three weeks, depending on scope and data readiness.

Onboarding includes configuring the core platform, setting up selected frameworks, and aligning workflows with the customer’s operating model. Where required, SureCloud supports data import from existing spreadsheets or legacy systems to reduce manual effort and disruption. Design users receive dedicated training to enable them to configure workflows, forms and reports independently using the platform’s no-code tools.

Training is delivered remotely as standard and includes live sessions tailored to different user roles, such as administrators, design users and general users. These sessions focus on real use cases, not generic demonstrations, ensuring users can immediately apply what they have learned. Additional sessions can be provided as the service expands or new modules are introduced.

SureCloud also provides online user documentation, in-product guidance and reusable templates to support ongoing learning. Support continues after go-live through regular check-ins and access to the SureCloud support team, ensuring sustained adoption and effective use of the service.

End-of-contract data extraction
At the end of the contract, users can extract their data from SureCloud Foundations in multiple ways, depending on their technical capability and requirements. The service is designed to ensure customers retain full ownership and access to their data and can retrieve it in a usable format.

Users can export data directly through the platform user interface. This includes structured records such as risks, controls, assessments, actions, audit working papers and reports. Exports are provided in common, open formats to support reuse and migration to other systems.

For customers requiring more automated or large-scale extraction, data can be retrieved via SureCloud’s APIs. This allows organisations to programmatically extract data, integrate with downstream systems, or support a structured transition to a new platform. API access is governed by standard authentication and access controls.

Where additional assistance is required, customers can request support from SureCloud’s team. This may include coordinated bulk exports, support for complex data structures, or guidance on data interpretation. Any such support is delivered in line with agreed security and access controls.
End-of-contract process
At the end of the contract, SureCloud works with the customer to ensure an orderly and secure service closure. Data is retained and handled in line with the terms of the contract and applicable data protection requirements.

The contract price includes access to the SureCloud Foundations platform for the agreed term, hosting, maintenance, updates, standard support, and the ability to export customer data at contract end. This ensures customers can retrieve their information without additional licence fees or penalties.

Once the agreed termination period has elapsed, the system is fully deactivated. Customer data is then securely retained or deleted in accordance with contractual obligations and regulatory requirements.

If customers require additional assistance beyond the standard contract terms, such as bespoke data extraction, large-scale bulk exports, or engineering-led support for complex data structures, this can be provided as a professional service. Any such support is delivered on a time-and-materials basis and may incur additional service days, agreed in advance with the customer.

Description of customisation
Users can customise SureCloud Foundations through a controlled, no-code configuration model designed for design users. The service allows organisations to tailor workflows, risk models, control frameworks, questionnaires, dashboards, and reports to match their governance, risk, and compliance processes. This includes adjusting approval stages, defining risk impact and likelihood scoring, configuring control assessments, and customising reporting outputs and metrics such as KRIs, KCIs and KPIs.

Customisation is carried out directly within the platform using visual configuration tools. Design users can modify forms, workflows and templates without writing code or requiring support from SureCloud. Changes can be applied incrementally, allowing organisations to adapt processes as regulations, internal structures or assurance needs evolve.

Only authorised design users can customise the service. These users are typically governance, risk or compliance specialists and are provided with dedicated training during onboarding. Standard users can use configured workflows but cannot change system design. This approach ensures flexibility while maintaining control, consistency and audit integrity.
