- End-of-contract data extraction
-
When you switch CSP providers but keep Microsoft 365, your data and tenant remain completely intact. Microsoft hosts your tenant, so the change only affects billing and support not your files, emails, or settings.
How it works:
- Your new CSP adds the required licences to your existing tenant.
- Once active, the old CSP removes their licences.
- Users continue working without interruption (no migration or data loss occurs).
Key points:
- Ensure there’s no gap in licence coverage to avoid service disruption.
- Confirm the new CSP has delegated admin access if you need ongoing support.
- All data (OneDrive, SharePoint, Exchange) stays exactly where it is.
Switching CSPs is seamless when planned correctly. Your Microsoft 365 experience remains unchanged only your partner relationship changes. - End-of-contract process
-
From April 2026, Microsoft will no longer offer a free grace period when a CSP subscription ends. If no action is taken, the subscription will automatically move to a paid month-to-month plan called the Extended Service Term (EST). This incurs an uplift of 3% on the standard monthly price (or 23% if no monthly plan exists). To avoid extra costs, you must renew or cancel before the contract end date. If you cancel, access ends immediately on the expiry date.
What’s Included in the Price
- Microsoft 365 licences and access to included services (Exchange, SharePoint, OneDrive, Teams).
- Standard support from your CSP as agreed in the contract.
Additional Costs
- EST charges if no renewal or cancellation is made (+3% or +23%).
- Advanced support packages beyond standard support.
- Backup, archiving, or migration services (not included by default).
- Third-party compliance or security tools.

Scaling
- Independence of resources
- Microsoft 365 and Azure use a global, multi-tenant architecture with strict resource isolation. Each tenant has dedicated quotas and throttling policies to prevent other customers’ demand from impacting your service. Azure automatically scales resources and uses load balancing to maintain consistent performance. Microsoft also enforces SLAs for uptime and availability, ensuring your workloads remain stable regardless of external demand.

Availability and resilience
- Guaranteed availability
-
For Microsoft 365 and Azure services Microsoft guarantee availability in line with their published Service Level Agreements (SLAs).
- Microsoft 365: A financially backed SLA of 99.9% uptime per month.
- Azure: Availability varies by service, but most core services offer 99.9%–99.99% uptime, depending on configuration (e.g., single-instance vs. multi-zone deployments).
Refunds for SLA Breaches
If Microsoft does not meet these guaranteed levels, service credits are applied to your account based on the percentage of downtime experienced during the billing period. Credits typically range from 10% to 100% of the monthly service fee for the affected service, as defined in Microsoft’s SLA documentation.
Microsoft monitor compliance and assist with credit claims where applicable. Full SLA details are available in Microsoft’s official SLA documentation for each service - Approach to resilience
-
Microsoft 365 and Azure services are built on Microsoft’s global cloud infrastructure, designed for high availability and disaster recovery. Data is hosted in UK regions (UK South and UK West), with availability zones in UK South providing intra-region resilience and regional pairing for geo-redundancy.
Azure services support zone-redundant and geo-redundant storage (ZRS, GRS, RA-GRS), ensuring durability even during datacentre failures.
Microsoft 365 applies multi-layered redundancy across hardware, network, and datacentres, with automated failover and annual disaster recovery testing.
We complement this with independent backup solutions for M365 and Azure workloads, meeting client-specific RPO/RTO objectives. Continuous monitoring and automated failover processes ensure rapid recovery from incidents.
Detailed architectural diagrams, failover runbooks, and compliance certifications (ISO, SOC) are available on request.
This approach aligns with the UK government’s Cloud Security Principle 2: Asset Protection and Resilience, ensuring data integrity, service continuity, and robust disaster recovery. - Outage reporting
-
Microsoft’s standard incident communication channels for Microsoft 365 and Azure are:
- Public Dashboard: Service health is published on the Microsoft Service Health Dashboard for Microsoft 365 and Azure Status for Azure. These dashboards provide real-time updates on outages, planned maintenance, and historical data.
- API Access: Administrators can integrate with the Service Communications API (part of Microsoft Graph) to programmatically retrieve service health and incident details for automation or custom reporting.
- Email Alerts: Microsoft configure alerts via the Microsoft 365 admin centre and Azure Service Health. Customers receive email notifications for incidents, advisories, and planned maintenance affecting their tenant or resources.
Additionally, they monitor service health and proactively notify customers of any significant issues impacting their environment.
