Support includes handling incidents, service requests and advisory queries related to cloud and AI services. Requests are prioritised using a clear priority matrix to ensure urgent issues receive faster responses. Support is delivered Monday to Friday, 9am–5pm (UK business hours). Response times vary by priority, with critical incidents responded to more quickly than lower-priority requests, ensuring proportionate and effective support. Support level costs Support is provided on a transparent rate-card basis, in line with G-Cloud Lot 3 requirements. There are no fixed support tiers or minimum commitments. Buyers only pay for the time and roles required, as published on the Digital Platform. Onboarding and offboarding

Getting started
New customers receive a structured onboarding programme. After contract signature Hypercube schedules a kick‑off call to recap scope, prerequisites, timescales and release management and to arrange access to front‑end, data stores and DevOps/Jira boards. We provide a Customer Onboarding Pack and run discovery workshops to gather requirements and design the target solution. Detailed runbooks, training materials and a “train‑the‑trainer” approach help teams become self‑sufficient. Customers have a dedicated Customer Success Manager who guides them through day‑to‑day support, monthly service reviews and quarterly business reviews and can arrange bespoke training. Our knowledge base and resource library are updated regularly with feature demos, articles, virtual‑classroom recordings and user‑group content. We offer online training sessions and webinars as standard; onsite workshops or tailored training programmes can be delivered on request. Users also have access to user documentation, API guides and a sandbox for self‑paced learning, and can raise support tickets or change requests through Jira. This layered approach ensures public‑sector teams can start using the service confidently and become independent quickly.

End-of-contract data extraction
At the end of a contract Hypercube provides a straightforward data‑extraction service. Customers may submit a Data Release request and we supply a complete export of their content, metadata and configuration in a neutral format within 30 days. The export is delivered in industry‑standard formats – such as CSV, JSON, XML, PDF or DOC – or as a structured database backup; users also download source documents directly via the API or UI. There is no charge for a standard extract. Once the customer confirms receipt, we securely erase their data from our environment so it is no longer recoverable. Additional services (for example, large‑scale migrations or bespoke transformations) are provided on a project basis if required.
End-of-contract process
At expiry Hypercube follows a structured exit plan. We hold a final service review with the customer to confirm outstanding deliverables and coordinate knowledge‑transfer. Data extraction is delivered as standard: customers request a release of all project data (documents, metadata, configurations and derived outputs) and we supply it in open formats such as CSV, JSON, XML or PDF within 30 days. Once the customer confirms receipt, we securely purge the data from our platform. Included in the contract price are: offboarding planning, basic knowledge‑transfer and run‑books, and the standard data export. Additional charges apply only if the customer needs more extensive support – for example, complex migrations or reformatting, extended exit workshops, on‑site assistance, or bespoke transformations. These services require extra engineering effort and are costed separately and agreed in advance.

What users can and can't do using the API
The platform exposes a RESTful API to let organisations integrate our agentic AI platform with their existing systems. To set up the service, an administrator obtains an API key and creates projects via the API, defining project name, stakeholders and data sources (for example, email inboxes, SharePoint sites or uploaded PDFs). Once a project is created, the API ingests documents and triggers our AI pipeline (extraction, classification and embedding) using underlying services such as Amazon Textract, Comprehend and vector search. Users query processed data, generate reports and update project metadata via GET or PATCH requests. For example, they assign tasks, add notes or retrieve key metrics. Limitations: the API does not allow users to modify the underlying AI models or create custom ML workflows; advanced configuration (e.g. dashboard design or analytics logic) must be performed in the web UI. Critical actions (like closing a project) require a human reviewer; data deletion and retention settings are only available to administrators. Rate limits and role‑based permissions apply to prevent abuse.

Description of customisation
The platform is modular and configuration‑driven. At project setup, administrators select which functional modules they need (e.g. document ingestion, workflow automation, analytics) and connect data sources such as email inboxes, shared drives or spreadsheets. They configure projects, user roles, alert thresholds, reporting templates and dashboard layouts through the web UI or via API calls. Individual users personalise their own dashboards, bookmarks and notification preferences, but cannot alter global settings. More advanced customisation – such as defining new workflows, integrating bespoke data sources or adapting the underlying AI‑assisted triage and analytics – is handled by Hypercube's team of embedded engineers. These “forward deployed” specialists embed with customers to configure the platform and tailor implementations; their role is to adapt deployments through configuration rather than building one‑off bespoke code. End users cannot modify the core AI models or add new software modules themselves. This model balances flexibility and maintainability: customers shape the service around their programmes, while our product team ensures changes feed back into the core platform for everyone’s benefit.

Availability and resilience

Guaranteed availability
We guarantee 99.9% monthly service availability, measured at the application layer and excluding pre-notified planned maintenance. Availability is monitored continuously using automated health checks across all critical components.

If availability falls below the guaranteed level in any calendar month, customers are entitled to service credits, calculated as a percentage of the monthly subscription fee and applied to the next invoice. Credit levels are tiered based on the extent of the outage and are clearly defined in the contract.

Planned maintenance is scheduled outside UK business hours where possible and communicated in advance. Availability SLAs and service credits are included as standard, with no additional cost.
Approach to resilience
Hypercube's service is designed for resilience using cloud-native, fault-tolerant architecture. It is deployed across multiple availability zones within a public cloud region, so the failure of a single component, server or datacentre does not impact service availability. Core services are stateless and containerised, with automatic health checks, self-healing and horizontal scaling to handle demand spikes.

Data is stored on resilient managed services with built-in replication and regular encrypted backups. We continuously monitor availability and performance, and have documented incident and disaster-recovery procedures that are regularly tested. Detailed datacentre and recovery architecture is available on request.

Hypercube reports outages through multiple channels to ensure users are promptly informed.

Service status is monitored 24/7 and incidents are automatically detected. When an outage or major degradation occurs, we notify customers via email alerts and update a service status page with details of the issue, affected services and progress updates. For critical incidents, customers also contact the service desk directly for real-time updates.

Post-incident, we provide a summary explaining the cause, impact and corrective actions taken to prevent recurrence.

    • Understanding of the types of businesses in the market and the level of participation by new businesses, entrepreneurs, start-ups, SMEs, VCSEs and mutuals
    • Activities to identify opportunities to open up sub-contracts under the prime contract to a diverse range of businesses, including new businesses, entrepreneurs, start-ups, SMEs, VCSEs and mutuals
    • Plans for engaging a diverse range of businesses in engagement activities prior to appointing subcontractors (including activities prior to award of the main contract and during the contract term)

    • Working conditions which promote an inclusive working environment and promote retention and progression
    • Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors.     • Inclusive and accessible development practices, including guidance for line managers on recruiting, managing and developing people with a disability or health condition
