Onboarding and offboarding

Getting started
Dermicus is designed to be simple to implement and easy for clinicians to start using. The solution enables organisations to begin using Dermicus with little or no implementation support, allowing for fast and straightforward onboarding.

Once the commercial agreement is in place, the Dermicus app is installed on the required end-user devices, and user accounts and logins are created. This setup can be completed remotely by the Dermicus team.

Users can then log in and begin using the service immediately. When creating a new request, users are automatically connected to their assigned clinical centre within the Dermicus platform. No additional configuration is required, and access levels are assigned based on clinician roles.

Dermicus recommends on-site training to support adoption; however, the application is designed to be intuitive and guides users through predefined clinical pathways.

End-of-contract data extraction
At the end of the contract, Dermicus aims to make offboarding and data access as simple as possible. All data entered into the service will be made available to the buyer.

Dermicus will provide a full data extract, which can be supplied to either the buyer or a buyer-appointed data transition expert or replacement service.

Responsibility for engaging a data transition expert and for migrating data into any replacement solution rests with the buyer. Dermicus does not perform data migration into third-party systems.
End-of-contract process
Dermicus is designed to support a simple and straightforward service exit. From an end-user device perspective, the Dermicus mobile application can be removed in the same way as any other iOS application. No data is stored locally on the device, so once the app is deleted, no Dermicus data remains on the device.

The Dermicus customer team will remain in contact throughout the term of the agreement and will provide reasonable support in relation to data access and exit activities, including providing required data extracts. Responsibility for data migration into any replacement system remains with the buyer.

Access restrictions in management interfaces and support channels
Dermicus restricts access to management interfaces and support channels using role-based access control (RBAC) and the principle of least privilege. Administrative and management interfaces are accessible only to authorised Dermicus personnel with individually provisioned accounts and strong authentication. Within the platform, user access is restricted by role (e.g. organisation admin, centre admin, clinician, user), with predefined permissions for each role. Support channels are accessible only to authorised support staff, with access limited by support function. The platform maintains usage and patient data access logs to support auditing, traceability, and monitoring of access to sensitive information.
