- How the planning service works

Our planning services help organisations move their IT infrastructure, applications, and data from on-premises or legacy systems to cloud-based platforms. We work with our clients to assess their current IT environment, identify their business goals, and develop a comprehensive cloud migration plan.
The service includes discovery and assessment, cloud platform selection, architecture design and data migration, application migration and testing, all underpinned by our training and support. Our service is focused on helping clients deliver:
• Data security
• Easier collaboration
• Scalability and flexibility
We work closely with clients on all aspects of their cloud journey, including requirements and scoping, readiness assessments, migration plans, proof of concepts, right through to successful migration execution.
Our Professional Services Team includes Business Analysts to capture and confirm technical, operational and commercial requirements. Enterprise, Technical and Solution Architects are available to determine and agree the most appropriate design of the Cloud Solution, monitoring and adjusting as required through the proof of concept phase, and once signed off, executing the agreed migration plan. - Planning service works with specific services

AI Digital has a strong network of Associates and Partners who are able to offer different training combinations to suit the needs of the customer. Training can be delivered face to face or remotely and can be instructor led or self-driven through working through pre-written and agreed training material. We are also able to offer a train-the-trainer approach to enable the customer to take more of a lead moving forward.
In addition to facilitating accredited technical training when required, we are also able to offer training in softer but equally important aspects such as Lean Six System and Operational Excellence to ensure that any transformational changes are culturally embedded too and staff have a Lean-thinking and continuous improvement mentality. - Training is tied to specific services

- How the quality assurance and performance testing works
-
Quality Assurance is core to the work we provide our clients in cloud migrations. This is evident in all stages of project delivery and is maintained throughout the engagement. We work closely with our clients to carry out quality assurance and performance testing before, during and after cloud migration, benchmarking against industry standards.
The service can be tailored to cover all aspects of a move to public cloud, including an assessment of performance across the domain and the level of testing required prior to cut-over to the live environment

- Support levels
-
Support is provided throughout any project or assignment. The level of support may vary depending on the size and scale of the Project. Most Projects will include a Project or Programme Manager who will oversee and manage the day-to-day progression of the work. In the planning phases of project governance stakeholder mapping and communication plans will all have been agreed to ensure a clear line of support and escalation route.
The levels of support will be tailored to the phase of the Project, for example during testing it may be appropriate to have online ticketing support in place to hold a record of findings. During release support it may be more appropriate to have telephone and chat support in place to ensure speed of response. Levels will be discussed and agreed during the planning phase, and any cost implications agreed.
For cloud migrations. a technical lead will be in place in addition to a general Account Manager. The Account Manager will have regular service review meetings with senior stakeholders to ensure ongoing satisfaction and can act as an additional escalation route if required.

Fighting climate change
AI Digital is focused on doing the right thing for our employees, our customers and the environment. From the inception of the company, we have taken proactive steps to:
• Instil a paperless culture, using online file storage and collaboration tools
• Actively encourage home working and use of video conferencing
• Ensure our Payroll system, payslips and holiday requests are all online
• Encourage use of online whiteboard tools such as Miro
• Minimise the number of in-person team meetings
Our Carbon Reduction Plan declares our ambitious net zero emissions plan and we have committed to initiatives such as:
• Employee commuting - Lower carbon options for employees commuting, with the introduction of salary sacrifice benefits to enable employees to benefit from hybrid and electric cars under a new Car Scheme, and bicycles under a new Cycle to Work Scheme
• Employee awareness – We will engage with our employees to educate and involve them in the Carbon Reduction Plan, seeking their input and incorporating their ideas and suggestions
• Employees working from home – We will explore educational tools and partnering opportunities with companies such as ‘Count Us In’, to empower our employees to take positive action and accountability through personal actions to reduce their own carbon footprint
• We know that business travel and client site visits will not be 100% avoidable or practical, therefore we look to offset any unavoidable carbon emissions through certified climate action projects
Our work typically involves deploying innovative solutions that benefit the environment through the reduction in elements such as physical assets and associated energy savings. For each assignment through the Framework we will work collaboratively with clients and their supply chains to deliver environmental benefits and work towards net zero, highlighting the benefits gained in the realisation phase.Tackling economic inequality
AI Digital fosters an environment where employment and training opportunities are open to those who face barriers to employment. We are proud to have signed the Armed Forces Covenant in 2023 and are looking to progress beyond Bronze accreditation as the year progresses. We have successfully employed ex-armed forces personnel and supported them in their transition to civilian life.
Our recruitment and employment practices are aligned to those set out in the Good Work Plan i.e. fair and equitable pay, participation and progression, voice and autonomy.
Our staff are encouraged to engage in volunteering opportunities outside of the work environment (this has included student CV reviews and mock interviews) and are supported when time off during work hours is needed.
For assignments received through G-Cloud we would look to use local suppliers and local resources where practicable to do so, and evaluate where we can best support local economies.Equal opportunity
AI Digital is an equal opportunities employer and are committed to diversity and inclusion in the workplace. We are committed to being a successful, caring and welcoming place for all employees, associates and partners. We strive to create a supportive and inclusive environment where our people can reach their full potential, without prejudice and discrimination. We are committed to a culture where respect and understanding is fostered, and the diversity of people's backgrounds and circumstances will be positively valued.
AI Digital Ltd are committed to creating a work environment free of harassment and bullying, where everyone is treated with dignity and respect. Where we work with a client virtually or in-person we expect reciprocal terms on this and welcome a fostering of mutual respect and dignity in the workplace.
We apply our equal opportunities policy at all stages of recruitment and selection too. Shortlisting, interviewing and selection are always carried out without regard to gender, gender reassignment, sexual orientation, marital or civil partnership status, colour, race, nationality, ethnic or national origins, religion or belief, age, pregnancy or maternity leave or trade union membership.
Our Dignity at Work Policy and Processes and Equal Opportunities Policy and Statement are reviewed with regular frequency and are available at all times for people to refer to if required.
Where required and appropriate to do so AI Digital will ensure equal opportunity activities are embedded within the delivery outputs of our services under the G-Cloud framework.Wellbeing
We are a people organisation, our people are key to the success of our business, and their health and wellbeing are paramount to us. As part of our staff benefits, we provide access to all employees to a comprehensive Employee Access Programme (EAP). This is part of a package that includes access to Income Protection that covers 50% of salary for up to 24 months in the event of long-term sickness. The EAP has a wide range of wellbeing initiatives and is focused on preventative measures as well as re-active support and advice/guidance on a range of matters from health/financial through to legal support. They include a wide range of webinars and courses available free-of-charge. This provides a holistic support package to employees to support them to be at their best inside work and out.
In addition, we provide free life insurance @ 3 times salary to all employees, to give peace of mind/security for them and their loved ones.
As a company we have introduced a Wellbeing Ambassador who is passionate about driving initiatives to bring people together and enjoy things other than just work. As our staff are spread across the UK this includes events such as weekly drop-in check in/chat sessions, monthly celebratory Teams call as well as the occasional cookery or Karate demonstration with people keen to share their hobbies.
In conjunction with Mental Health England we also now have more than 25% of the workforce trained as Mental Health First Aiders (MHFA) across the organisation for times of mental health crisis as a friendly non-judgemental ear, and to sign-post people to professional support.
We actively elicit feedback/comments in our annual employee satisfaction survey to identify innovative ideas and ways of working to further support the mental and physical health of our employees.
