The Valamis Learning Solution is built on a Microsoft Azure cloud architecture therefore there are no constraints that buyers should know (other than those listed by Microsoft; documentation readily available on Microsoft's own webpages).

Valamis shall use its best efforts to ensure that any planned downtime (for maintenance, patches, upgrades, hardware configurations) will not exceed 6 hours each month. The outage time slot and total outage time will be discussed with the Customer in advance of the planned work commencing.

Valamis provides three support levels as defined below:

Premium (+20% cost to annual licence subscription). Response time for incident classifications: High: 1 hour, Medium: 3 hours, Low: 3 hours.

Extended (+10% cost to the annual licence subscription or can be exchanged in return for customer referencing and marketing rights). Response time for incident classifications: High: 3 hours, Medium: 6 hours, Low: 6 hours.

Basic (included in all Valamis implementations as standard). Response times for incident classifications: Best Effort (e.g. no defined response time).

Technical account managers and cloud support engineers will be utilised internally when required and are not generally connected to customer cases. A dedicated Key Account Manager (KAM) will be the customer front-facing point of contact for any support concerns in addition to Valamis' 24/7/365 customer support channels.

Getting started
Valamis includes training and administrator support as part of the implementation project/phase. The training can be facilitated both on-site or via conference call (as per the Customer preference).

After this initial training period, Customers are invited to attend a free virtual Valamis Roadmap webinar once every quarter which informs attendees about the new features of Valamis and highlights general digital learning trends which may be of interest.

Additionally, all Valamis Customers receive a free digital Valamis manual of the generic or custom training which has been created for them during the implementation project.

End-of-contract data extraction
Return of Customer data is part of the end of contract agreements outlined in Valamis contractual information. Data is exported from the databases, and from the learning solution.

However, to export all data from the Valamis Learning Solution a request must be made from the Valamis support/operations team.

Valamis is extending the Customer ability to export Personal Information (PI) individually during H2/2022 as part of our Valamis Roadmap and development cadences.
End-of-contract process
At the end of the contract term, Customers can export their content (learning modules) and xAPI statements from the Valamis Learning Solution without additional cost. The environment is then shut down on the agreed date.

As an additional fee, Valamis can provide support for this process. e.g. content management, ramp-down process, documentation, or reporting activities. Further analytics and learning consulting services are also available. These can be agreed either for a hourly rate or an agreed fixed project fee.

The Valamis Learning Solution is fully responsive and can therefore be used on any device/browser with internet connectivity - allowing access to all functionality.

The Valamis Mobile App (a downloaded native app for Apple and Android devices) is a lightweight learning solution used to engage learners with relevant content/functionality via their mobile device(s). The App can be used both online and offline (offline completion data is synchronised to the LRS when connection is restored).

Valamis has conducted manual and automated WCAG 2.1. AA compliance testing.

For one Valamis Customer (in a public sector organisation) they recently tested the learning solution with users of assistive technology (Spring 2022), next to an external accessibility test.

The test was undertaken with two learners: a learner who had a visual impairment and a learner who had a neurological impairment. Overall, the Valamis learning solution performed well in the test however, improvements were highlighted.

Valamis product teams and platform developers are currently in the process of analysing and discussing the results internally. Thereafter, planned or necessary functional improvements will be made and incorporated into the Product Roadmap cadence cycles. Initial improvements highlighted include improvements to page structures (H1, H2, H3 headings) and the course navigation menu (not main menu).

Valamis' APIs comply with SCIM and xAPI specifications.

The SCIM API can be used to provision learners, learner groups and organisations within the Valamis Learning Solution. It can also be used to fetch that data from Valamis for use in other integrated systems.

The xAPI API allows access to learning record data stored in the Valamis Learning Record Store (LRS).

Description of customisation
The Valamis Learning Solution is a fully customisable and highly scalable platform built around customer needs. The site structure and pages, page layouts, tools used and all content and learner management structures are fully customisable. These are controlled by admin rights and changes made by admin users will impact all learners in the platform.

Valamis has an advanced and secure system of users, roles, and permission rights which allows the granularity to define every role and its permissions. It also grants and prevents access e.g. to specific content, sites, features. Admin users can configure these permission rights based on simple to follow system screens with check box options to permit or deny access (system functionality or content access).

Valamis’ User Experience (UX), design and implementation teams can design and build a brand-specific look and feel for the solution, to match Customer or Marketing brand standards, and enhance the learner engagement. This is achieved in partnership with the Customer.

Valamis is a multi-tenant service, which means that multiple Customer deployments and Virtual Machines (VMs) are stored on the same environment. Valamis uses built in logical isolation, tenant ID, to segregate each Customer’s data from the data of others. The Azure Database for PostgreSQL service uses the FIPS 140-2 validated cryptographic module for storage encryption of data at-rest. Data, including backups, are encrypted on disk, including the temporary files created while running queries. The service uses the AES 256-bit cipher included in Azure storage encryption and the keys are system managed. Storage encryption is always on and can't be disabled.

Valamis offers 3 levels of Service Level Agreements (SLAs) for availability and error/incident correction. These are:

Valamis takes pride in assisting Customers in a timely manner to resolve errors/incidents quickly. This is why we do not have a refund policy.

On occasion, clauses (which may include potential financial penalty/refunds) have been negotiated and included in the contracting phase. However, these remain subject to both parties accepting the terms/penalties defined and are not guaranteed as standard working practices.

In 2021, the Valamis Learning Solution availability was 99.9% for the entire year. There were 6 minutes of total outage recorded during this time.

Two million people use Valamis around the world to learn. We help our Customers cut their environmental footprint by decreasing the need for traveling to learn and the need for physical learning materials. When Valamis Customers use the learning system, the digital learning materials can be scaled to serve as many people as necessary.

As a SaaS company, emission production is low (since Valamis doesn’t manufacture any physical goods). The biggest environmental impact comes from our servers, business travel and office energy consumption. In 2020, Valamis reduced energy consumption per end-user by 30% through server and software optimisations. Since Covid 19, business travel has decreased significantly and the majority of business meetings taken place virtually. Moving forward, Valamis is continuing to limit the amount of business travel.

For energy consumption Valamis has chosen green energy (generated from natural resources, such as sunlight, wind, or water), and this accounts for a vast majority of the energy consumed in the business.

In 2021, Valamis learning trees were planted in Kuortane, Finland, by youth workers from the 4H organisation. Thus, we were able to support young people’s summer employment and help reforest a discontinued peat-mining area. Valamis also gives incentives for cycling to work. In 2021, employees cycled 38,069.9km, saved 2,664 litres of gasoline (by cycling instead of driving), saved 6,660 kg of Co2-emissions and collected 1,523 euros for the Valamis charity (Finnish Red Cross).

At Valamis' offices, unnecessary printing is avoided. We consistently recycle waste, such as cardboard, glass, paper, etc. in all our offices where this is possible. For business gifts/trade show merchandising, Valamis is moving to more sustainable choices, such as choosing organically produced or fair-trade products. Every 'Valamisian' is trained to follow environmental guidelines as part of the onboarding process which is refreshed annually.

Covid-19 has changed the working culture forever but it has proven that working remotely is as effective as working from the office. Working from home decreases the use of vehicles and thus it’s an environmentally sound action.

At Valamis, the Human Resources (HR) department now advocates the hybrid-working model, and encourages adoption across the business. HR encourages employees to come to the office during the workweek so that employees also get a sense of belonging to a community.

Maria Vihtkari, (Chief Human Resource Officer of Valamis), wrote a blog on “Taking Care of Employee Wellbeing in Times of Distress” (https://www.valamis.com/blog/taking-care-of-employee-wellbeing). In it, she describes the well-being actions Valamis has taken during and after the Covid-19 pandemic.

In addition, according to the internal wellbeing survey conducted in late 2021, up to 92.5% of Valamis employees felt that they have enough opportunities to do their work regardless of location. Maria states, that the result can be considered good, but as remote work is here to stay, there is a risk that some employees will fall outside of support, career development possibilities, and a sense of community. It is also more likely that possible difficulties in coping and mental health struggles will go undetected.

To minimise these risks Valamis has initiated structured 1:1-meetings between the employees and their supervisors. For this purpose, Valamis implemented a solution called Humbol, through which the company can ensure that all employees are treated equally and as individuals.

At Valamis, every employee has the right to good leadership and that doesn’t happen without regular conversation between the employee and their supervisor. Valamis’ proactivity has been effective, and the employee satisfaction rates during and after Covid-19 have proven that the right kind of measures have been taken.

Valamis headquarters are located in Joensuu, a small town in Eastern Finland. In 2003, Valamis was a small start-up company, but now it has created employment opportunities and 80+ jobs in this scarcely populated area. Worldwide, Valamis has 240+ employees and has been the first workplace for many. In fact, Valamis has employed unemployed people without previous experience and trained them into successful platform/software coders and Product Managers!

Valamis is constantly educating its employees and its Customers, and as an end-to-end learning solution provider, Valamis has over two million learners. Employee wellbeing is a primary focus at Valamis and the company offers a wide range of benefits to support employee mental and physical wellbeing. The HR team diligently solves wellbeing challenges and Valamis offers a wellbeing program that is constantly developed to meet employee needs.

Physical wellbeing is well catered for at Valamis. Several offices have running, cycling and orienteering groups, and there’s an allocation of money provided by Valamis for either sports clothing, gym membership or for taking part in sport events. There is a massage therapist or a massage chair available and in some offices, neurosonic mattresses and meditation apps are provided.

With regard to mental wellbeing, here are some examples of the practices Valamis has implemented: 1) initiation of structured, recurring 1:1-discussions between supervisors and employees; 2) learning paths about mental wellbeing were added to our internal digital learning solution, Valamis. Employees are given time to study these during the workday. 3) Availability of professional mental health services to employees were added globally; 4) webinars for our employees about topics such as recovery, managing fears, and resilience, 5) the availability of 6 months of paid maternity leave for all female employees globally, 6) employees were given the opportunity to use some of their working time to do things that made them happy or were important to them; 7) community events that prevent isolation and build team spirit, 8) possibility to do shortened work weeks.

With 10 global offices, suggestions for wellbeing improvements can differ, and employees can influence what is provided. According to the Employee Wellbeing Survey conducted at Valamis in 2020 and 2021, up to 88% of Valamis employees feel that the employer fully supports their wellbeing.
