When a MyProgress contract ends, users are supported through a clear and managed data-extraction process designed to ensure continuity, compliance, and flexibility. Prior to contract closure, the MyKnowledgeMap customer service team meets with the organisation to review all available extraction options and formally agree an exit plan that outlines required formats, timescales, and any specific migration needs. Customers can request a full copy of their data, and any associated costs depend on the level of processing or formatting needed for onward use in another system.
Once the contract expires, organisations may choose to retain read-only access to MyProgress on a monthly basis. This allows users to continue running reports, performing exports, or retrieving records. Each month of access is charged at one-twenty-fourth of the previous annual subscription, providing a predictable and low-overhead continuation period.
All customer data is moved into an online archive for twelve months following contract termination. During this time, organisations can still request extracts or deletion. After twelve months, data is either securely erased or transitioned into an offline archive for an agreed retention period. This approach ensures data remains accessible when needed while maintaining strong security and compliant disposal processes. - End-of-contract process

At the end of the contract, our licence pricing covers all standard activities required to support a smooth, secure, and compliant transition out of the service. This includes a review with the customer service team to agree the exit plan, advice on available extraction options, and provision of data in the standard formats offered by MyProgress. Secure archiving of data for twelve months after contract end and final deletion at the end of that period are also included.
Additional costs arise only where the customer requires services beyond the standard exit provision. These may include bespoke data extraction or preparation in specific formats, depending on the level of transformation or structuring requested. If an organisation wishes to retain read-only access to the system after the contract expires, this is charged monthly at one-twenty-fourth of the previous annual fee.
