All customers are provided with an Account Manager as their first point of contact for all queries. For technical support queries, Users are directed to our dedicated full-time help, training and technical support desk. They are available during office hours by phone, email, and video call. Issues are often resolved on the first call. They send replacement equipment and consumables, provide unlimited refresher training, technical advice and support.
If escalation is required, our support staff will pass on the query to our in-house team of developers. If necessary, issues will be escalated to our Directors.

Onboarding and offboarding

Our Support Team can provide training materials, covering all features of Whzan are provided during implementation and via the dashboard. Materials include user manuals, how-to guides, and video demonstrations. A full list of materials will be provided upon request. We provide a certificate and optionally a “Whzan Digital Health Trained” badge. Our Support Team maintain training records, including date and time of sessions, trainer name, attendees, and training type provided. Our support services process offers multiple access routes including helpline assistance, email, video conferencing (staffed by a team that adjusts to activity peaks), instruction documents, and web portal help videos. Buyers can register contact details to receive notifications and updates on significant system events. Post-market surveillance and customer feedback procedures inform our management reviews.
All training materials are available upon request and via the Whzan dashboard under “HELP”.

In the case of the end of contract, the client/buyer is offered a choice of secured data formats e.g. database, Excel, zipped CSV etc for data transfer. Once the data has been successfully transferred and we have written confirmation that it all can be read, we will delete the data from our primary database. Our second separately geolocated backup database will automatically synchronise. Our rolling 30 day x 1 hour automatic backups will then follow suit finally removing all trace of the online data after 30 days. The Whzan databases are encrypted at rest and held in Microsoft Azure.

For patients the interface via Web portal allows input of data from readings taken, questions answered or forms completed which is then uploaded to a cloud based dashboard. For Clinicians the dashboard groups patients into “caseloads” which are often condition or location specific, this shows overview information of each patient, including name, DOB, NHS number and verification status, time and value of latest readings and RAG status. By default, the caseload dashboard lists patients using the RAG status column with high priority patients at the top.

The Branding of the service can be customised to buyers.
Users with the appropriate Role Based Access Controls, such as Healthcare Practitioner, Manager, or Administrator, can customise the dashboard layout, reports, and data content.
The dashboard layout is customised by selecting the caseload type, such as healthcare (default), annual physical health check, or heart health, to customise what data is shown. The list of patients can be sorted by any column by selecting the column title.
Reports are customised by selecting the date range, patient cohort or individual patient, and observations to be included. Reports can be further customised by contacting our support desk and our in-house team of developers will provide a bespoke report.
Data content is customised by selecting a patient from a caseload and assigning them any combination of vital signs, assessments and questionnaires.

- We host on Microsoft Azure with industry leading standards for reliability and disaster recovery. We have a full backup solution including both georedundancy and offline storage. Concurrent solution dashboard usage is unlimited. The server is configured to scale automatically, allocating additional resources as required. The system has been successfully load tested to 10x the current user volume to ensure it remained stable for large numbers of patients, readings and users. Specific cases examined were individual patients with large numbers of readings and multiple concurrent users logged in at the same time.

Should a buyer/client not be able to upload data due to an availability issue the solution/device will store the data until availability is restored.

Our developers and users, that have access to client data, use two factor authentication to access the data. Access at developer level is locked to our IP address. Different accounts have different levels of authority, meaning person identifiable data is only available to those who need access to it.
