Support levels
Our customers prize our expert and friendly support both during implementation and ongoing. 95% of our customers renew every year. Our UK based customer services team answer support requests promptly and resolve problems quickly whether they relate to training or configuration. We follow a 6 stage case management process. All cases, issues, or requests for change are, in the first instance, reported to the Help Desk as the central point of contact. As first line support, the Help Desk can be contacted via our online ticketing service Monday to Friday 8:30-17:30. Requests are recorded and monitored in our case management system which ties the request to your customer account to provide a complete history. Where first line support is unable to solve the customer issue, the case is escalated to second line support. Here, our system experts will work to understand the customer issue and diagnose the problem. Once derived, the solution is communicated to the customer in our outlined SLA. If second line support cannot resolve the customer issue, the case is escalated to third line support for root cause analysis and/or data fix.

Onboarding and offboarding

Getting started
Evotix provides, as part of the implementation, 360 training using a “train the trainer” approach. The aim of the training is for G-Cloud 15's system administrator(s) and champions to become self-sufficient in maintaining and supporting the solution. We train the trainers how to use the system (e.g., end user training), while the administrators and designers are trained on how to use designer tools so they can manage the system and make configuration changes, as needed, post go-live. Evotix’s training program and training materials are based on the Evotix Standard Configuration database. Evotix has not included any allowance for customization of Evotix’s standard training or supporting materials.

Evotix provides a standard set of training courses to our customers as part of the implementation project as detailed below:

Introduction to Evotix 360 (e-learning videos)
Questionnaire Administration (Virtual Classroom Training - up to 8 attendees)
Reporting Essentials (Virtual Classroom Training - up to 8 attendees) -
Administrator Essentials (Virtual Classroom Training - up to 2 attendees) -
Administrator Advanced (Virtual Classroom Training- up to 2 attendees)

Training is provided virtually. However, if there is a need for in-person training, then travel and expenses can be scoped and quoted separately as per pricing document.

End-of-contract data extraction
Data can be exported/extracted anytime to Excel/CSV formats from the web application. Additionally, the OData Reporting API allows your organisation to consume data from the Evotix 360 data warehouse directly into your own Corporate data warehouse for consolidated reporting or any other OData compliant reporting tool (e.g. Microsoft Power BI or MS Excel).
End-of-contract process
The customer is responsible for the data that is processed, transmitted, and stored by the application. This data remains the property of the customer.

At the end of the contract, Evotix’s technical services group will work with the customer to deliver all data in an agreed format. Once this process is completed, or when Evotix receives written instructions to do so, all customer data will be irretrievably deleted.

It is possible that Evotix may be required by applicable law to retain some or all of the customer data post termination. Where this is the case, the customer will be informed of such (unless Evotix is legally prohibited from doing so).

Customer databases are erased (deleted within the SQL administration console), and the deletion is immediately replicated to the Disaster Recovery (DR) site. Backups are automatically erased by the backup management software as the retention period is reached.

On request, Evotix can confirm in writing the deletion of the customer's data.
Documentation accessibility standard

How the documentation is accessible
The Evotix Implementation team share onboarding/offboarding materials (presentations, templates (PDFs)) with customers via secure web links, with the documentation saved in a shared Sharepoint folder. Customers have access to the Evotix Knowledge Base, which features documentation to support their onboarding, such as written articles and video guidance. Video Content is available in multiple languages, and features captions to support user accessibility.

User support accessibility
WCAG 2.2 A
Description of service interface
The interface is designed to be simple, intuitive, and consistent. This includes menus, workflows, and notifications to ensure usability and ease of navigation, as well as built-in guidance.

All changes are implemented by configuration only, which allows clients to keep their configuration when upgrading to new software versions. The solution provides help options to enhance usability, including hover-over tool tips, on-form help, and embedded application help. The UI is consistent across all modules. The solution allows for dynamic visibility of fields and the ability to pin forms/reports, dashboards, and records for quick access.
Accessibility standards
WCAG 2.2 A
Accessibility testing
Evotix 360 is designed to follow best practices for web accessibility. We have undertaken an internal assessment against Web Content Accessibility Guidelines (WCAG) 2.2, and are working towards A-level compliance. We have numerous implementations across different sectors and have never been in a situation where accessibility has been an issue.
API
Yes
What users can and can't do using the API
Evotix 360 REST API allows external applications to perform create, read and Update operations against 360 records. API calls are secured using an API Key (generated in 360), where a key is associated with a single user. The security permissions/roles defined for that user account determine what operations the REST API can perform. The REST API's schema is dynamic and supports Evotix 360’s data structure. Any configuration changes to fields/relationships will be reflected in the API schema after a successful publish.

Evotix 360 supports importing data in bulk, using an external REST API as a source (payloads in JSON format). Administrators can configure the import setup in the web app import tool. Imports can be run ad-hoc or on a schedule. Evotix 360 REST API Callouts allow integrations by allowing external REST APIs to be triggered from saving a record in Evotix 360. Administrators can define conditions on forms/processes to control when the REST API gets called.

The Reporting API allows read-only access of data in the data warehouse. The Reporting API supports the OData protocol. The level of interaction with the API depends on the application being used to consume the information. Data access is secured via basic authentication.

Customisation available
Yes
Description of customisation
Evotix 360 includes a web-based Designer Toolkit, accessible to customer system administrators, that allows modules to be fully tailored through configuration with no programming language nor third party tools needed. The Toolkit is comprised of the following:

Component Manager: A graphical-based tool that allows the database structure to be changed. New tables, fields, and relationships can be easily added. In addition, lookup lists and matrices can also be changed and created.
Form and Workflow Designer: Allows forms, associated workflows, and data validation rules to be changed
List View Designer: Create and modify data list views with predefined filters
Dashboard Designer: Create or modify dashboards
Menu Designer: Alter the structure of the menu, including the ability to add new menu options for newly created modules
Security Designer: Modify existing data security or administer security roles.
Internationalisation Manager: Enables Evotix 360 to be translated into multiple languages.
Report Designer: For building reports
Web Services Consumer Setup: Allows for configuration of web services consumer events to collect data from external systems
Rules Builder: Powerful scripting language to extend the functionality offered in forms, workflows, data validation, complex formulas, calculations, emails, and report scheduling
Email Escalation Builder: Builds email escalation rules across any module

Scaling

Independence of resources
Scaling can be done both at the back end (i.e. leverage scaling technologies built into MSSQL) as well as scaling the front end. Theoretically unlimited, scaling is performed by adding load balanced application servers and separating reporting functions away from the main application server, and further separation within reporting elements. Scaling is generally employed when very high concurrency is expected, so load balancing across two production servers and separation of reporting is done to accommodate a large user base using the system at the same time.

Configuration and change management standard
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Configuration and change management approach
Change requests are subject to the Change management process with different authorisation requirements for standard, minor and major changes. There is also a process for Emergency changes.

Standard changes are logged and completed without approval. These are changes which happen regularly, which have robust processes in place and are low risk. Minor changes require formal approval from the requestor's manager, major changes require formal approval from the CAB. Emergency changes require verbal approval from the Head of Business Technology or the CTO, with details formally logged once the situation is dealt with.

Product changes are managed through the SDLC.
Vulnerability management type
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Vulnerability management approach
Evotix performs internal vulnerability scans of the production environment in real time by a local agent (Rapid7) which reports the vulnerability status of the system every six hours (based on change delta). A process is in place to risk assess any raised vulnerabilities and put plans in place to remediate them in line with Evotix's Vulnerability Management Policy.

Details of Vulnerabilities are not shared with 3rd parties.

Vulnerability management processes are verified and validated during ISO 27001 and SOC 2 assessments.
Protective monitoring type
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Protective monitoring approach
Evotix monitors threats, vulnerability, and exploitation technique information through a structured approach: Annual penetration testing is conducted using both automated and manual techniques to identify and validate vulnerabilities. This helps assess the depth and business impact of vulnerabilities and ensures findings are not false positives Evotix tracks vulnerabilities across its infrastructure via vendor-issued advisories. These updates are reviewed to assess urgency and initiate remediation or mitigation. These include threat-aware scoring models such as Rapid7’s Active Risk, integrating CVSS data with threat intelligence feeds enables prioritisation of vulnerabilities that are the highest risk.
Incident management type
Complies with a recognised standard, for example, CSA CCM v4.0 or ISO/IEC 27035:2011 or SSAE-18 / ISAE 3402
Incident management approach
Where an Incident or potential incident is identified, an Incident Response team is convened to contain the incident and complete any immediate remediation. Internal escalation happens simultaneously. Further required remediation is identified with actions planned to mitigate the potential for recurrence and the investigation is commenced. Affected customers are informed without undue delay, but within 48 hours, of Evotix becoming aware of the incident with relevant information as available at that point and ongoing updates A full investigation will be conducted and a summary report will be issued to any affected customer upon completion of the investigation.
