Onboarding and offboarding

Getting started
ACS works with many clients and uses a number of techniques to ensure that all client roles (Administrators, Managers, business users and end users) are trained to get the best out of the system. We also train users on how to report any issues/support calls. The training techniques range from documentation through to video training sessions. Typically our clients have their own Communications, Training and Social Media processes and we offer material to use in these campaigns. Our delivery process includes an onboarding stage where we work with the client to set up the system with the required data e.g. user set up so that they can access the system with the right privileges and configuration data. For the first few weeks ACS will provide additional support to allow any issue, or perceived issue, to be quickly resolved so that familiarisation to the system is bedded in quickly.

End-of-contract data extraction
ACS, as an ISO 27001 supplier fluent in GDPR responsibilities, recognises that it is the Data Processor for the client data, and that the client, as data controller, needs the data at the end of any contract to migrate to a new provider. As such we will always ensure the following • Export the clients data in a machine readable format at the end of any contract as free of charge • Transforming that data onto a format that makes it uploadable onto the new provider's system will require activities including analysis, potentially some development and testing. Whilst ACS will actively support this aim, costs will be charged according to the current rate card.
End-of-contract process
ACS advises that a client should give advance notice (>3 months) for ending contracts as digital transformation to a new system requires planning. The no-cost option is that data will be extracted in a machine readable format at the end of the contract. Digital transformation from one system to another is nontrivial. We follow industry best practice for system migrations and advise the following approach - ACS works with the client and the new provider to plan the transition with the new provider advising what data they need, what format, and what business rules - ACS will advise work and cost required to transform the data to meet these requirements, and perform the work subject to purchase order, and chargeable according to our rate card.

The system is designed with an intuitive interface that allows users to navigate easily and manage meal orders, inventory, and related tasks without requiring extensive training. Catering Managers can personalise their dashboards by adding shortcuts to frequently used modules, enabling faster, more efficient daily tasks. Built on a multi-tenant framework, the platform supports individual customers with their own unique data models, enabling deeper personalisation and customisation for each Trust and its users. Menus can be tailored to meet the specific requirements of each hospital, ensuring dietary needs and operational workflows are fully supported. The system also includes a comprehensive container labelling feature, generating customised labels for each meal and its associated dish containers, helping maintain accuracy and traceability. Dietary staff can create personalised meal plans based on allergy restrictions or other clinical needs, ensuring patient safety and compliance with nutritional guidelines. Additionally, the ACS-Life system provides detailed reporting on Goods Placed and Goods Received, offering full visibility over the procurement process—from order placement to delivery confirmation. These reports support accurate stock management, supplier performance monitoring, and financial oversight. Onboarding can also be customised for different user roles, ensuring a user-friendly experience for staff with varying technical skills.

Availability and resilience

Guaranteed availability
ACS agrees SLAs with its clients for every service it delivers. Maintenance slots (scheduled outage with a schedule of dates) will be agreed to perform activities such as patch upgrades. The Availability SLA will be subject to considering the clients core business hours. Failures to meet 100% availability will be assessed through root cause analysis. Typically we work to 99% availability during core hours.
Approach to resilience
ACS is an ISO27001 certified organisation that adopts controls to ensure the resilience of the system, and support the clients business continuity requirements. Our choice of Hosting suppliers is a key part of ensuring resilience for our clients. We use suppliers like Azure and where the supplier and our contracts guarantee infrastructure resilience. All our team are trained to the appropriate Microsoft certified levels to manage the platform, systems and databases. Our technicians also proactively monitor and manage the infrastructure and utilise any tools they offer to optimise the resilience. At the database level, our database administrators actively manage the system according to a daily checklist of activities, maintaining the health of the system as it is queried. Occasional database optimisation activities may be required to stop deterioration of performance. At the application level, we develop the system with robust exception handling, and our system administrators proactively manage the system.
Outage reporting
ACS assigns a Service Manager for each contract. In the event of a scheduled service outage e.g. for maintenance, the Service Manager or their representative will email the nominated staff in the client organisation, explaining the reason the outage slot is required, and will agree a time when it can be scheduled. These will be scheduled in slots that are of no/minimal impact to the client. For unscheduled outages the Service Manager will ensure that the ACS team prioritise recovery activities, and notify the client team by email or phone on the current status and estimated time for recovery (ETA) is shared. Communications will stay open until the recovery is completed. The Service Manager will hold regular service reviews with the client team, and will report Service Level reporting including any service outage. Impact of the outage would be recorded there.

Information security policies and processes
ACS has an information security policy, and data protection policy that is approved by the CISO. The policy is restricted to internal use only and some elements form part of our employee contracts . System changes or new client requirements are assessed against the policies. Roles and privileges are assessed against the policy. Maintenance of systems and monitoring of systems is performed according to policy. The policy is reviewed at least annually or if there are any new challenging threats . Our Quality management system defines ACS processes and standards and supports the implementation of the policy. There is a separate Data Protection policy and with every project we perform a data protection impact assessment (DPIA) to ensure that data is classified to be processed according to policy. The Executive team meet every month and follow a fixed agenda including policy review/change.

ACS develops all its products using specialist tools for change and configuration management and uses a process based on ITIL CCM standards. Where necessary we will adapt our process to those of the client and integrate our tools to theirs. For databases we are particularly on top of version controlling stored procedures. Every software components is version controlled from cradle to grave, and deployment of component versions tracked. All RFC (Request for change) are impact assessed by technical teams at CAB (Change Board) to ensure best practice and no regression of existing systems.

ACS is an ISO27001-certified organisation with strong threat-management controls. We proactively monitor certified external sources to identify emerging risks. Our ISMS follows best-practice vulnerability-management processes, including identification of threats through continuous scanning and supplier monitoring tools. When we are made aware of potential threats, ACS applies fixes and patches after assessment of risk, and will create an RFC (request for change) or emergency RFC according to risk.     • Understanding of issues relating to health and wellbeing, including physical and mental health, in the contract workforce
    • Understanding barriers to access to health and social care services or employment opportunities e.g. digital inclusion
