When a contract ends, authorised users can extract their data from GroupEd using built-in export tools available through the user interface. Data for pupils and staff can be exported in a single export process, with information provided in standard, commonly used formats such as JSON or CSV (or other agreed formats) to support reuse and migration to alternative systems. Where records include associated files or attachments, these can be exported alongside the data in a clear and structured directory format to support onward use.
Where required, GroupEd can provide assisted data export by agreement to support contract exit and transition. Data extraction is subject to role-based access controls and security policies to ensure data is only released to authorised users.
Following contract termination and confirmation of successful data extraction, GroupEd securely deletes customer data in line with agreed data retention and deletion policies and applicable data protection legislation. This approach supports data portability, avoids supplier lock-in and enables a compliant exit in line with G-Cloud principles. - End-of-contract process

Authorised users can view, create, and manage data within their permitted scope, access reports and dashboards, submit and track support requests, and use help resources. Parents can access relevant features through the application where enabled.
Users cannot access data outside their assigned role or organisation, modify system configuration or permissions without authorisation, or view restricted information unless explicitly permitted.
This ensures secure, appropriate access while supporting efficient working practices. - Accessibility testing
-
GroupEd has not undertaken formal, standalone testing sessions specifically with users of assistive technology. However, accessibility considerations have been incorporated into interface design and ongoing development, including the use of standard web technologies and patterns intended to support compatibility with common assistive tools such as screen readers, keyboard navigation, and browser accessibility features.
User feedback, including from users with accessibility needs, is reviewed as part of continuous improvement, and accessibility issues raised through support channels are prioritised appropriately. GroupEd is committed to improving accessibility and will undertake further testing and enhancements as part of ongoing service development, informed by user feedback and recognised accessibility standards. - API
- Yes
- What users can and can't do using the API
-
GroupEd provides an API to support secure integration with authorised third-party systems.
What users can do using the API:
Authorised users can retrieve and exchange data between GroupEd and external systems for reporting, analytics, and data synchronisation. Where permitted, users can submit or update data programmatically, subject to validation and role-based access controls.
Service setup through the API:
Initial service setup and core configuration are managed through the GroupEd user interface. The API is used after setup to integrate external systems and automate approved data flows.
Making changes through the API:
Users can make data-level changes through the API where authorised. All changes are validated and logged to maintain data integrity and auditability.
Limitations:
The API does not allow changes to core system configuration, security settings, or user permissions. Access is restricted to authorised users and approved integrations. API usage is subject to security controls, documentation, and agreed limits.
This approach enables integration and automation while maintaining security, control, and compliance. - API documentation

How users can customise:
Customisation is carried out through the secure, web-based user interface using built-in configuration tools, and through feature selection at purchase or renewal. No local software installation or development work is required.
Who can customise:
Feature selection is controlled by the buyer or designated administrators. System-level configuration is restricted to authorised users. Standard users can personalise their own dashboards and views within permitted limits.
This approach provides flexibility while maintaining security, consistency, and control.
Scaling
- Independence of resources
-
GroupEd is designed so that customer usage does not impact other customers. The service supports flexible resource and data isolation models, allowing deployment to be tailored to the needs of individual schools, multi-academy trusts or local authorities. This includes options for shared or fully isolated environments, depending on governance, performance and data-segregation requirements.
Capacity and resources are managed to ensure consistent performance during normal operation and peak periods. Access to data is controlled through organisation-level boundaries and role-based permissions, ensuring that each customer’s data remains secure and independent.

Availability and resilience
- Guaranteed availability
-
GroupEd is designed to provide high availability through a resilient, cloud-hosted architecture using AWS UK infrastructure. The service supports rolling deployments and infrastructure updates, allowing routine releases to be applied without planned service interruption. This reduces disruption during feature updates and maintenance activities.
Availability is supported through redundancy, automated scaling and continuous monitoring to minimise the likelihood and impact of service disruption. Planned maintenance is scheduled outside of core usage hours wherever possible, with advance notice provided to users.
GroupEd provides an availability service level agreement (SLA) as part of the service contract. Availability is measured at the service level over an agreed reporting period, excluding planned maintenance, and defined in the contract documentation. Where availability falls below the agreed SLA, service credits may be applied in accordance with the contract terms. - Approach to resilience
-
GroupEd is designed for resilience using a cloud-native architecture hosted on AWS UK data centres.
The service runs on highly available infrastructure with built-in redundancy across multiple availability zones within the UK region. This ensures that if a single component or zone becomes unavailable, traffic is automatically routed to healthy resources without manual intervention.
GroupEd uses a distributed NoSQL database that replicates data across multiple nodes, supporting high availability and rapid recovery from failures. Automated scaling and load balancing allow the service to maintain performance during peak demand or unexpected usage spikes.
Resilience is further supported through continuous monitoring, automated health checks, and regular backups. Backup and recovery processes are tested to ensure data can be restored in the event of an incident.
Physical resilience of datacentres, including power, cooling, and environmental controls, is managed by AWS and independently audited against recognised standards. Further detailed architectural and resilience information can be provided to buyers on request. - Outage reporting
-
GroupEd reports service outages and service-impacting incidents through direct communication channels.
When an outage or significant service degradation occurs, affected users are notified by email with details of the issue and progress updates as appropriate. Follow-up communication is provided once the issue is resolved.
GroupEd does not currently provide a public status dashboard or outage reporting API. Service availability is monitored internally, and incident information is communicated directly to customers to ensure relevant and timely updates.
This approach ensures users receive clear and targeted information without relying on separate monitoring tools.

- Information security policies and processes
-
GroupEd follows a set of documented information security policies and processes aligned with UK data protection legislation and recognised security standards.
Policies include information security, data protection, access control, secure development, incident management, business continuity, and acceptable use. These policies define how information is handled, protected, monitored, and disposed of across the organisation.
Information security governance is overseen by senior management, with clear accountability for security and data protection. Day-to-day responsibilities are assigned to designated roles, with escalation routes in place for incidents, risks, or non-compliance.
Policies are communicated to all staff and are mandatory. All employees receive information security and data protection training as part of onboarding, with regular refreshers and updates when policies change. Compliance is reinforced through role-based access controls, logging, monitoring, and periodic reviews of access and practices.
Security incidents and policy breaches are managed through a documented incident response process, including reporting, investigation, escalation, and remediation. Lessons learned are used to improve controls and update policies where necessary.
This approach ensures policies are consistently applied, monitored, and continuously improved. - Software Security Code of Practice
