Initial setup assistance is provided to help organisations enable the service within their existing Microsoft Azure and Microsoft 365 tenant, including identity configuration, licensing guidance, and access controls. VoicePower works with buyer IT teams to ensure prerequisites are met and integrations with supported clinical systems are correctly configured.
User guidance and documentation are provided through a combination of VoicePower onboarding materials and official Microsoft documentation available via Microsoft Learn. This includes best-practice guidance on clinical usage, security, governance, and compliance.
Formal user training, workflow optimisation, and change-management support can be provided where required as separately purchasable services (for example via G-Cloud Lot 3). If training services are not purchased, VoicePower will provide setup assistance and signposting to relevant documentation to enable users to begin using the service effectively.

Dragon Copilot does not operate as a long-term data store. The service generates draft clinical documentation and summaries that are reviewed and saved into the buyer’s own clinical systems or Microsoft 365 environment, which remain under the buyer’s control.
When the contract ends, access to Dragon Copilot is disabled. No separate data extraction is required from the service itself, as clinical content created using Dragon Copilot is already stored within the organisation’s own systems. Any transient processing data held within Microsoft Azure is managed in accordance with Microsoft’s data retention and deletion processes.
During an active subscription, buyers can access, export, or delete their data using standard Microsoft 365 and Azure tools. Upon subscription termination, Microsoft follows defined lifecycle stages before deleting customer data in line with its Online Services Terms and Data Protection Addendum. - End-of-contract process

At the end of the contract, access to Dragon Copilot is disabled in line with the subscription terms. Users and administrators will no longer be able to access the service. Any clinical documentation or outputs created using Dragon Copilot remain stored within the buyer’s own clinical systems or Microsoft 365 environment and are not removed or altered as part of service termination.
Dragon Copilot does not require a separate data handover process, as it does not act as a system of record. Any transient data processed within Microsoft Azure is managed and deleted in accordance with Microsoft’s standard data retention and deletion policies, as set out in the Online Services Terms and Data Protection Addendum.
The contract price includes access to the Dragon Copilot service, standard platform updates, and standard support during the contract term.
