Software updates are pushed out typically every two weeks with zero interruption to service. Our maintenance window for releases that require downtime is 11pm-1am. This is rarely required, and the typical downtime is usually only minutes. Customers are notified in advance.
PASS is designed to support the technologies most commonly used in the care sector. Care workers require the PASSforcare app on an Android or iOS smart phone or tablet. A PASS implementation is delivered through clearly defined, structured stages designed to support a tailored, incremental Go-Live plan. This approach ensures organisations begin realising the benefits of the system quickly and smoothly, while minimising disruption to day-to-day operations.
Implementation begins with a Project Kick-Off meeting to confirm scope, assess organisational readiness, define responsibilities, and agree target Go-Live dates. These outputs inform a detailed, published project plan that guides delivery. Where required, PASS also provides a data migration service. This starts with a dedicated scoping session to agree what data can be migrated, assess data quality, and define the most appropriate migration approach.
For each implementation, PASS designs a blended learning package that is personalised yet time-efficient. Training is delivered through feature-led modules of approximately one hour, supported by recorded online sessions, how-to videos, and webinars. These resources are shared with customers for future reference and to support onboarding of new users. One-to-one training, coaching, and mentoring are also available on request.
A collaborative approach is central to successful delivery. Providers are encouraged to nominate an implementation champion, and PASS’s online implementation portal provides visibility of milestones, tasks, deadlines, and progress, enabling both teams to work together in a controlled way. - Service documentation

EveryLIFE supports a range of customisation options to ensure PASS aligns with each organisation’s operating model and ways of working.
What can be customised: During implementation, PASS can configure bespoke PASS offices (including provider logo and name), terminology (e.g., terms for care-receivers, care-givers and tasks), user access roles (up to 10 permission levels), template care plans and agreed third-party integrations (subject to technical review and functional specification).
How users can customise: Users with the appropriate permissions can maintain and update settings such as document templates (forms, assessments and observations), alerts, reporting favourites, care groups/tags, non-contact activities, absence reasons, office messages, visit types, cancellation reasons, checklists, and KPI thresholds, including employee break/wait time and timeout thresholds.

We utilise Amazon Relational Database Service (RDS) which makes it simple to set up, operate and scale databases in the cloud. As our storage requirements grow, we can provision additional storage on-the-fly with zero downtime. Likewise compute and memory resources can also be scaled up if required.
The RDS Management Console allows us to view key operational metrics, including compute/ memory/ storage capacity utilisation, to monitor demand on the PASS service.

PASS is offered as a Software as a Service (SaaS) solution, hosted on AWS. The AWS global infrastructure has a high level of availability and provides features to deploy a resilient IT architecture.
PASS employs a Highly-Available (HA) clustered infrastructure. Additionally our PASS databases and application nodes are spread across multiple AWS servers in different isolated zones within the London region, with robust load-balancing, offering strong protection against hardware failures, power outages, etc.
We also run a separate AWS disaster recovery site datacentre, as well as a passive staging environment which is maintained like for like with our production system.
AWS datacentres are operated in alignment with the Tier III+ guidelines. Some aspects, such as the fault tolerant sequence of operations with self-correcting mitigation in place, exceed the Tier III+ guidelines. - Outage reporting

Policy Outcome 6: Employment and training: For those who face barriers to employment
- Understanding of employment and skills issues, and of the skills and employment shortages of high growth sectors relating to the contract
- Delivery of training schemes and programmes to address any identified skills gaps and under-representation in the workforce for the contract (e.g. prison leavers, care leavers, kinship carers, disabled people)
- Understanding of the issues affecting the representation of disabled people in the workforce in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
- Collection of the views and expertise of disabled people and their representative organisations on successfully supporting disabled employees or applicants
- Inclusive and accessible recruitment practices, and retention-focused activities, including those provided in the Guide for line managers on recruiting, managing and developing people with a disability or health condition
- Offering a range of quality opportunities with routes of progression if appropriate, e.g. T Level industry placements, students supported into higher level apprenticeships.
- Working conditions which promote an inclusive working environment and promote retention and progression
- Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors. Measures to tackle inequality in employment, skills and pay in the contract workforce
- Inclusive and accessible development practices, including guidance for line managers on recruiting, managing and developing people with a disability or health condition

- Inclusive and accessible recruitment practices, development practices and retention policies that support-focused activities including those provided in the Guide for line managers on recruiting, managing and developing which support people with a disability or health condition
- Actions to invest in the physical and mental health and wellbeing of the contract workforce
