Audiem provides a single tier of comprehensive support included within all subscriptions. Support covers technical assistance, user queries, and general system guidance. Users can contact our support team via email, telephone, or pre-arranged online meetings during UK business hours (Monday–Friday, 09:00–17:00 GMT, excluding public holidays).

All support requests are acknowledged within four working hours and prioritised by impact. Critical incidents are addressed immediately, with progress updates provided until resolution. Routine issues are typically resolved within one business day.

Each client account is managed by a named Client Services team member who acts as the primary contact for service onboarding, data uploads, and user adoption. Technical queries are escalated to our product engineering team where required.

Onsite support, training, or presentation sessions can be arranged at extra cost. Enhanced support arrangements, such as extended hours or dedicated technical resource, can be agreed for enterprise clients under separate contract.

Onboarding and offboarding

Getting started
All new Audiem clients receive a structured onboarding process supported by our client success team. During setup, we guide users through data preparation, upload processes, and dashboard navigation. We provide an initial online walkthrough to introduce key features, explain the Workplace Mix™ framework, and demonstrate how to filter, interpret and share insights.

Online training sessions can be arranged for different user groups, including administrators, analysts and workplace/FM teams. Comprehensive written and video user guidance is supplied to all customers, covering account setup, permissions, data management and reporting.

Audiem also provides optional onsite sessions for stakeholder presentations, data familiarisation or wider team adoption, available at extra cost.

Each organisation is assigned a named client contact for questions, configuration support and best-practice advice. Ongoing support is included in all subscriptions via email, phone or online meetings during UK business hours.

This onboarding approach ensures users quickly become confident using Audiem to explore feedback, identify themes, and create actionable workplace and FM insights.

End-of-contract data extraction
At the end of a contract, clients can extract all data held within Audiem through the platform’s export functionality or by requesting a full data export from our support team. Users with administrator permissions can download feedback datasets, processed results and summary insights in standard open formats such as CSV or Excel.

If preferred, Audiem can provide a complete, encrypted export of all customer data, including uploaded feedback and metadata, via secure file transfer (SFTP) or other mutually agreed methods.

Buyers are notified in advance of contract end dates to ensure sufficient time for data extraction. Audiem retains client data for a maximum of 30 days following contract expiry to allow safe export and confirmation of receipt. After this period, all customer data is securely deleted from our systems in accordance with GDPR and ISO 27001-aligned data retention and disposal policies.

Assistance with data extraction, transfer or validation is included within standard support, with additional consultancy available for complex or large-scale exports.
End-of-contract process
At the end of the contract, Audiem will provide the buyer with advance notice and guidance on data extraction and account closure. All client data remains fully accessible until the agreed contract end date. Buyers can export their datasets and results directly through the platform or request a full export, which is included at no additional cost.

Once confirmation of successful data extraction is received, Audiem will deactivate user accounts and securely delete all customer data from its systems in line with GDPR and ISO 27001-aligned retention and disposal procedures.

Support for data export, verification and closure is included within the contract price. If required, Audiem can provide additional consultancy services—such as assisted data migration, extended data retention beyond the 30-day standard period, or integration into alternative analytics environments—under a separate statement of work.

At renewal or re-procurement, existing configurations and user permissions can be retained to ensure continuity. The client success team will coordinate all offboarding activity to ensure a secure, transparent and well-managed transition.

Administrators can configure user permissions, roles and access levels to control who can upload data, create reports or view specific datasets. Customisation is completed directly through the browser interface without any code changes or technical setup.

Availability and resilience

Audiem is hosted on Microsoft Azure’s UK data centres, providing high service reliability and resilience. The platform is designed for 99.9% availability, excluding planned maintenance, which is scheduled outside UK business hours and notified in advance.

Service performance is monitored continuously through Azure’s infrastructure and Audiem’s own internal checks. Any incidents affecting availability are logged, investigated and resolved promptly under our ISO 27001-aligned incident management process.

Where availability falls below expected levels, Audiem works with clients to provide remediation or service extensions appropriate to the impact and contractual terms.

Audiem’s multi-tenant architecture, redundant hosting and automated recovery minimise downtime risk. Regular backups and continuous monitoring ensure stability and data integrity.
Approach to resilience
Audiem is hosted on Microsoft Azure’s UK data centres, which are designed for high availability, redundancy and disaster recovery in line with ISO 27001, ISO 22301 and NCSC cloud security principles. Each data centre is equipped with independent power, networking, and cooling systems, with automatic failover between paired UK regions to maintain service continuity.

The Audiem platform uses a multi-tenant architecture with logical separation of client data. Application services are load-balanced across multiple servers to prevent single-point failures. Azure’s managed backup and replication services protect customer data and enable recovery from hardware or infrastructure incidents.

Backups are encrypted and stored in geographically separate locations within the UK. System health is continuously monitored, and alerts are generated for abnormal conditions or performance degradation.

Audiem maintains a tested business continuity and disaster recovery plan aligned to ISO 22301 principles. In the unlikely event of major disruption, services can be restored rapidly using Azure’s automated deployment and recovery processes.

Detailed infrastructure and recovery documentation is available to buyers on request under appropriate confidentiality terms.
Outage reporting
Audiem continuously monitors service performance and availability using both internal system checks and Microsoft Azure monitoring tools. Any detected incident or outage is logged immediately and reviewed by the technical team.

If an issue affects service availability or performance, Audiem notifies all affected clients by email, outlining the nature of the incident, expected impact, and estimated resolution timeframe. Updates are provided at appropriate intervals until service is restored.

Planned maintenance is communicated in advance to all registered client contacts, typically outside of UK business hours to minimise disruption.

At present, Audiem does not provide a public status dashboard or outage API, but service performance information can be shared with buyers on request through regular reporting or review sessions.

Post-incident summaries are available to clients detailing root cause, resolution, and any corrective actions taken. These are used to improve resilience and inform the continuous improvement process.
