Planning

Planning service
Yes
How the planning service works
As agents of change, we work closely with our clients to understand what key challenges/changes are effecting their organisations and the current hosting or software services being used, where appropriate. Through a partnership led approach we work with our clients to develop a focussed SLA/SOW. This provides a detailed description of services, enabling us to agree which elements of the project will be in scope & out of scope, under the different phases/project tasks with clear agreed key milestones & deliverables over an agreed time period, using Gantt charts in conjunction with RAID charts to monitor project risks. Through this agreement Seymour John Public Services will then provide the appropriate specialist IT & Digital resources to ensure successful delivery of the programme. Our specialists may include, but are not limited to, IT Developers, IT Software Engineers, IT Architects, Project & Programme Managers, Business Case and IT & Digital Strategy development, Business Intelligence, Data Analysts, and IT & Digital Human Resource, Finance System and Procurement subject matter experts.

How the setup or migration service works
Seymour John Public Services works in partnership with our clients to identify suitable technology specialist consultants to ensure the smooth transition and migration to the cloud or between cloud services. Through a SLA/SOW we will identify key objective and deliverables required to ensure the identification of the right specialist resources over a specific term for each phase of the project task(s). This requires detailed specialist knowledge, advice and consultancy support through our dedicated technology consultants in order to identify key resources required from Design & System Architects who will lead the project. We would then look to involve Infrastructure Architects with dedicated Project Managers and Analysts to ensure successful delivery of the programme takes place.

How the quality assurance and performance testing works
Seymour John Public Services has contract managers who will monitor KPI's through a project management tool. Fighting climate change

The social value we've offered includes reducing our environmental impact with a commitment to achieving net-zero by 2050 and, as part of this commitment, as an interim target of reducing emissions by 50% by 2030.
Delivery is assured as, firstly, we have communicated our net-zero ambitions across our workforce and have tasked staff with identifying where they can affect carbon reductions through behaviour change.

Examples include:
1/ Encouraging the turning-off or powering-down of appliances and lights when not in use.
2/ Eliminating unnecessary heating in unoccupied areas.
3/ Education programme relating to the importance of saving water as a carbon mitigation measure.
4/ Permitting homeworking and encouraging video-conferencing.
5/ Encouraging alternative travel to work, and client visits, e.g. walk, cycle, car-share, public transport.

Secondly, we measure and report on the sources of environmental impact over which we have operational control, calculate our carbon footprint monthly following the Greenhouse Gas (GHG) Protocols Corporate Standard, and report against the Kyoto Protocol greenhouse gasses in terms of:

1/ Actual targets – absolute reduction targets which compare actual figures in the target year to those in the base year.
2/ Intensity targets – based on a normalising factor.

We subscribe to a proprietary online carbon calculator service to manage our data inputs, conduct the required calculations, set and record our intensity metrics, and provide monthly carbon reporting. The data that sits behind this is the UK Government Greenhouse Gas reporting database.
Providing our emissions by source and total emissions by month sets our intensity metrics and track performance month-on-month.

Tackling economic inequality

To tackle inequalities we are members of the Future-Focused Finance community, we aided & are signed up to the diversity & inclusion (D&I) Commitment Charter, informing D&I employment best practices in the NHS. D&I policies ensure our process takes our employees on a fair & open recruitment journey to ensure D&I underpin the delivery of our consultancy services & we use local data to challenge tired prejudices & champion diversity of backgrounds & opinions to achieve overarching government priorities. Responsibility for our inclusion approach lays with a Diversity Advocate at the Board level, who provides mandatory quarterly training in D&I & unconscious bias. Our approach with our customers will be to understand diversity objectives, KPI/SLA & culture & provide implementation plans of deliverables & how the approach will identify suitable Seymour John staff using data analysis from similar projects to recognise patterns. Our staffing identification is transparent, & accessible. Using unbiased, non-gendered language in job adverts & person specifications & confirming job descriptions which focus on consultant requirements. Furthermore, we make reasonable adjustments and to provide auxiliary aids and services. Our diversity policy is also available.

Equal opportunity

At Seymour John, we believe that diversity has positive benefits in every aspect of our business activity. As such, we will seek to widen the media in which we recruit to ensure as diverse an employee and candidate base as possible. We will also encourage our clients to meet their own diversity targets.
We will promote diversity for all employees, workers and applicants and shall adhere to such a policy at all times. We will review, on an on-going basis, all aspects of recruitment to avoid unlawful or undesirable discrimination, treating everyone equally irrespective of sex, sexual orientation, gender reassignment, marital or civil partnership status, age, disability, colour, race, nationality, ethnic or national origin, religion or belief, political beliefs or membership or non-membership of a Trade Union or spent convictions. We place an obligation upon all staff to respect and act in accordance with this policy and are committed to providing training to this end. Seymour John shall avoid stipulating any unnecessary requirements that would exclude a higher proportion of a particular gender, sexual orientation, age, religion or racial group or which would exclude disabled job applicants; and will avoid prescribing any requirements as to marital or civil partnership status.

Wellbeing

Wellbeing is a core part of our values and culture and key metrics are reviewed and analysed at every staff/board meeting, this helps support the overall retention of our employees and contract workforce. We are committed to supporting and improving the wellbeing of staff throughout the delivery of this contract. We assess the health of our staff regularly through mental health and wellbeing surveys and provide information on health and wellbeing in addition links directly to Mental Health Charities. We have a mental health and well-being policy that is written and implemented by our staff and we promote a culture where is acceptable to talk about and seek support for poor mental health.
