Availability and resilience
- Guaranteed availability
-
Microsoft 365 availability is governed by the Microsoft 365 service level agreements, not by the supplier.
Microsoft provides a financially backed uptime SLA, typically 99.9% monthly availability, depending on the specific Microsoft 365 service (for example Exchange Online, SharePoint Online, Teams). Availability is measured by Microsoft using its published definitions and monitoring systems.
If Microsoft does not meet the applicable SLA, customers may be eligible for service credits in accordance with Microsoft’s published SLA terms. Service credits are applied by Microsoft and calculated as a percentage of the affected subscription charges.
The supplier does not provide an additional availability guarantee beyond the Microsoft SLA and does not issue refunds independently of Microsoft’s service credit process. - Approach to resilience
-
Microsoft 365 is delivered from globally distributed, highly available datacentres designed with redundancy across compute, storage, and networking layers. Services are architected to tolerate component and site failures through automated failover, data replication, and continuous monitoring.
Microsoft operates multiple datacentres per region and uses resilient service architectures to minimise the impact of hardware, network, or software failures. Capacity planning, routine testing, and incident response processes are in place to maintain service continuity.
The supplier does not operate datacentres or control platform resilience. Further technical detail on Microsoft’s datacentre resilience and architecture is available from Microsoft on request. - Outage reporting
-
Crosoft provides a public service health dashboard through the Microsoft 365 Admin Center, showing current status, incidents, and planned maintenance.
Service health information is also available via Microsoft APIs, enabling programmatic access to incident and advisory data.
Email notifications are issued by Microsoft to tenant administrators for relevant incidents and service advisories. The supplier does not operate a separate outage reporting system for this licence-only service.
Identity and authentication
- User authentication needed
- Yes
- User authentication
-
- Multi-Factor Authentication (MFA)
- Identity federation with existing provider (for example Google Apps)
- Username or password
- Access restrictions in management interfaces and support channels
-
Access to management interfaces and support channels is restricted using role-based access controls and authenticated user accounts.
Management access to Microsoft 365 admin portals is controlled by customer-defined roles and permissions within Microsoft Entra ID. Privileged access is limited to authorised administrators and can be protected using multi-factor authentication and conditional access policies.
Access to supplier support channels is restricted to named customer contacts. Support requests are submitted through authenticated email or the service desk. Permissions are reviewed periodically to ensure only authorised users can raise, view, or manage support tickets. - Access restriction testing frequency

Adherence is monitored via audits, risk assessments, and management reporting. Non-compliance and security incidents are escalated through defined governance and reporting channels, with corrective actions tracked to closure. - Software Security Code of Practice

- Supplier-defined controls
- Protective monitoring approach
-
The organisation operates protective monitoring aligned to ISO/IEC 27001 and Cyber Essentials Plus.
Potential compromises are identified through endpoint protection, log review, access monitoring, and alerting from security tooling. Alerts are reviewed by authorised personnel and assessed against defined incident criteria.
When a potential compromise is identified, the incident response process is triggered. Actions include containment, investigation, escalation, and coordination with affected third parties where relevant, including Microsoft if the issue relates to the platform.
Response times are risk-based. Critical security incidents are investigated immediately during business hours, with out-of-hours escalation procedures in place where required. - Incident management type
