Onboarding and offboarding

Getting started
We help users start using PPP through a structured onboarding and enablement approach aligned to Microsoft Power Platform best practice.

During implementation, users receive guided setup support covering environment preparation, installation, configuration and initial data setup. Knowledge transfer sessions are provided for administrators and key users to explain core concepts, security, configuration and day to day usage.

Training can be delivered remotely or onsite where required, including role based sessions for project managers, team members and administrators. This may include workshops, demonstrations and hands on exercises using the customer environment.

Comprehensive online user documentation is provided, covering installation, configuration, features and common scenarios. Contextual help links are available within the application, directing users to relevant guidance. Ongoing support can be provided through agreed support arrangements, helping users adopt the service effectively and confidently.

End-of-contract data extraction
When a contract ends, users can extract their data directly from their own Microsoft Dataverse environment, as PPP does not host or own customer data. All project, schedule, resource, timesheet and reporting data remains within the customer tenant.

Data can be extracted using standard Microsoft tools and services. This includes exporting data through Dataverse views to Excel, using the Dataverse Web API for bulk or automated extraction, and accessing reporting data through Power BI. Administrators can also use Power Platform data export services or backup and restore features provided by Microsoft.

Offboarding documentation provides guidance on identifying relevant PPP tables and relationships to ensure a complete data extract. Users remain in control of retention, deletion and archival policies within their environment.

PPP does not restrict data access at contract end. Once licences or support agreements expire, the solution remains installed until the customer chooses to remove it, and data extraction can be completed at any time, subject to Microsoft licensing and tenant access.
End-of-contract process
At the end of the contract, the customer retains full ownership of all data held in their Microsoft Dataverse environment. When the contract ends, the PPP application will stop working as licences and entitlement expire, meaning users can no longer use PPP features or automation. No customer data is deleted or removed and the environment remains under the customer’s control.

The contract price includes access to the PPP software for the agreed term and standard break fix support. Break fix support covers defects or issues with the PPP solution itself. The contract does not include premium support, advisory services, or support to discuss usage, configuration changes, enhancements, or solution design.

Additional costs apply for post contract access to any support services. This includes assistance with data extraction, preparation for migration, handover to a new service or software provider, knowledge transfer, environment clean up, or removal of the PPP solution. Any ongoing Microsoft licensing, tenant access, and platform costs remain the responsibility of the customer throughout and after the contract period.

The PPP service interface is delivered through Microsoft Power Platform using model driven apps on Dataverse. It provides a consistent, role based user experience aligned with Microsoft standards. Users access projects, schedules, resources, timesheets and reports through intuitive forms, views and dashboards. The interface integrates seamlessly with Microsoft 365, Power BI and Teams where enabled. Configuration and administration are managed within the same environment, ensuring a single, secure and familiar interface for both end users and administrators.

What users can and can't do using the API
PPP exposes functionality through the Microsoft Dataverse Web API and Power Platform services rather than a standalone proprietary API. Users can set up the service through the API by creating and configuring core records such as projects, schedules, tasks, resources and assignments, once the PPP solution is installed and licensed in a Dataverse environment. Authentication is handled using Azure Active Directory with service principals or application users.

Users can make changes through the API including creating, reading, updating and deleting supported PPP entities, updating project data, importing schedules, managing resources and triggering automation via Power Automate. Reporting data can also be accessed for integration with external systems.

Limitations apply. The API cannot install PPP, configure licences, enable features or run post installation processes. Some complex operations, validations and calculations are enforced by the application and flows and cannot be bypassed through the API. Access is restricted by Dataverse security roles, licensing and environment settings, and unsupported custom changes may affect support.

Description of customisation
Users can customise PPP within the Microsoft Power Platform and Dataverse framework to align with organisational processes and governance.

What can be customised includes forms, views, dashboards, business rules, workflows, Power Automate flows, security roles, team structures, field labels, option sets and reporting using Power BI. Users can also enable or disable optional PPP features and add supported addons such as Timesheets, Snapshot and Teams integration.

Customisation is carried out using standard Power Platform tools including model driven app designers, solution management, Power Automate and Power BI. Configuration is performed directly in the customer Dataverse environment without modifying core platform infrastructure.

Customisation is typically performed by system administrators, Power Platform administrators or authorised partners with appropriate permissions and licences. End users can personalise views and dashboards within the limits of their security role.

Limitations apply. Core PPP managed solutions cannot be altered directly and unsupported custom code or changes outside Microsoft best practice may impact support. Advanced development requires appropriate skills and is outside the standard PPP service scope.

PPP is delivered within each customer’s own Microsoft 365 tenant and Dataverse environment. Resources are isolated per tenant, ensuring one customer’s usage, data volume or automation does not impact another. Microsoft Power Platform manages compute, storage and API capacity at tenant and environment level, enforcing throttling and service limits to protect fair usage. Platform scale, performance and resilience are handled by Microsoft across its multi tenant cloud. Availability and resilience

Guaranteed availability
PPP availability is dependent on Microsoft cloud services, as it runs entirely on Microsoft 365, Power Platform and Dataverse. Availability is therefore governed by Microsoft service level agreements rather than a separate PPP infrastructure SLA.

Microsoft provides a financially backed availability SLA for Power Platform and Dataverse, typically 99.9 percent uptime per month for production environments. Availability covers access to the service and core platform functionality, excluding planned maintenance, preview features and customer configuration issues. Service health, outages and maintenance notifications are published through the Microsoft 365 Service Health Dashboard.

If Microsoft does not meet its published availability commitments, customers may be eligible for service credits in line with Microsoft SLA terms. Any refund or credit is provided by Microsoft, not PPP, and must be claimed directly through Microsoft support in accordance with their process.

PPP does not provide additional availability guarantees beyond those offered by Microsoft. There is no separate refund mechanism for PPP if platform availability targets are not met. Customers benefit from Microsoft global scale, redundancy and resilience, which are designed to minimise downtime and isolate tenant impact within the multi tenant cloud platform.
Approach to resilience
PPP resilience is provided through Microsoft cloud architecture, as the service runs entirely on Microsoft 365, Power Platform and Dataverse. Microsoft designs these services for high resilience using globally distributed, multi region datacentres with built in redundancy for compute, storage and networking.

Dataverse environments are hosted within Microsoft datacentres that use fault tolerant hardware, automated failover and continuous monitoring. Data is replicated within the region to protect against component failure, and Microsoft manages patching and maintenance to minimise service disruption. Platform services are designed to scale automatically and absorb demand without impacting other tenants.

Microsoft operates a defence in depth approach covering physical datacentre security, network resilience and service level isolation between tenants. Service health, incidents and recovery actions are managed by Microsoft operations teams and communicated through the Microsoft 365 Service Health Dashboard.

PPP does not introduce separate infrastructure or single points of failure. Resilience details, including regional architecture and recovery capabilities, are documented by Microsoft and can be made available on request via official Microsoft service documentation and the Service Trust Portal.
Outage reporting
Microsoft supports outage reporting for services used by PPP through standard Microsoft 365 and Power Platform mechanisms.

A public service health dashboard is available via the Microsoft 365 Service Health and Power Platform Admin Centre. This provides near real time visibility of incidents, advisories, planned maintenance and service restorations across Power Platform and Dataverse. Administrators can view current status and historical incident details for their tenant and region.

Microsoft also provides notification based reporting. Tenant administrators can subscribe to email alerts for incidents and planned maintenance, ensuring timely awareness of service disruptions that may affect PPP. Notifications include impact descriptions, mitigation steps and estimated recovery times.

For automated monitoring, Microsoft exposes service health information through Microsoft Graph and service communications APIs. These APIs allow organisations to integrate outage and health data into their own monitoring, alerting or IT service management tools.

PPP relies on these Microsoft provided mechanisms and does not operate a separate outage reporting system. Customers benefit from Microsoft centralised monitoring, global operations teams and transparent communication processes for service availability and incidents.

    • Payment of more than the National Minimum Wage or National Living Wage (as appropriate) to the contract workforce
    • Entitlement to sick pay for the contract workforce, with provision in place for any staff who do not meet the earnings threshold for statutory sick pay, payment of sick pay from day one of absence and payment of staff on the contract workforce who are off sick a replacement income of 100% of their usual earnings for as long as possible
    • Understanding of in-work progression issues affecting the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
    • Measures to support in-work progression to help people in the contract workforce, to move into higher paid work by developing new skills relevant to the contract
    • Support for the contract workforce by providing career advice, and providing opportunities for staff working on the contract with in-work progression career development into known skills shortages or high growth areas
    • Support for educational attainment relevant to the contract, including training schemes that address skills gaps and result in recognised qualifications
    • Understanding of the modern slavery risks and issues affecting the market, industry, sector or country (of origin or of source) relevant to the contract, and the workforce in the supplier’s own organisation and those of its key subcontractors
    • Measures to identify, mitigate and manage modern slavery risks relating to the contract and how these will be implemented
    • Outline policies and practices to be applied to or put in place for the contract to mitigate and manage modern slavery risks, including: Pre-employment checks, recruitment practices. Workplace conditions, safeguarding plans and processes in place and regular monitoring with relevant groups considered, which may include sampling

    • Support for educational attainment relevant to the contract, including training schemes that address skills gaps and result in recognised qualifications
    • Activities to support relevant sector related skills growth and sustainability in the contract workforce. Illustrative examples: careers talks, curriculum support, literacy support, safety talks and volunteering
    • Delivery of apprenticeships, supported internships and T Level industry placement opportunities (Level 2, 3 and 4+) in relation to the contract

    Policy Outcome 3: Resilient, innovative and flexible supply chains: Support economic growth through enabling resilient businesses, opportunities for small businesses and voluntary, community and social enterprises

    • Understanding of the types of businesses in the market and the level of participation by new businesses, entrepreneurs, start-ups, SMEs, VCSEs and mutuals
    • Understanding of local demographics, needs and opportunities for the co-design of the goods, services and works to be delivered under the contract

    Policy Outcome 6: Employment and training: For those who face barriers to employment

    • Understanding of employment and skills issues, and of the skills and employment shortages of high growth sectors relating to the contract
    • Creation of employment opportunities particularly for those who face barriers to employment, such as prison leavers, care leavers and/or who are located in deprived areas, and for people in industries with known skills shortages or in high growth sectors
    • Delivery of training schemes and programmes to address any identified skills gaps and under-representation in the workforce for the contract (e.g. prison leavers, care leavers, kinship carers, disabled people)
    • Understanding of the issues affecting the representation of disabled people in the workforce in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
    • Inclusive and accessible recruitment practices, and retention-focused activities, including those provided in the Guide for line managers on recruiting, managing and developing people with a disability or health condition
    • Introducing transparency to pay and reward processes
    • Offering a range of quality opportunities with routes of progression if appropriate, e.g. T Level industry placements, students supported into higher level apprenticeships.
    • Working conditions which promote an inclusive working environment and promote retention and progression
    • Understanding of the issues affecting inequality in employment, skills and pay in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors. Measures to tackle inequality in employment, skills and pay in the contract workforce
    • Inclusive and accessible development practices, including guidance for line managers on recruiting, managing and developing people with a disability or health condition

    • Inclusive and accessible recruitment practices, development practices and retention policies that support-focused activities including those provided in the Guide for line managers on recruiting, managing and developing which support people with a disability or health condition
