Onboarding and offboarding
- Getting started
-
Orbis provides a fully supported, structured onboarding process to ensure every customer confidently adopts our lone worker solutions. Onboarding begins with a dedicated implementation meeting, where timelines, user data requirements and training needs are defined and agreed.
Training is delivered flexibly to suit different organisations and user groups, including on‑site, face‑to‑face training, virtual Microsoft Teams sessions, and self‑paced eLearning modules. Comprehensive training guides, videos, user documentation and refresher sessions are also provided to reinforce learning and maintain ongoing compliance.
All users receive clear instruction on device/app usage, escalation processes, and portal functionality, supported by extensive eLearning materials and live chat through the Red Alert Sentry Portal.
We deliver fully managed implementation, including initial user‑data upload, supported by our 24/7 Customer Service team. Every customer is assigned a dedicated Account Manager for ongoing support, service reviews, utilisation guidance, and technical assistance. Additional support includes marketing materials, device/app utilisation support, and continuous training availability.
This multi‑layered onboarding approach ensures every organisation receives tailored, comprehensive training and long‑term support, enabling a smooth and confident rollout from day one. - Service documentation

- End-of-contract data extraction
-
When a lone worker contract ends, Orbis ensures customers can export or recover all their data securely and in line with data‑protection obligations. Orbis will delete or return all Personal Data upon termination or at the Customer’s request, except where retention is required by law.
This means customers may request a full export of their user data, escalation details, and any other information stored within the service before deletion. Orbis also commits to reasonably assisting our customers with data‑related obligations, which includes supporting data extraction activities.
Additionally, the Lone Worker contract clarifies that data must be returned or destroyed in accordance with contractual requirements once processing is complete, ensuring a compliant and transparent end‑of‑contract process.
Customers can also access and export elements of their data directly through the Sentry Management Portal prior to termination, enabling self‑service extraction where appropriate.
Together, these measures ensure a smooth, compliant transition with full customer control over their data. - End-of-contract process
- All data, both positional and voice recording is removed from our systems 30 days after contract end if the cancellation process is followed. Possible monthly rolling contract if no formal cancellation is received.

Scaling
- Independence of resources
- We ensure users are not affected by demand from other customers through robust capacity management and proactive planning. Our platform operates on a shared architecture, but each customer environment is logically separated to prevent any cross impact. We continuously monitor system performance, forecast future demand, and scale resources in advance, whether that’s storage, or network capacity. This approach ensures that even during periods of peak usage, each customer’s service performance remains stable, consistent, and fully protected from the activity of others.
