Onboarding and offboarding

Wyser ASSIST helps users start quickly through a structured, supported onboarding process designed to minimise disruption.
Onboarding begins with an online questionnaire to capture organisational details, trial users and technical requirements. Once completed, users are issued a Data Processing Agreement for signature. Trial dates and participants are then confirmed.
Before the trial starts, Wyser works with the organisation to define a customised summary style aligned to their case note structure and compliance needs. An initial version is configured and refined during the trial through short feedback cycles.
Training is delivered remotely via a Microsoft Teams session for the trial team. This covers recording and uploading calls, applying summary templates and using browser, desktop and mobile recording tools. Written instructions and download links are provided after the session.
During the two-week trial, users record real calls and meetings, review outputs and request refinements. Wyser adjusts configuration to reflect real usage patterns.
At trial completion, subscription volumes are confirmed and integrations with telephony and case management systems are completed using secure APIs. Ongoing documentation and support remain available throughout. - Service documentation

Wyser ASSIST provides clear, controlled data extraction at contract end.
Before service termination, authorised administrators can request a data export covering transcripts, summaries and associated metadata generated during the contract. Exports are provided in standard, non-proprietary formats such as JSON or text to support reuse and migration into other systems.
Data is delivered securely via encrypted download or secure file transfer. Where ASSIST is integrated with a case management system or CRM, buyers may already hold copies of outputs within their own systems, reducing dependency on exports.
Audio recordings are retained only in line with the buyer’s configured retention policy. Audio recordings are retained within Wysers eco-system for 48 hours before deletion. Within ASSIST Go and Desktop Recorder this is under the control of the user.
Following confirmation of successful data extraction, Wyser securely deletes remaining service data in line with UK GDPR, contractual obligations and documented deletion timeframes. Written confirmation of deletion is provided on request. - End-of-contract process

At the end of the contract, Wyser ASSIST supports an orderly and secure service exit.
Before contract expiry, Wyser works with the buyer to confirm data extraction requirements. Transcripts, summaries and metadata can be exported in standard formats and delivered securely. Where outputs have already been integrated into the buyer’s case management or CRM systems, no additional action may be required. Remaining service data is then securely deleted in line with agreed retention settings and UK GDPR obligations.
Service access is disabled on the agreed end date following confirmation that data extraction is complete. Written confirmation of data deletion can be provided on request.
Included in the contract price
The contract price includes access to the ASSIST platform, transcription and summarisation processing within agreed usage limits, standard support, onboarding, configuration of summary templates and routine service updates.
Additional costs

ASSIST provides a secure REST API allowing organisations to integrate transcription/summarisation directly into existing systems.
What users can do through the API
Users can set up automated ingestion of audio recordings from telephony platforms, Microsoft Teams or file storage. The API allows submission of audio files, retrieval of transcripts and summaries and delivery of outputs in structured formats e.g. JSON, text. Organisations can configure summary templates, retention settings and delivery destinations during onboarding with Wyser support.
Making changes through the API
Users can update integration endpoints, manage authentication tokens, trigger reprocessing of audio and retrieve processing status updates. Outputs can be routed to case management systems, CRMs or secure storage automatically. Webhooks can be configured to notify downstream systems when processing is complete.
What users cannot do through the API
User account creation, role assignment and access permissions are managed through the service interface, not the API. Security policies, encryption settings and core AI models cannot be altered via API to protect platform integrity. Summary model behaviour is configurable within agreed templates but not fully customisable at runtime.

Availability and resilience

Wyser ASSIST provides a 99.9% availability service level agreement, measured monthly and covering core platform access, processing services and APIs. The service is built on a containerised architecture hosted across resilient UK and EEA cloud infrastructure, designed to support high availability and automatic scaling.
Availability excludes planned maintenance and events outside Wyser’s reasonable control. Planned maintenance is scheduled outside UK business hours wherever possible and notified in advance.
If availability falls below the guaranteed level in a given month, buyers are entitled to service credits. Credits are calculated as a proportion of the monthly subscription fee and applied against the next invoice. The level of credit increases in line with the severity and duration of the outage. Full details, thresholds and credit values are set out in the contract schedule.
Wyser continuously monitors platform performance and availability. Incidents are prioritised and addressed under defined support processes, with clear communication during service disruptions.
No refunds are provided for downtime caused by buyer-managed integrations, third-party telephony failures or network connectivity issues outside the Wyser platform. - Approach to resilience

Wyser ASSIST is designed for resilience at platform, service and infrastructure levels.
The service uses a containerised microservices architecture deployed across resilient cloud infrastructure in the United Kingdom and European Economic Area. Workloads are distributed across multiple availability zones, reducing the risk of single points of failure. Services automatically restart and scale in response to load or component failure.
Data is stored in encrypted, replicated storage, protecting against hardware failure and ensuring durability. Temporary processing components are stateless, allowing rapid recovery without data loss. Continuous monitoring tracks system health, latency and error rates, triggering automated alerts and recovery actions.
The underlying datacentres are operated by hyperscale cloud providers and are designed for high availability. They include redundant power, cooling and network connectivity, with physical security and environmental controls audited against recognised international standards.
Backups and configuration management support service recovery and controlled restoration where required. Planned maintenance is carried out with minimal user impact and scheduled outside UK business hours wherever possible.
