Onboarding and offboarding

Getting started
We provide a white glove service to assist the Customer's Engineers to install the Neologik Platform into their Azure environment, and the Teams App for the Users. We also provide training on the Neologik Context Engine, which is an administration interface to allow the Customer to control aspects of the solution, such as Documentation Governance. Please see the Cloud Support Services information for additional Services provided.

End-of-contract data extraction
At the end of the contract the licenses expire, the Customer will stop using the service. All data is held in their environment.
End-of-contract process
At the end of the contract, the Customer will be given the opportunity to renew. Should they decide not to do this, then they will stop using the platform at the end of the license period.

Availability and resilience

Neologik aims to provide 99.5% service availability for all production systems and platforms, excluding scheduled maintenance windows. Planned maintenance will be communicated in advance wherever reasonably possible.
Approach to resilience
High availability is achieved by designing systems to minimise downtime and ensure continuity of service even during component failures. By leveraging Azure Kubernetes Service (AKS), workloads can be distributed across multiple nodes and availability zones, with built-in health monitoring, automated restarts, and self-healing capabilities. This architecture enables applications to remain resilient, scalable, and fault-tolerant, ensuring consistent service delivery and meeting enterprise-grade availability expectations.

Neologik restricts access to management interfaces and support channels through a combination of technical controls, role-based permissions, and operational procedures. Access is granted strictly on a least-privilege basis and limited to authorised personnel with a defined business need. Management interfaces are protected using strong authentication mechanisms, including multi-factor authentication, and are accessible only from approved devices or networks where applicable.

Role-based access control is used to separate administrative, operational, and support functions, reducing the risk of unauthorised or excessive access. Access rights are reviewed regularly and promptly revoked when no longer required.

Neologik follows a structured set of information security policies and operational processes aligned with recognised industry best practice, including ISO/IEC 27001 principles and Microsoft security frameworks.

Our information security approach includes a formal information security policy defining governance, accountability, and risk management for information assets. Access control and identity management are enforced through role-based access, least-privilege principles, multi-factor authentication, and regular access reviews. Data protection and privacy controls ensure GDPR-aligned processing, secure data handling, encryption in transit and at rest, and data minimisation.

We maintain documented incident management and breach response procedures covering detection, escalation, containment, notification, and post-incident review. Risk assessment and threat management are performed regularly to identify and mitigate technical, operational, and supplier risks. Secure development and change management processes ensure solutions are designed securely, reviewed, and deployed in controlled environments.

Neologik also applies supplier and third-party security assessments, business continuity and resilience planning, and ongoing security awareness training for staff and contractors. Where required, we provide supporting documentation and operate within client-certified or cloud-certified environments to meet contractual and regulatory obligations.

Incident management approach
