Onboarding and offboarding

Getting started
Engeneum provides a fully managed onboarding service. Our consultants lead the process, working directly with client stakeholders to map existing document based processes, configure workflows, build document skills and securely process data through the ABBYY Vantage platform. This includes scoping, pilot testing, and final data verification before go-live.

End-of-contract data extraction
At contract end, users can export out auditing information from Vantage. Documents which are processed through the system are transient in nature as they always end up in a target platform such as Engeneum Online. Documents are kept within Vantage for a customer defined amount of time (typically 30 or 60 days) before being purged. At contract end the whole customer instance is removed and data is purged.
End-of-contract process
Removal of the client instance is included in the contract. Audit data can be manually downloaded by the client before the end of the contract.

Availability and resilience

Guaranteed availability
ABBYY Vantage provides a Service Level Agreement (SLA) guaranteeing 99.5% Annual Uptime for the cloud platform.
If availability drops below this threshold, customers are eligible for Service Credits calculated as a percentage of the annual page volume or subscription term.
99.5% Target: The platform is architected for high availability on Microsoft Azure (Western Europe).
If the service uptime falls below 99.5% in a subscription year, ABBYY provides credits (additional page volume) calculated based on the duration of the downtime.
Exclusions: Standard maintenance windows (scheduled in advance) and force majeure events.
Support Availability: While the platform runs 24/7, our standard technical support operates Monday–Friday, 9am–5pm (UK time)
Approach to resilience
The ABBYY Vantage service is architected for high availability and resilience using a cloud-native microservices design hosted on Microsoft Azure.
Infrastructure Redundancy: The platform utilizes Azure Availability Zones to protect against data centre failures. Data is replicated across multiple fault domains using Zone-Redundant Storage (ZRS) or Geo-Redundant Storage (GRS) to ensure durability.

Self-Healing Architecture: The application is orchestrated via Kubernetes (K8s). This ensures that if individual service components (e.g., an OCR pod) fail, they are automatically detected and restarted without service interruption.

Elastic Scalability: The system automatically scales compute resources horizontally to handle spikes in document volume, preventing performance degradation during peak loads.

Configuration and change management standard
Supplier-defined controls
Configuration and change management approach
Platform (ABBYY): Vantage operates on a continuous delivery model. Updates and security patches are applied automatically during scheduled maintenance windows, notified in advance via the Status Page. Core updates are backward-compatible, ensuring existing integrations remain stable.

Configuration (Our Service):

Versioning: We utilise Vantage’s native version control to lock production Skills (e.g., v1.0). Updates are built on new versions (v1.1) without disrupting live services.

Lifecycle: We enforce a strict Dev-Test-Prod strategy. New models are built in Dev, validated via UAT in Test, and only deployed to Production after approval.
Vulnerability management type
Supplier-defined controls
Vulnerability management approach
Identification: Continuous automated scanning of code/infrastructure, plus annual independent CREST-approved penetration testing.
Vulnerabilities are scored using CVSS v3.1 to prioritise remediation efforts based on severity.
Critical/High issues are fast-tracked for immediate patching (typically <14 days); lower severity items follow standard release cycles.
Disclosure: A Responsible Disclosure Policy allows safe reporting, with confirmed issues communicated transparently via Release Notes.
Protective monitoring type
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Protective monitoring approach
Platform Monitoring (ABBYY): 24/7 monitoring of Azure infrastructure using internal SIEM to track anomalies, unsuccessful logins, and privileged access. Critical alerts trigger automated response workflows within ABBYY’s SOC.
Tenant Auditing (Customer): An immutable Audit Log captures all user interactions (Login, Upload, Validation, Export) with precise User ID, IP, and UTC timestamps.
Integration: Logs are accessible via API, enabling customers to ingest security data into their own enterprise SIEM (e.g., Microsoft Sentinel) for centralised protective monitoring.
Incident management type
Complies with a recognised standard, for example, CSA CCM v4.0 or ISO/IEC 27035:2011 or SSAE-18 / ISAE 3402
Incident management approach
Engeneum’s trained staff resolve faults efficiently within agreed times. Requests are logged and issued a ticket number; out-of-hours requests are acknowledged by 10:00am the next working day. Calls are categorized based on the issue (for non priority 1 calls):

Initial response: 1 working hour
Begin work: 4 working hours
Internal Escalation: after 4 working hours
Upon closure, the cause and fix are reported to the customer
