Fighting climate change

As a small business ComX strives to play its part in protecting our environment and fighting climate change. We have an environmental policy to help influence our employees, clients, and suppliers to focus on reducing greenhouse gases, water use and packaging. We also have a Carbon Reduction Policy which helps challenge us to be rigorous in our attempts to reduce our emissions. We work collaboratively to keep these updated. We project that carbon emissions will decrease over the next five years to 107 tCO2e by 2027. This is a reduction of 20%.

We communicate our environmental commitments to our clients and customers and encourage them to adhere to these principles.  At the start of a new contract, we would seek to work with our client to map out our goals and to ensure that our aspirations align with their ethics and values.

We hold regular Environment meetings with the team to share ideas and innovative ways of continuing the challenge of reducing our carbon footprint. We devise communication plans to maintain momentum and keep ideas fresh and current. We have an Environmental Lead who takes our ideas and targets forward and is measured against them.

We moved to a paperless office in 2020. The team has embraced this policy and do not have access to a printer. Head Office does have a printer as occasionally there is the need for wet signatures on contracts, however we keep this to an absolute minimum by using Docusign for the majority of our legal documents.

We have further reduce our emissions through limiting travel to work and we now work remotely, with team meetings once a month in a central location. Should an employee be required to travel to client sites we encourage the use of public transport and lift sharing.

Covid-19 recovery

ComX saw significant growth during the pandemic when we increased staff by over 20%. Throughout Covid we worked to protect our existing business and identify new opportunities to ensure the success of the company and job security for our employees. We have sought new business in high growth areas, particularly the health sector; it is an area of continued growth for us, thus providing new job opportunities for both our staff and Associates alike.

When recruiting for our roles we focus our initial searches on job seekers and those local to the opportunity. During the pandemic we moved all our employees to remote working. This was a culture change but enabled us to be more diverse in our approach to location, allowing candidates to live anywhere in the country when working for ComX. When sourcing roles for our clients we negotiate where possible to ensure remote working is enabled for those with medical conditions or the continued need to shield/inability to travel.

To support the mental health of our employees during Covid we created a virtual office on Microsoft Teams and continue to hold regular virtual social events. Since Covid we continue to work remotely due to its success however with the benefit of a monthly team day at a local office where we support local businesses and cafes and hire the local business centre which struggled as a result of the pandemic.

Many of the roles that we filled during the pandemic were Covid related for DHSC and NHS. We prioritised these and assigned them to our senior recruiters to ensure high quality candidates were found as quickly as possible to support these critical roles in the national effort.

Tackling economic inequality

During the last two years we have increased staff numbers by 20% and are working to continue this trend. In advertising for our own staff, we use local advertising as well as national web sites to seek out diverse candidates who are unemployed from low economic and deprived areas. We are also able to focus on all national areas as we work remotely ensuring that location or mobility is not a barrier to employment.

We have created opportunities for freelance recruiters, individual(s) and SME’s who operate independently and wish to collaborate with us and benefit from our access to central government clients. Where possible, we have assisted graduates in obtaining work experience with our clients.

Volunteering and supporting those who are struggling to find work is something ComX is passionate about. We support this cause regularly and encourage volunteering across the whole team. In the last couple of weeks we co-presented an interview technique workshop for apprentices within Thurrock Council and a Personal Statement workshop for job seekers from the Haringey Job Centre. The feedback was positive and we have 3 similar volunteering opportunities programmed for the next month.

We identify Associates and SMEs who share our standards and ethics, including human rights and environmental issues. We foster a collaborative working approach with our Associates with regular updates and feedback sessions to ensure that we are working towards the same aims and targets.

All employees are offered internal training opportunities alongside a range of external courses to boost their skills and reduce skill gaps. We focus on inclusivity and fostering development and opportunities to grow with and within the company.

Equal opportunity

We have Diversity and Inclusion champions who are skilled in the different recruitment techniques and CPD Accredited in Equality and Diversity to attract a range of talent and enable inclusive practices across the business. To be true to both our reputation and our corporate ethos we follow our equal opportunities policy and ensure that the following processes are followed when recruiting:

• Use diverse job boards: Where possible when advertising our roles, we use diverse job boards such as Even Break, Disability Jobsite and Vercidia ensuring the roles are visible to and heard by as many potential candidates as possible, therefore increasing our ability to reach a more diverse range of applicants.
• Job adverts: Will be written in an unbiased manner. The language used will be assessed using the Textio tool an online website for writing compelling nonbiased material and job adverts to attract diverse talent. It provides data insights into how different language may engage a more diverse number of applications. We also use the gender decoder tool to aid in job advert creation ensuring that the adverts are written so they do not unintentionally exclude any potential candidates.
• Reasonable adjustments: We ensure candidates have the chance to advise us of any reasonable adjustments required. Where possible, we offer a call with all candidates before applying for the role, thus giving them the opportunity to ask questions or discuss any concerns or need for adjustments in a safe and friendly environment.

In June 2023, we also adopted the Disability Confidence Scheme. Candidates who advise that they have a disability or are Veterans, are guaranteed an interview for the role to which they apply if they can evidence that they meet the job specification.

Wellbeing

Maintaining a healthy and happy team is a priority at ComX both internally and externally for everyone we work with. Our team works remotely with flexible hours to ensure a good work life balance and to save on transport costs and emissions. The company has recently awarded pay rises to all employees to help ensure the increased cost of living is not affecting the team’s wellbeing. We have created a virtual office using Microsoft Teams to ensure everyone feels included and supported and to combat any feelings of isolation.

We encourage volunteering within the community as an important aspect of mental health and wellbeing. We hold virtual sponsored events for cancer charities where we encourage everyone to participate in a way that they feel comfortable with.

We undertake Mental Health Awareness training courses to ensure that any members of the team who might be struggling can be identified and has someone that they can approach in confidence. We may also allocate a ‘buddy’ to look after a team member to provide support. A formal wellness check is included with all quarterly reviews as a regular opportunity to check in with the whole team.

We foster physical wellbeing by encouraging a daily walk and group exercises and encourage employees/contractors to leave their desks regularly. We discuss healthy eating and drinking habits as a team, and endeavour to influence our wider network of Associates to do the same.

It is important for us to ensure that when we are looking to place a contractor within a client team we ensure that we have the right cultural fit for both the contractor and the client, and that the right hybrid balance is in place to limit stress for both parties. We offer periodic reviews with our contractors to monitor their wellbeing.
