Onboarding and offboarding

Getting started
We operate a “train-the-trainer” model whereby we work with a select group of key contacts and ensure they have full training on their specific user requirement. We would then support these key contacts in cascading their learning amongst their colleagues and ensure they have all the required contact information should something come up in conversation that we have not been able to cover in the training.

Our user guides contain detailed information divided into modules and each module includes an overview of the system functionality for your operation.

Our modules follow a logical sequence based on specific user roles and cover tasks such as configuration, administration and reporting.

End-of-contract data extraction
MarkManager has a comprehensive OSM data export functionality. Each individual marking activity performed by every examiner or marker generates a discrete record in the marking activity file. This information is extracted and exported on a configurable cycle e.g., every two minutes.
End-of-contract process
At contract end, Civica follows a structured process to ensure a smooth, secure transition. - Data Extraction and Transfer: Customer data is prepared and exported in open, portable agreed formats - Data Integrity Verification: Civica supports with validation of completeness and accuracy. Coordination with New Provider: Civica coordinates with the incoming supplier or in house team to minimise disruption. - Secure Transfer: Data is provided via encrypted drives or secure electronic transfer, as reasonably requested. - Data Deletion: Customer data is securely deleted from Civica systems in line with data protection regulations Your contract prices includes data extraction, secure transfer and data deletion and decommissioning of the operating platform as described. Exit Management costs may be agreed upfront or nearer contract end, depending on whether handover is to an in house team or a replacement supplier. Civica provides detailed handover plans outlining roles, responsibilities, timelines and milestones for data transfer, decommissioning and transition activities. Additional Costs (If Required): - Data conversion to custom or non-standard formats - Additional consultancy, training, or bespoke transition activities - Complex integrations or extended support - Transfer of redundant or specialist assets This approach maintains transparency and minimal disruption, while providing flexibility for optional services.
