Data extraction is supported through secure export tools and/or via the service API, subject to appropriate permissions. Exports can be provided in standard formats such as CSV, JSON, or other agreed formats to support reuse or migration to another system.
Where required, EquiCare can provide assisted data extraction and handover support by agreement at contract end. This may include structured exports, data dictionaries, and clarification of data structures to support transition.
Following confirmation of successful data extraction and contract termination, buyer data is securely deleted in line with agreed retention periods and data protection requirements. - End-of-contract process

At the end of the contract, EquiCare works with the buyer to support an orderly service exit. Standard contract pricing includes continued access to the service for the contract term, standard support up to contract end, and the ability for authorised users to export their data using available export tools or the service API.
Buyers are notified of contract end dates in advance and provided with guidance on data extraction and service closure. Data remains accessible to the buyer for the duration of the contract to allow adequate time for transition planning.
Where additional support is required, such as assisted data extraction, structured handover documentation, bespoke data formats, or extended access beyond the contract end date, this can be provided by agreement at additional cost.

Availability and Service Levels
EquiCare is provided as a cloud-hosted Software-as-a-Service (SaaS) solution with a guaranteed monthly service availability of 99.9%, measured over each calendar month and excluding scheduled maintenance.
Availability is defined as the ability for authorised users to access the EquiCare application and core functionality over the public internet. Scheduled maintenance is planned outside normal UK business hours where possible and notified to customers in advance.
We operate a formal Service Level Agreement (SLA) covering:

Service availability is continuously monitored using automated tools, with alerts and escalation procedures in place to ensure timely remediation.
Service Credits / Refunds
If monthly availability falls below the guaranteed 99.9% level, customers are entitled to service credits applied to the next billing period, calculated as a percentage of the monthly service fee, in line with the SLA:

Service credits are the customer’s sole and exclusive remedy for failure to meet availability targets.

The application tier is deployed across multiple availability zones within a UK Azure region to provide high availability and automatic failover. Stateless application components enable rapid recovery and horizontal scaling. Platform services are configured with built-in redundancy and managed service resilience features.
Data is protected through automated backups, point-in-time recovery, and geo-redundant storage where appropriate. Backup integrity and restoration procedures are tested periodically to ensure recoverability. Data replication and retention policies are defined to meet public-sector resilience expectations.
The service is continuously monitored, with automated health checks, alerting, and escalation procedures in place to enable rapid detection and resolution of incidents. Capacity management and performance monitoring are used to anticipate and mitigate resource constraints.

- Understanding of the issues affecting the representation of disabled people in the workforce in the market, industry or sector relevant to the contract, and in the supplier’s own organisation and those of its key sub-contractors
- Inclusive and accessible recruitment practices, and retention-focused activities, including those provided in the Guide for line managers on recruiting, managing and developing people with a disability or health condition
