- Elucidat is a cloud-based service and does not rely on any local hardware. We aim to carry out routine maintenance without affecting access to the platform. Use of Elucidat is covered by our Fair Usage Policy, which helps keep the service stable for all customers by setting reasonable limits on unusually high levels of activity. Each product plan also includes specific allowances such as the number of users, releases, and optional upgrades. Outside of these standard limits, there are no other constraints that would affect normal use of the service.

Onboarding and offboarding

Elucidat provides a structured onboarding process to help customers get up and running quickly and confidently. When a Purchase Order is received, any existing trial account can be converted to a full account straight away, allowing users to begin working in the platform without delay.
Our Customer Success team typically completes onboarding within 60 days and guides customers through a clear set of steps. We start with a kick-off session to introduce the Elucidat team, confirm goals, and agree on a success plan. Administrators then receive an induction covering account setup, user management, branding controls, and other key configuration options.
Next, we run a user induction to help authors learn the core features of the authoring toolkit and begin creating their first pieces of content. This introduction ensures users can work confidently and understand recommended workflows. A final wrap-up session provides time for questions, early feedback, and guidance on best practices for ongoing use.
Alongside these sessions, customers have access to a comprehensive online Help Centre, downloadable guides, video tutorials, and recorded training materials. - Service documentation

- End-of-contract data extraction
- When a contract ends, customers can export their content and historical data from Elucidat. Courses can be downloaded as SCORM packages, but courses cannot be edited outside Elucidat. Analytics data can be exported as CSV files for record-keeping or reporting. Customers should complete all exports before their account closes. These options allow organisations to keep copies of their learning content and learner data after leaving the service.
- End-of-contract process
- Efore a contract ends, customers are notified so they can choose to renew or begin offboarding. If they decide not to renew, they can continue using the platform until the end of their subscription and export any courses and historical analytics they need. These export options are included in the subscription and do not incur extra costs during the contract period. After the contract expires, the account is closed. Once the account is closed, the remaining data is securely deleted in line with our retention policy.

They can add branding, choose layouts, adjust navigation, build branching pathways, and personalise experiences based on learner choices. For any rare planned maintenance requiring downtime, we provide at least 10 business days' notice. Our service is engineered for resilience and continuity. It is deployed across multiple independent data centres (availability zones/regions) with active redundancy, so the service continues to operate during component or full data centre failure. Traffic is distributed via load balancing and health checks, and platform services are configured to fail over automatically to healthy capacity, avoiding single points of failure through redundant compute, network, and data-layer components.
Data and services are protected against loss through a defined backup and recovery approach. Backups are taken routinely, stored separately from the primary environment, and are regularly validated. We operate documented recovery procedures to restore service and data in the event of corruption, accidental deletion, or major incident, with recovery objectives defined and tested.

We’re committed to meeting the requirements of information security good practice, and seeking ways in which we can improve our security to mitigate new risks.
