On a complimentary basis, we provide: 1) onboarding support with tailored deployment materials; 2) detailed weekly reporting during initial roll-out phase; 3) one hour per month of training, presentations and webinars; and 4) an annual impact review. The ImproveWell platform also has a comprehensive online resources centre with educational materials.

We provide more extensive support to organisations including additional training sessions, presentations, webinars and tailored reporting to support business intelligence teams. All services include a 30-minute planning call to discuss objectives and requirements. These services include: 5) Online web conference 1hr: £150; 6) Half day workshop: £550; and 7) Full day workshop: £950.

Onboarding and offboarding

Getting started
We provide customers with a short onboarding form to get them set up on the platform. We provide onsite or online training, depending on customer preference, and tailored user guides for deployment.

The ImproveWell platform hosts a comprehensive online resources centre, with educational materials, to maximise the success of engagement and improvement initiatives. We also advise on user adoption strategies and internal marketing materials.

End-of-contract data extraction
We will, at the choice of the Data Controller, delete or return all the Personal Data to the Data Controller after the end of the provision of Services relating to Processing, and delete existing copies unless retention of the Personal Data is required by UK law. We can provide customers with a secure XLS export of their data.
End-of-contract process
If a contract is not extended, Silicon Practice follows a structured exit and offboarding plan, facilitated by a dedicated Customer Success Manager in collaboration with nominated customer stakeholders. The plan outlines key actions for all parties, a communication strategy, notice period activities, service switch-off, post-exit procedures, and the secure transfer of information to any new provider. All data is managed safely throughout the offboarding process to ensure compliance and continuity. At the conclusion of the contract, all Personal Data are anonymised in-line with our Information Governance policies and we can provide a secure XLS export of customer data.

Differences between the mobile and desktop service
Frontline users can access all functionality through the mobile and desktop services. For group and organisational leads, a 'light' version of the Idea Hub's central improvement log is available on their mobile device to facilitate engagement with their teams. The full data dashboard functionality is available through the desktop service. Our desktop software is responsive.

Description of service interface
The service interface includes a multi-platform application (iOS, Android and web-app) to capture ideas and real-time feedback from frontline users, as well as a web-based data dashboard for customer administrators and group/organisational leads. The data dashboard has interactive charts enabling customer administrators and group/organisational leads to identify trends, track sentiment, prioritise improvements, measure change and publish reports. Customer administrators and group/organisational leads can set up unlimited projects tailored for different audiences. They can also generate individual QR codes and unique web-links to capture feedback from unregistered users of the platform e.g. patients and service users.

Our service is built on Amazon Web Services (AWS) infrastructure within EU regions and Availability Zones, delivering a resilient, cloud-based environment engineered for high availability and fault tolerance. The entire environment is ISO 27001 certified, giving our clients confidence in the security and compliance of our platform. We provide 24/7/365 availability with a minimum 99% uptime commitment, supported by continuous monitoring systems that alert our team to any system faults or server failures, allowing prompt resolution. Our software is continuously updated to meet evolving legislation and regulatory requirements. Updates are first identified by our Principal Developer in collaboration with the Compliance Manager, then gaps are assessed and an action plan is produced. These are incorporated into the development plan and linked directly to the software release process. This combination of resilient architecture, robust monitoring, rigorous compliance, and proactive software management ensures our service remains secure, reliable, and consistently available to support our customers.

When any issue arises that may impact system availability, our team act swiftly to keep all users informed, proactively issuing updates and guidance. This ensures that users are immediately aware of the situation, understand any potential impact, and receive timely instructions on next steps or workarounds. In the unlikely event of a system outage, our team is fully prepared to provide direct technical assistance. Registration processes are based on controlled access to the platform. Customer Administrators must provide staff with a unique authentication code in order for staff to register an account with the App. They can also specify which email domains may be used to register for the App. Administrators receive notifications whenever there is a new joiner. The platform has been designed so that senior staff can manage smaller groups of users, ensuring that users are known / recognised. Administrators can block a user account at any time through the dashboard.

Our existing security processes are based on controlled access to the platform, where Customer Administrators actively manage the users of the platform. Administrators must provide staff with an authentication code, and they can also specify which email domains may be used to register for the App.

All code is stored in fully-tracked source code repositories, allowing traceability of any changes. All changes are thoroughly tested in a fully-isolated test environment and have to pass Quality Assurance before deployment. We have a suite of automated tests which provide added safeguards. Back-up versions of the code are maintained in the event of a necessary roll-back.

ImproveWell typically deploys new mobile apps once a month and amendments to the API several times a week. Servers are monitored daily and all update patches are deployed as soon as they are available. Our codebase is scanned by a security tool which alerts to vulnerabilities which are patched and released through our SDLC. Employees regularly use the platform and can report bugs to the development team. Bug fixes are released as often as required. ImproveWell receives the weekly CareCERT Cyber Security Bulletin from NHS England which is reviewed and discussed in monthly information governance meetings.
