- Getting started
-
More than 50,000 recruiters and hiring managers use Tribepad, so we know it is intuitive to use. To support adoption Tribepad offers an interactive ‘user pilot’ guided tour as standard when users log into the system. This comprehensive, easy to user tool provides users with an interactive tour of the platform and assists them with advice and guidance on how to complete common tasks as well as describing individual features and platform functionality. The walk through's themselves have been purposely designed to be simple to use and provide valuable answers. The aim of the guides is to increase user adoption by allowing them to trigger the right in-solution experience to the right persona at the right stage of their user journey.
If further, more detailed support/information is required Tribepad offers an ever-evolving online knowledge hub that contains articles, PDFs and 'how to' video guides for both recruiters and hiring managers. - Service documentation

- End-of-contract data extraction
- Using Tribepad's 'Insights' reporting module, Customers can create their data dumps to retrieve their data. Alternatively, the customer can use our APIs to pull all their data out. After the contract ends, any live data will be deleted a week after termination. The same 7-days timeframe applies to backups (because we take daily backups where these will be naturally cycled out.)
- End-of-contract process
- As the platform is entirely cloud-based, there are no requirements to remove any equipment from the customer's site. Even if the solution has been linked to the customer's ERP, simply disabling the API or stopping the SFTP will remove that link. So aside from either securely giving the customer a dump of their data, or allowing the customer to take their data via the API, there are no costs. It should be stressed that Tribepad works ethically with its customers and will ensure that customer satisfaction is never compromised even at the end of any contract. This approach has contributed to us having almost a 100% customer retention rate.

- Accessibility standards
- EN 301 549
- Accessibility testing
-
Tribepad conducts both internal and external accessibility reviews to help define our own accessibility standards. These are used to bring all areas of our current systems and any future developments to the desired standard.
We have chosen BunnyFoot, a company that specialises in user experience to help define our standards and source any external testing.
Internal testing is guided by WCAG success criteria but ultimately, the goal is to make our systems meet the needs of a wide range of users and to eliminate barriers when they are discovered with any developments qualified by user testing.
Working with BunnyFoot we will continue to define and refine our testing process and the standards we aim to adhere to - and how accessibility can be worked into our development and testing life cycle. - API
- Yes
- What users can and can't do using the API
- We have multiple APIs that the users can use to interact with almost every aspect of our platform. As we created the platform, and have complete ownership of the IP, we can also develop APIs on request for customers as part of any contractual roll-out. As examples, uploading, amending, and removing of jobs or candidates, or using an API for reporting, even an API for taking a complete data copy of the customers data, can all be done via APIs. As part of the contractual roll-out, we will configure the APIs for the customer/users, and ensure that full training is undertaken on their use.

- Customisation available

- Description of customisation
- We believe Tribepad is one of the most configurable TA suites in the world. Many aspects of the service can be configured. This includes user permissions & GDPR retention periods through to simple rebranding for the customer to reflect their corporate image, to the user choosing what layout for job role advertisements. Adding questionnaires to the application, how many interview stages, interview slots, what type of interview i.e. face to face or video interview, which job boards to publish to, whether to advertise to internal or external candidates, (or both), allowing ring fencing of jobs, and inviting passive candidates are just some of the areas that the user can configure to their requirements.
Scaling
- Independence of resources
- Tribepad believes in over-resourcing our infrastructure, which includes not just a large number of physical servers, and virtual servers for each customer, but also load balancers and vast storage availability. As our system is accessed by the user using https, and we have a 1GBps connection to each datacentre, we do not see bottlenecks in accessing the system either. Therefore we are never running "hot" and always have availability for significant increases in use by customers. We have active monitoring and alerting on resources such as bandwidth, disks i/o, disk space, memory and CPU.

Availability and resilience
- Guaranteed availability
- Our standard SLA for availability is 99.9% outside of any agreed maintenance periods. However, we don't have standard penalty clauses as any penalties for failure to adhere to the SLA are usually agreed on a contract by contract basis.
- Approach to resilience
-
Tribepad provisions all customer environments within Amazon Web Services (AWS), leveraging its industry-leading infrastructure to ensure high availability, scalability, and resilience. Production databases are hosted within Amazon Aurora, a fully managed relational database engine designed for performance and durability. Aurora automatically replicates data across multiple availability zones, ensuring that in the event of a failure, data remains accessible and protected.
We perform automated daily backups of all production data, and these backups are securely stored for seven days and readily restorable in the event of data loss, corruption, or disaster. A seven day storage cycle is used in order to ensure that any data retrieved as part of a restoration exercise remains in date and relevant). The restoration procedures and processes themselves are rigorously tested at least twice per year as part of our business continuity and disaster recovery plan. These tests validate our ability to meet defined Recovery Time Objectives (RTO) and Recovery Point Objectives (RPO), ensuring rapid service restoration with minimal data loss. - Outage reporting
