Rostrata provides a comprehensive suite of onsite support options that are tailored to the stage of implementation commissioners and provider organisations have reached.
The process begins with client discovery, where existing processes and systems are reviewed to confirm the applicability of Rostrata, highlight potential efficiencies, and establish requirements for policy and framework management.
This is followed by onboarding support to ensure that staff and provider partners are trained in the effective use of the system.
Commissioners can also access third-party budget management delivered as a software-as-a-service model, supporting the administration of care packages funded through personal health budgets and personal budgets.
In addition, HR support, rostering services and ongoing user training are available to help commissioners, providers and families make full use of the system and the granular data it generates to strengthen care planning and delivery.
Support services are charged on a day rate basis, with detailed requirements agreed at the outset, although whole-project support can also be commissioned.
To complement onsite support, Rostrata offers online training modules covering all aspects of the system, including set-up, rostering, timesheets, data exports and management information, supported by detailed user training and reference manuals. - Support available to third parties

Onboarding and offboarding
- Getting started
-
The Rostrata application is designed to enable users- commissioners, organisation that provide care funding and care provider companies - to use with minimal support
To optimise the use of Rostrata, Alocura recommend care provider companies have a Discovery day, where configuration requirements can be identified
As part of the on-boarding process, Alocura support users – commissioning and funder staff as well as care providers – to use the system effectively. Training is provided on site, or online. There is also a training 'sandbox' which allows users to engage with the system without concern. Documentation on the use of the system is also provided to users, along with ‘How to’ guides for frequently asked questions. This is in addition to the electronic guides available within the application itself.

Throughout the duration of the contract, clients are provided with continuous access to their key operational data through a suite of reports and export functions. These outputs represent the vast majority of the information contained within their database and are designed to support day‑to‑day management, monitoring, and assurance activities. Access to this data ensures that commissioners and provider partners can evidence service delivery, track performance against agreed support plans, and maintain compliance with financial and operational requirements.
At the conclusion of a contract, clients will continue to have access to their reports for a defined period, typically up to 60 days following contract termination, as agreed at the outset. These reports and exports contain all of the essential operational data required for continuity, audit, and assurance purposes. Should an organisation require a complete extract of its database beyond the standard reporting suite, a full data export can be provided upon request. This ensures that clients retain ownership and visibility of their information, and that data can be securely transferred or integrated into adjacent systems in line with information governance and contractual obligations. - End-of-contract process
- Should a client contract come to an end Alocura will endeavour to support the client in their transition either to a new provider, or to their own future arrangements. As part of this transitional process the client will have 60 days after the end of the contract in which to export operational data. At the end of this period Alocura will delete or destroy any Customer Data remaining on Rostrata in accordance with our Data Protection protocols unless applicable law requires a specific retention period.
